Comparison of Classic WorldShare Reports and WorldShare Reports in Power BI actions

A quick reference guide comparing common actions and steps between Classic WorldShare Reports and WorldShare Reports in Power BI.

Overview

The new Microsoft Power BI reporting platform for WMS offers updated views of standard reports and some new reports. This page provides an overview of updated terminology, new reports, and new report fields.

Workflow comparisons

Export a standard report in Classic
  1. Click the Export button (Screenshot of the Export button in a standard report in WorldShare Reports) in the File tab. The Export to dialog opens.
  2. Select an export file type from the left navigation of the Export to dialog and complete its associated workflow.
    • Excel (default)
    • PDF
    • HTML
    • TXT
    • CSV
 Export a standard in Power BI

 Note: Exporting a standard report from the File menu results in an export of the report visual(s) only as displayed on your screen. You must export data from the individual report visual(s) to retrieve all underlying report data.
  1. Click File > Export. and then select one of the following export formats.
  2. Select an export file type from the flyout menu.
    • PDF
    • PowerPoint (PPT)
    • PNG
  3. The file will automatically begin downloading to your workstation.


Export report data from a report visual

  1. Hover over a visual and click the More options button (Screenshot of the More options button in a report visual in WorldShare Reports in Power BI).
  2. Click Export data in the pop-up menu. The Which data do you want to export? dialog.
  3. From the dialog:
    1. Depending on the type of data you are exporting, you may be presented with a selection of export format options. Select one of the following: 
      •  Data with current layout—This option exports data as a plain table without styling or filters. It is only available for table or matrix visuals.
      • Summarized data - This option exports data as a table with filters enabled for each column and alternating colored rows.
    2. Select a file format from the drop-down list if exporting the data as Summarized data.
      • .xlsx (Excel 150,000-row max) (default)
      • .csv (30,000-row max)
    3. Click Export. The file automatically downloads to your workstation.
  4. (Optional) Repeat steps 1-3 for each additional visuals in the report.
Filter a standard report in Classic
 
  1. From the open report, click the Show filter bar button (Screenshot of the WorldShare Reports Show filter bar button) in the Analyze tab.
  2. From the filter bar, click a filter you want to modify.
  3. Select the filter values you want to include or deselect the filter values you want to exclude from the filter pop-up menu.
  4. Click OK. The report automatically updates to reflect your changes.
  5. Repeat steps 2-4 for each additional filter you want to modify.

 Note: You can also apply a relative date or relative time filter in Power BI.


Apply a basic filter to a standard report
  1. From the open standard report, click Filters to expand the filter pane.
  2. Click the Expand or collapse filter card button (Screenshot of the Expand or collapse filter card button in WorldShare Reports in Power BI) for the filter you'd like to adjust.
  3. Select the filter value(s) you want to include or deselect the filter values you wish to exclude from the list of filter values. Your selections or deselections are automatically applied to the report visual(s).
Apply an advanced filter to a standard report
  1. From the open standard report, click Filters to expand the filter pane.
  2. Click the Expand or collapse filter card button (Screenshot of the Expand or collapse filter card button in WorldShare Reports in Power BI) for the filter you'd like to adjust.
  3. Select Advanced filtering from the Filter type drop-down menu.
  4. Select an operator from the Show items when the value drop-down list.
  5. Enter a value in the text field below the operator drop-down list.
  6. (Optional) Add a second value to your advanced filter.
    1. Select a Boolean operator.
      • And (default)
      • Or
    2. Select an operator from the drop-down list.
    3. Enter a value in the text field below the operator drop-down list.
  7. Click Apply filter to apply the advanced filter to the report visual.

 
Print a standard report in Classic
 
  1. From the open report, click the More options button (Screenshot of WorldShare Reports More options button) > Print in the File tab. The Print dialog opens.
  2. Set your printing options in the Print dialog.
  3. Click Print. The report will automatically begin downloading as a PDF file to your workstation. 
  4. Open your workstation's Downloads folder to retrieve the report.

  1. From the open report, click File > Print. The Print dialog opens.

Run a standard report in Classic
 
  1. In the left navigation, click Reports.
  2. Click a report category accordion to expand the menu.
  3. Click the name of the report you wish to run. The report will open in a new browser tab.
  4. Enter the required prompt values.
    (Optional) Enter or adjust any optional prompt values. See the Prompts dialog below for more information.
  5. Click Run to run the report.
 Run a standard report in Power BI
  1. In the left navigation, click Reports / Visualizations. The All reports screen opens.
  2. Click the name of the report you wish to run in the Title column. The report will open on the same screen.
  3. Click All Reports to return to the All reports screen.
