Paid Invoice Summary
Overview
The Paid Invoice Summary report displays a summary of paid invoices within a specified period. It provides invoice numbers, vendor, date last paid, count of invoice items, and amount paid. At the same time, a top-level KPI provides a quick statistic of the total amount expended in that timeframe. You can use this report to review a summary of invoices that need to be paid and provide it to an external department that issues payments on behalf of the library. Additionally, you can drill through to the detail of each summary invoice line.
This report defaults to the last full calendar month to assist with monthly payables reconciliation, but can be filtered (and bookmarked) to apply any date period, fund, vendor, and budget.
Report details
- Dataset: Acquisitions
- Data refresh rate: This report's data is updated nightly. It will be updated by 6 a.m. at your institution's data center time. The data will be "as of" the end of the previous day.
- Data history start date: Data since institutions started using WMS Acquisitions
- Default date range: The last full calendar month
- Report type: Interactive

Visuals
The Paid Invoice Summary report contains two visuals.
- Total Expended Amount - The total amount expended by your institution during the time period selected.
- Expended Amount by Vendor Name - The total amount expended by the vendor during the time period selected.
- Click a vendor name in the bar chart to change the appearance of all visuals in the report. By default, all vendors are displayed.
- Reclick the area to restore the appearance of this visual to its default.
Columns
The Paid Invoice Summary report contains the following columns. Click on a column name for more information.
You can click a column name to change the column sort.
- Click once to sort the column in ascending order.
- Click twice to sort the column in descending order.
- Click three times to restore the column to its original order.
Paid Invoice Summary drill-through report columns
To access the Paid Invoice Summary drill-through report:
- Hover over a row in the report, hover over Drill through from the pop-up dialog, and click the Magnifying glass button (
) in the pop-up menu.
Or - Right-click a row in the report, hover over Drill through from the pop-up menu, and click the Magnifying glass button (
) in the pop-out menu.
