WorldShare Reports in Power BI release notes, June 2025

Introduction

This release of WorldShare Reports in Power BI provides new features and enhancements. These features will help you manage more complex workflows, including:

  • View six new standard COUNTER 5/5.1 e-resource usage reports built on the Power BI platform
  • View two new standard collection holdings reports built on the Power BI platform

Recommended actions

For this release, we recommend that you review the following checklists and complete the relevant tasks to adjust your policies and workflows and train your staff. These checklists identify updates that we have determined as significant for most institutions. We encourage you to review all of the items in the release notes to determine whether other items might require additional action or follow-up by your institution.

Reporting staff may want to refer to the 30 January 2025 release notes, as well as the OCLC help documentation, to familiarize themselves with the Power BI reports and general features, including exporting, bookmarking, and report favoriting.

New features and enhancements

View new standard COUNTER 5/5.1 e-resource usage reports

You can now view new e-resource usage activity reports in Power BI for COUNTER 5/5.1 harvested data in WorldShare License Manager. For assistance in setting up these data harvests, please refer to WorldShare License Manager help documentation.

Search and locate COUNTER 5 reports in All reports page

The new COUNTER 5 reports can be located with quick and easy searches based on report title, description, and keywords. The below example is a simple search for Title contains "counter".  Notice each report contains keywords for each specific COUNTER report type, which could also be used for searching.

COUNTER 5 E-Journal/E-Book Usage Summary

This report is a summary of COUNTER 5 usage and denial counts of licensed eJournal and eBook titles for all vendors, utilizing the COUNTER TR_J1, TR_J2, TR_B1, and TR_B2 file types. Additionally, you can drill through to the detail of each summary vendor line (see below).

To assist with yearly review, this report defaults to the last 13 calendar months, but can be filtered (and bookmarked) to apply any date period, vendor, COUNTER source, or platform.

This report also offers a feature to drill through to detailed rows. To enact the feature, simply hover over the detailed listing and allow the tooltip to appear. After a split second, the "Drill through" option will appear. Select the magnifying glass to drill through to the details of the selected row you are on. The drill through can also be enacted by right-clicking on the row you want to interrogate, then selecting the magnifying glass to drill through.

Once you land on the detail for the selected vendor, you will see a monthly visual representation of your COUNTER data. This will allow you to easily view any months that may be missing data, where you can then make the necessary adjustments in WorldShare License Manager to ensure all months are error-free.

Detailed data in the table below can be exported for your further investigative needs.

COUNTER 5 Database Usage Summary

This report is a summary of COUNTER 5 database usage by vendor, utilizing the COUNTER DR_D1 file type. Additionally, you can drill through to the detail of each summary vendor line (see below).

To assist with yearly review, this report defaults to the last 13 calendar months, but can be filtered (and bookmarked) to apply any date period, vendor, or database.

Expanding the hierarchy allows you to view each month's usage by database, for easy month-to-month comparison.

COUNTER 5 Platform Usage

This report is a summary and monthly trends of COUNTER 5 platform usage, utilizing the PR_P1 file type. Additionally, you can drill through to the detail of each summary platform line (see below).

To assist with yearly review, this report defaults to the last 13 calendar months, but can be filtered (and bookmarked) to apply any date period or platform.

This report also introduces a new tree map visualization of your platforms by your selected metric type. Select the "Tree Map" view, then adjust the Metric Selector to visualize your data by platform usage counts. This data can be exported for your further investigative needs.

COUNTER 5 Multimedia/Journal Usage Summary

This report is a summary and detail of COUNTER 5 usage counts of IR_M1 multimedia items and IR_A1 journal articles. Additionally, you can drill through to the detail of each summary vendor line (see below).

To assist with yearly review, this report defaults to the last 13 calendar months, but can be filtered (and bookmarked) to apply any date period or platform.

COUNTER 5 Database Denials Summary

This report is a Summary of COUNTER 5 database denials by vendor, utilizing the COUNTER DR_D2 file type.

To assist with yearly review, this report defaults to the last 13 calendar months, but can be filtered (and bookmarked) to apply any date period or platform.

View new standard collection holdings reports

Search and locate collection holdings reports

The new collection holdings eports can be located with quick and easy searches based on report title, description, and keywords. The below example is a simple search for Title contains "holdings".  Notice each report contains keywords for such as IPEDS and trends, which could also be used for searching.

Title Holdings Insights

A report that summarizes counts of your title holdings by month, material format, and OCLC conspectus, utilizing monthly snapshots of data to view your title counts for selected historical months. This report may be helpful when completing your yearly IPEDS/ACRL reporting.

This report defaults to the last 2 calendar months, but can be filtered (and bookmarked) to apply any date period, material format, material subformat, or OCLC Conspectus subject values. It provides collection analysis by month for easy month-to-month comparisons. Your data can also be viewed by OCLC Conspectus subject values by clicking the "Conspectus" button.

Note: Larger date ranges may require additional processing time (1-3 minutes) to complete.

You can easily expand and contract the material format/subformats by clicking the plus sign on an individual material format, or clicking the down the hierarchy button (hierarchy.png) on the context menu of the visualiation.

Item Holdings Insights

A report that summarizes counts of your item holdings (LHRs) by month, branch, material format, and shelving location, utilizing monthly snapshots of data to view your item counts for selected historical months. This report may be helpful when completing your yearly IPEDS/ACRL reporting.

This report defaults to the last calendar month, but can be filtered (and bookmarked) to apply any particular month, material format, or material subformat. Clicking the "Branch" or "Shelving Location" buttons provides you with a view of your collection by these respective dimensions.

Note: When applying longer date ranges, please select one particular month at a time when viewing the report, to avoid aggregation of data across all months. This report is intended for viewing individual months.
