Learn how to export reports.

Export a standard or custom report

You can export a standard or custom report to your local workstation as an Excel, PDF, HTML, Text (TXT), or Comma-Separated Value (CSV) file.

 Note: For an optimal viewing experience, leave the charset selection set to its default, UTF-8, and leave the Images DPI set to its default.

  1. Click More options (Screenshot of the WorldShare Reports More options button) > Export from the File tab in the open report. The Export to dialog opens.
  2. Select an export file type from the left navigation of the Export to dialog and complete its associated workflow.
    Export file type Workflow
    Excel (default) When exporting to an Excel file:
    1. Select Reports or Data from the Content tab.
      • Reports will generate an export of the fully formatted report.
      • Data will generate an export of only the underlying data in a report in a CSV file. All formatting, such as images or titles, will be excluded.
    2. If you selected Reports in Step 1, click the Options tab.
    3. Select one of the following under Prioritization.
      • Prioritize the formatting of documents - Select to have the report's layout and formatting (e.g., number of rows and columns) matched as closely as possible in the Excel file. If selected, cells are more likely to be merged in Excel.
      • Prioritize easy data processing in Excel (default) - Select this option to avoid merging multiple cells into Excel cells as much as possible and to benefit from Excel's data processing features.
    4. Click Export. The file will automatically begin downloading to your workstation.
    PDF When exporting to a PDF file:
    1. Click the Options tab.
    2. Select one of the following under Page Range.
      • All pages - Select this option to export all pages in the report.
      • Current Page - Select this option to export the report's current page only.
      • Page(s) - Select this option to export a specific page or page range (e.g., From 2 To 2; From 1 To 10).
    3. (Optional) Select the Display bookmarks checkbox to display the bookmarks tab by default when opening the file to make navigating through the document easier.
    4. Click Export. The file will automatically begin downloading to your workstation.
    HTML When exporting to an HTML file, click Export. The file will automatically begin downloading to your workstation.

     

    TXT When exporting to a TXT file, click Export. The file will automatically begin downloading to your workstation.

     

    CSV When exporting to a CSV file:
    1. Select Reports or Data from the Content tab.
      • Reports will generate an export of the fully formatted report.
      • Data will generate an export of only the underlying data in a report in a CSV file. All formatting, such as images or titles, will be excluded.
    2. Click the Options tab.
    3. Select one of the following text qualifiers.
      • " (default)
      • '
      • Blank
    4. Select one of the following column delimiters.
      • , (default)
      • ;
      • Tab
    5. Select a Charset. By default, UTF-8 is selected.
    6. (Optional) Select the Set as default values checkbox if you want these values applied to all subsequent CSV exports.
    7. Click Export. The file will automatically begin downloading to your workstation.
