WorldShare Reports in Power BI release notes, March 2025

Introduction

This release of WorldShare Reports in Power BI provides new features and enhancements. These features will help you manage more complex workflows, including:

  • View new standard Circulation Item reports built on the Power BI platform
  • View new standard New and Removed Titles reports built on the Power BI platform
  • View new standard Serials Received reports built on the Power BI platform
  • View consistent WMS application values in standard reports

Recommended actions

For this release, we recommend that you review the following checklists and complete the relevant tasks to adjust your policies and workflows and train your staff. These checklists identify updates that we have determined as significant for most institutions. We encourage you to review all of the items in the release notes to determine whether other items might require additional action or follow-up by your institution.

Reporting staff may want to refer to the 30 January 2025 release notes, as well as the OCLC help documentation, to familiarize themselves with the Power BI reports and features, including exporting, bookmarking, and report favoriting.

New features and enhancements

View new standard Circulation Item reports built on the Microsoft Power BI platform

All Checked Out Items

The All Checked Out Items report lists all items currently on loan in WMS circulation. A top-level KPI (key performance indicator) provides a quick statistic of the item count. Filters allow you to further investigate your items on loan by different key dimensions such as Item Branch Name, shelving location(s), and Patron Borrower Category. You can use this report to identify items that may require staff action.

Compared to the classic All Checked Out Items report, this new version adds the following columns:

  • Item Status Loan Policy Name
  • Item Call Number Main Class
  • Item Call Number Subclass

Circulation Item Deletions

The Circulation Item Deletions report lists the items that have been withdrawn from circulation but not yet purged based on your institution's deleted items policy. This report defaults to items deleted in the last 7 days, but you may adjust the Item Deleted Date filter to enter a selected time frame as needed.

This report is equivalent to the "Delete" portion of the Circulation Add-Delete report in Classic Reports. A top-level KPI provides a quick statistic of the item count. Filters allow you to investigate your deleted items further using different key dimensions such as shelving location(s) and classification.

Item Status Statistics

The Item Status Statistics report is a dashboard-style set of visualizations to analyze the current makeup of your institution's circulation collection. Visualizations include: Item counts by current status, by call number main class, by material format, and by item record type (e.g., single part, serial, etc).  Top-level KPIs provide quick statistics of item counts. You can use this report for high-level analysis and management reporting.

Further, in the Count Items by Item Call Number Main Class visualization, you can drill down to Item Call Number Subclass. To navigate from the main class to the subclass in its entirety, click the two down arrows in the upper right of the visualization:

Additionally, you can drill down an individual main class to the hierarchical subclasses by selecting the single down arrow to turn drill mode on:

Then, select a specific main class from the pie chart or the legend. You will then be taken to the subclass chart. E.g., drilling below from main class P to its subclasses such as PS and PZ.

Items in Transit

The Items in Transit report lists the items that are in Transit or Dispatched statuses. This report defaults to items routed in the last 30 days, but you can adjust the filter to a different time frame as needed. A top-level KPI provides a quick statistic of the item count. Filters allow you to investigate your items in transit further by using different key dimensions such as Item Branch Name and Permanent Shelving Location. You can use this report to create packing lists for branch shipments.

Compared to the classic Items in Transit report, this new version adds the following columns:

  • Item Enumeration and Chronology
  • Item Status Transfer Routing Reason
  • Item Call Number Main Class
  • Item Call Number Subclass

Lost or Missing Items

The Lost or Missing Items report lists the items that are in the Lost, Missing, Claimed Returned, or Claimed Never Had status. This report defaults to include all items with these statuses, but you may adjust the Item Date Declared Absent filter to enter a selected time frame as needed. A top-level KPI provides a quick statistic of the item count. Filters allow you to investigate your items in transit further by using different key dimensions such as Item Branch Name and Permanent Shelving Location. You can use this report for collection development and to replace absent items.

