WorldShare Record Manager release notes, May 8 2025
Release Date: May 8, 2025
Introduction
This release of WorldShare Record Manager provides three new features and enhancements in addition to three bug fixes. These features will help you manage more complex workflows, including:
- Ability to cut, copy, and paste fields in bibliographic records and Local Holdings Records (LHRs) to allow moving fields within or across records, for example, to move items from one LHR to another
- Ability to export bibliographic records that don't have a 001 field and send them to an export list or a local system via TCP/IP
- Ability to export bibliographic Saved - In Progress records that don't have a 001 field and send them to an export list or a local system via TCP/IP
- Bug fixes
- Newly created shelving locations are reported as "Invalid" when changing the LHR
- When creating labels, the Chinese title did not display on the label
- Relator term dropdown was not showing when multiple bibliographic records were open
Many of these enhancements are the direct result of your feedback.
New features and enhancements
Ability to cut, copy, and paste fields in bibliographic records and Local Holdings Records (LHRs)
You can now cut, copy, and paste fields in both bibliographic records and LHRs. Previously, the option to copy and paste fields was only available for bibliographic records.
The option to cut fields is new to both data types.
There are various use cases where these options can be used, but it is particularly helpful if there is a need to move items from one LHR to another LHR, as you can now select all relevant subfields, cut them (and thereby remove them from the old LHR) and paste them into another LHR.
Please note that this option does not check the selected fields for consistency (e.g., if all related fields with the same $8 subfields for a specific item were selected), but validation will make sure that only valid records can be replaced.
New option "cut" for bibliographic and local holdings records
A new option "cut" is now available for both bibliographic and local holdings records under the Edit / Field menu or in the right-click menu. It is active if your cursor is in a field (with the exception of 001 and 005, which cannot be copied or cut) or if you have selected multiple fields by checking the checkbox on the left of the MARC tag.
Selecting "Cut" will add the selected field(s) to the copy buffer and remove them from the current record.
You can then open another bibliographic or local holdings record and paste the selected field(s) into it.
Please note that you should create a new line by clicking on the "Plus" icon on the right to make space for the new fields. If you click "Paste" when your cursor is in an existing field, it will overwrite the field.
New options "cut", "copy" and "paste" for local holdings records (LHRs)
While the above-mentioned option to "cut" fields is new for both record types, there have not yet been options to copy and paste fields in LHRs. Now, checkboxes on the left of the MARC fields allow you to select one or multiple fields from an LHR.
As stated above, this new feature can be used to copy all fields with the same $8 value, which represents an item within the LHR, and copy these to another LHR. Previously, you had to manually copy each field individually, copy it into the new LHR, and then delete it from the old LHR.
Please note that there is no checking for completeness, the selection of related fields is still a manual task. However, validation will make sure that you can not replace invalid LHRs.
Ability to export bibliographic records that don't have a 001 field
You will now see a "Send to" option for bibliographic records that don't have a 001 field (= a record created in a template or a derived record, but not added to WorldCat yet). Previously, the "Send to" option was disabled if a record did not have a 001 field.
Please note that records that don't have a 001 don't have to be valid!
Ability to export bibliographic records that don't have a 001 field and send them to an export list
Expanding the Record menu when working on a record without a 001 field will now show the option "Send to > Export list". You can send the record to an existing export list or create a new export list.
Ability to export bibliographic records that don't have a 001 field and send them to a local system via TCP/IP
Expanding the Record menu when working on a record without a 001 field will now show the option "Send to > Local System (via TCP/IP)". You can send the record to a local system via TCP/IP as configured under User Preferences > Exporting - Bibliographic Records > TCP/IP.
Ability to export bibliographic Saved - In Progress records that don't have a 001 field
You will now see a "Send to" option for bibliographic records in the Saved - In Progress file that don't have a 001 field (= a record from a template or a derived record, saved to the Saved - In Progress file but not added to WorldCat yet). Previously, the "Send to" option was disabled if a Saved - In Progress file record did not have a 001 field.
Please note that records that don't have a 001 don't have to be valid!
Ability to export bibliographic Saved - In Progress records that don't have a 001 field and send them to an export list
Expanding the Record menu when working on a Saved - In Progress file record without a 001 field will now show the option "Send to > Export list". You can send the record to an existing export list or create a new export list.
Ability to export bibliographic Saved - In Progress records that don't have a 001 field and send them to a local system via TCP/IP
Expanding the Record menu when working on a Saved - In Progress file record without a 001 field will now show the option "Send to > Local System (via TCP/IP)". You can send the Saved - In Progress file record to a local system via TCP/IP as configured under User Preferences > Exporting - Bibliographic Records > TCP/IP.
Bug fixes
Newly created shelving locations are reported as "Invalid" when changing the LHR
Newly created shelving locations will now appear correctly in the shelving location dropdown in the MARC21 LHR editor and can be saved. Previously, newly created shelving locations were reported as "Invalid" when changing the LHR.
When creating labels the Chinese title did not display on the label
You can now print the Chinese (or other non-Latin script) title when selecting content type "Title" in your label template. Previously, when creating labels, the Chinese title did not display on the label. Instead, the Latin title was printed.
Relator term dropdown was not showing when multiple bibliographic records were open
The relator term dropdowns in e.g., 1xx or 7xx fields now expands correctly and shows all values when multiple records are open. Previously, in some cases the dropdown did not show multiple bibliographic records were open.
