WorldShare License Manager release notes, March 2025

Introduction

This release of License Manager provides new features and enhancements. These features will help you manage more complex workflows, including:

  • Keeping vendors in sync with the COUNTER Registry through new Registry integration
  • Harvest COUNTER release 5.1 reports

Many of these enhancements are the direct result of your feedback.

Recommended actions

For this release, we recommend that you review the following checklists and complete the relevant tasks so that you can adjust your policies and workflows and train your staff. These checklists identify updates that we have determined as significant for most institutions. We encourage you to review all of the items in the release notes to determine whether there are other items that might require additional action or follow up by your institution.

Action

If you are currently harvesting COUNTER 5 reports in License Manager, you need to check with vendors for new credentials for COUNTER 5.1.  For vendors that use the same credentials for both COUNTER 5 and 5.1, no action is needed.

New features and enhancements

Integration with the COUNTER Registry

Your library now benefits from automated vendor profile updates through our new integration with the COUNTER Registry. This means less manual work for you and more accurate vendor information with minimal effort.  If a vendor changes their COUNTER API URL, License Manager will now update it automatically.  Previously, your staff had to track and report changes to COUNTER-compliant vendors. Now, the integration takes care of it for you.  You can continue to request new vendors when needed, just as before.  This enhancement ensures that your library always has the most up-to-date vendor information, saving time and reducing administrative tasks.

Updates to support COUNTER release 5.1

The Usage Data area of WorldShare License Manager has been updated to support COUNTER release 5.1.   Among these updates, one significant change is references to SUSHI harvesting are now updated to COUNTER API, and SUSHI vendors are now referred to as COUNTER Vendors.  We have also retired COUNTER 4 harvesting as part of this release.  You can still view Counter 4 reports for your library in the Harvest History. 

When accessing a vendor profile to configure the COUNTER API for harvesting, there will now only be a COUNTER 5 type.  To simplify the harvesting process for your library, we have combined the COUNTER 5 and 5.1 vendor profiles.  This allows License Manager to first check for 5.1 reports, and if unavailable, fall back and harvest COUNTER 5 reports.  As the librarian, you can just configure the credentials you have for the vendor, and License Manager will handle the rest.  These pages have also been updated with a modernized interface.

For Manual upload, libraries will be able to choose between COUNTER Type 5 and 5.1 depending on the file they wish to upload.  In addition to the existing formats, comma-delimited (CSV), XLS, and tab-delimited, COUNTER 5.1 manual upload supports JSON format.

With COUNTER 5.1, the Unique Item Requests and Unique Item Investigations metrics are being added to the DR_D1 COUNTER report. Additionally, the Unique Item Requests metric is being added to the IR_M1 COUNTER report. This data will be retrieved by License Manager, but will not be surfaced in WorldShare Reports until the COUNTER 5.1 supported reports are released on the Power BI platform (expected mid-2025)

To configure a new vendor to harvest via the COUNTER API:

  1.  Use the search in the left-hand navigation panel under Usage Data to find the vendor:

    And you will see a form that will accept credentials for that vendor:

  3.  If the vendor you are configuring does not use separate credentials for COUNTER 5 and 5.1, you can fill out the credentials form and click Save.  If a vendor requires separate credentials for COUNTER 5 and 5.1, click the checkbox beneath the COUNTER Type labeled, "This vendor requires separate crednetials for COUNTER 5.1" which will show another set of fields where you can enter the different sets of credentials:

 Note:  You only need to use the checkbox for separate credentials if the vendor requires separate credentials for the two COUNTER types.  If both COUNTER 5 and COUNTER 5.1 use the same credentials, you only need to configure the one set.  The system will then check the vendor's COUNTER API URL for 5.1 reports, and if none are available, it will subsequently check for COUNTER 5 reports.  

To Manually Upload a COUNTER 5.1 report:

  1. Click Harvest Setup
  2. Select "Manual - Transfer report file from my computer" from the Report Source dropdown
  3. Select the Vendor Name
     
  4. Select COUNTER 5.1 from the  COUNTER Type dropdown

  5. Choose the format (CSV, tab-delimited TXT, XLS, JSON)

  6. Click Validate

 

To request a new vendor:

  1. Perform a blank search for COUNTER API Vendors.
  2. Select the My Request Vendors tab
  3. Click Request a Vendor

  5. Include credentials to test and save.

 Note: The JUSP aggregator updates are coming soon, and will not be included in this release.  We are in contact with JUSP regarding these updates and expect these updates to be released later this year.