Compared to the classic Lost or Missing Items report, this new version adds the following columns:

  • Item Edition
  • Item Last Seen Date
  • Item Last Seen Institution Symbol
  • Item Last Seen Branch Name
  • Item Last Seen Branch Location

Overdue Items

The Overdue Items report lists all items currently past due in WMS circulation. A top-level KPI provides a quick statistic of the item count. Filters allow you to investigate your items past due by using different key dimensions such as Item Branch Name and Patron Borrower Category. You can use this report to notify patrons who don’t have email about overdue items.

Compared to the classic Overdue Items Aging report, this new version is more patron-focused and adds the following columns:

  • Patron Email Address
  • Patron Phone Number
  • Patron Street Address 1
  • Patron Street Address 2
  • Patron City/Location
  • Patron State/Province
  • Patron Postal Code
  • Item Status Loan Policy Name

Recalled Items

The Recalled Items report lists all items currently recalled in WMS circulation. A top-level KPI provides a quick statistic of the item count. Filters allow you to further investigate your recalled items by different key dimensions such as Item Branch Name, and shelving location(s). You can use this report to follow up on recalled items that have not yet been returned.

Compared to the classic Recalled Items report, this new version is more patron-focused and adds the following columns:

  • Patron Barcode
  • Patron Email Address
  • Patron Phone Number
  • Patron Street Address 1
  • Patron Street Address 2
  • Patron City/Locality
  • Patron State/Province
  • Patron Postal Code

View new standard New and Removed Titles reports built on the Microsoft Power BI platform

New Titles List

The New Titles List report lists all new titles added to your collection for a given time frame. This report defaults to titles added via all methods except the Collection Manager knowledge base in the last 30 days, but you can adjust the filter to a different time frame and source application(s) as needed. A top-level KPI provides a quick statistic of the title count. Filters allow you to further investigate your new titles by key dimensions such as call number.

Note: A title represents a holding on a bibliographic record, as opposed to items, which are defined by LHRs. The new titles list includes bibliographic, call number, and location information. The call number and location information are pulled at the time the first item is added to the title. You can use this report to generate lists of recently added titles for library staff to provide to end users.

Removed Titles List

The Removed Titles List report lists all titles removed from your collection for a given time frame. This report defaults to titles removed via all methods except the Collection Manager knowledge base in the last 30 days, but you can adjust the filter to a different time frame and source application(s) as needed. A top-level KPI provides a quick statistic of the title count. Filters allow you to further investigate your removed titles by different key dimensions such as call number.

Note: A title represents a holding on a bibliographic record, as opposed to items, which are defined by LHRs. The removed titles list includes bibliographic, call number, and location information. The call number and location information are pulled at the time the last item is removed from the title. You can use this report to generate lists of removed titles for library staff of titles that have been withdrawn from the collection.

View new standard Serials Received reports built on the Microsoft Power BI platform

Serials Received Summary

The Serials Received Summary report displays a summary of serials received by publication frequency, including binding status. This report defaults to serials received in the last 12 months, but you can adjust the filter to a different time frame as needed. You can use this report to provide statistics on currently received journal titles.

Note: Receiving values are aggregated at the title level, and are not provided for a specific issue.

Serials Claimed Summary

The Serials Claimed Summary report displays a summary of serials claimed by publication frequency. This report defaults to serials claimed in the last 12 months, but you can adjust the filter to a different time frame as needed. You can use this report to provide statistics on claimed journal titles.

Note: Claiming values are aggregated at the title level, and are not provided for a specific issue.

English report values match WMS application values

Static values to English

In the classic WorldShare Reports in SAP BusinessObjects, many English report values appear as all-caps values. E.g., for Binding Status in the Serials Received reports, you will see values like "BOUND", and "SENT". In the Power BI reports you will see human-readable values consistent with the WMS application values, such as "Bound" and "Sent to Bindery."

Later this year, WorldShare Reports in Power BI will have these values translated into other languages, such as French and Spanish.

Known issues

  • Based on the size of your library's datasets, some reports may take 30 seconds or more to render fully. A spinner icon in the upper left of each visualization denotes when the refresh is still pending.
