WorldShare Circulation release notes, June 2025

Introduction

This release of WMS Circulation provides enhancements and bug fixes. These features will help you manage more complex workflows, including:

  • Enhancements and Improvements to Next-Generation Notifications
  • New Audit Event for Automatic Renewal Failure
  • Digby News: Digby open beta and new Digby Community Center
  • Bug Fixes and performance enhancements

Many of these enhancements are the direct result of your feedback.

Recommended actions

For this release, we recommend that you review the following checklists and complete the relevant tasks so that you can adjust your policies and workflows and train your staff. These checklists identify updates that we have determined as significant for most institutions. We encourage you to review all of the items in the release notes to determine whether there are other items that might require additional action or follow up by your institution.

Help documentation for Next-Generation Notifications

We have started to roll out groups of new notifications and this will continue for the next several months. To help you and your staff get to know the advantages of these communication tools and how to use them, we have put together several resources in the NGN section  (sign-in required) of the WMS Circulation Community Center site. We will continue to update these resources as new notifications are released. These resources serve as a supplement to the updated information on Next-Generation Notifications in WorldShare Circulation help documentation.

Action

Retirement:  WMS Collection Management API  (1 April 2026)

The WMS Collection Management API will be sunset 1 April 2026. Please review the Collection Management API transition resources to learn how to migrate to the Metadata API, which is much more modern, flexible, and robust.

We acknowledge that a common use case for the WMS Collection Management API has been a spine label printing solution. This feature is available via the Label Print Lists functionality within Record ManagerWMS Circulation or WMS Acquisitions.

New features and enhancements

Enhancements to Next-Generation Notifications

The option to configure notifications is now displayed on policy pages

Next-Generation Notifications that have been released now appear on policy pages with a "Configure notification?" option and Yes/No radio buttons. This improvement allows for policy pages to be more condensed and minimizes the amount of scrolling to get to a particular notification that you want to configure. 

  • Choose "No" to collapse the notification (minimal view)
  • Choose "Yes" to expand full configuration options
    • Be sure to configure all settings when expanded view is selected
  • Save changes to make them permanent

⚠️ Important: Previously configured notifications will automatically display in expanded view with your current settings in tact. Changing from "Yes" to "No" and saving will permanently delete your configuration.

Descriptive error messaging is displayed if a notification is not completely configured

If you don't complete the full configuration for a notification, you will now receive descriptive error messages at the top of the policy screen indicating the required fields that still need configured in order for your notification configuration to successfully save.

The fields that are required to be configured will also be highlighted in the notification configuration section with descriptive messaging.

Please note:  If you do not complete all required fields for a notification configuration and click away from the policy page, your configuration will not be saved and you will need to start the configuration over. All required fields for a notification must be configured in order for the configuration to be saved to the policy page.

Audit Event for Automatic Renewal Failure

You will now see a circulation event in the Circulation Events reports for Automatic Renewal Failure actions. The new event type is labeled as "Auto-Renew-Failure." A new audit event is written when an item fails to automatically renew.  

Digby - Join the open beta and explore the new Digby Community Center space

Beta for Digby Read Shelf + Inventory

OCLC invites you to participate in the open beta for Digby’s new Read Shelf + Inventory mode, a new way to speed up your library workflow. Using this new feature, when you confirm an item's location on the shelf, the item's Last Inventoried date and Inventoried Count is automatically updated in WMS. To join the beta, see our announcement (sign-in required) on the new Digby space in the Community Center.

Digby Space in the Community Center

We have created a new Digby space in the Community Center (sign-in required), making it easier for you to join discussions and provide feedback specifically on Digby, the app that makes it easy for your student workers, volunteers, and staff to handle a range of common library tasks from reshelving items to basic inventory.

Bug fixes

Next-Generation Notification configuration changes within a Loan policy now save successfully

In some cases, your changes to NGN configuration on the loan policy screen weren't saving successfully. After clicking on Save and going back into the policy page, the fields for the notification you had configured would be blank.  This was an intermittent problem and it has been resolved.  Now, all of your notification configuration will save successfully.

Post-release sessions

To help you become familiar with the new features, enhancements, and improvements included in our releases, WMS Circulation has planned quarterly office hours. The first session was on 5 June 2025 and the next one is scheduled for 11 September 2025. You can register through the Community Center. Please note the session time zones when registering. The sessions will be recorded and archived for future viewing on the OCLC Community Center. Please register, even if you cannot attend, to receive a link to the recorded session.
