Introduction

Service Configuration modernization 

As part of OCLC's ongoing effort to modernize the WorldShare Interlibrary Loan interface, several Service Configuration screens have been updated with a new, streamlined design. The modernized screens provide improved navigation, clearer layout, and a more consistent user experience across the application. The following screens have been updated for the May 17 release. 

  • Interlibrary Loan Options 
  • Knowledge Base Integration 
  • Constant Data 

Staff Interface modernization 

Additional improvements to the Staff Interface are included with this release.  

  • New column heading to more prominently display the Held by My Library indicator. 
     

Recommended actions

For this release, we recommend that you review the following checklists and complete the relevant tasks so that you can adjust your policies and workflows and train your staff. These checklists identify updates that we have determined as significant for most institutions. We encourage you to review all of the items in the release notes to determine whether there are other items that might require additional action or follow up by your institution.

New features and enhancements

Internal staff notifications

What has changed

The Internal staff notifications settings have been moved from the legacy Interlibrary Loan Options page into a dedicated, standalone Internal staff notifications screen within the modernized WorldShare ILL Service Configuration. 

Legacy screen

In the legacy interface, internal staff notification settings appeared as sections within the broader Interlibrary Loan Options page.

The notification sections included: 

  • Article Exchange Email Notification 
  • Unfilled Request Email Notification 
  • New Lending Requests Email Notification 

Each section displayed up to five individual Recipient Email text fields in a form-based layout. Toggle controls appeared as small checkboxes labeled On, and preview and test email options were presented as plain text links (Preview and Send Test Email).  

Modernized screen 

In the modernized interface, internal staff notifications have their own dedicated page, accessible via the left navigation panel under Internal staff notifications.

Key benefits

  • A cleaner, more readable layout with clearly defined sections for Article Exchange, Unfilled request, and New lending requests 
  • A single Recipient email input field with an + Add recipient email link, allowing staff to add up to five email addresses dynamically rather than displaying five static fields at once 
  • Checkboxes to enable or disable each notification type are now larger and easier to interact with 
  • Preview and Send test email options are now presented as clearly styled action links with icons for improved visibility 
  • A Save and Cancel button are prominently displayed at the bottom of the screen 
  • A Help on this screen link appears in the upper right for quick access to documentation 
     

Knowledge base integration

What has changed

The Knowledge base integration settings have been moved from the legacy Interlibrary Loan Options page into a dedicated, standalone Knowledge base integration screen within the modernized WorldShare ILL Service Configuration. 

Legacy screen

In the legacy interface, Knowledge Base Integration settings appeared as a section embedded within the larger Interlibrary Loan Options page.

It included two toggle options: 

  • Select whether you wish to activate a link to the Library WorldCat knowledge base for enhanced Interlibrary Loan of articles 
  • Select whether you wish the system to say no to requests automatically based on your knowledge base coverage and license terms 

Modernized screen

In the modernized interface, Knowledge base integration has its own dedicated page accessible from the left navigation panel.

Key benefits

  • A simplified, focused layout displaying only the two relevant configuration options: 
    • Enable the library's WorldCat knowledge base link for improved article Interlibrary Loan (checkbox) 
    • Enable the system to say no to requests automatically based on your knowledge base coverage and license (checkbox) 
    • The page is no longer part of a multi-section form, making it easier to locate and configure knowledge base settings independently 

Constant data

What has changed

The Borrower Data and Lender Data left navigation menus have been condensed into a single menu option as a dedicated Constant data screen. 

Legacy screen

In the legacy interface, constant data was configured through the Borrower Data screen and the Lender Data screen.

The legacy screen: 

  • Presented a form-based layout titled Configure Borrower Constant Data with a Constant Data Record dropdown 
  • Displayed a Borrowing Library Information section with fields for Constant Data Record Name, Description, and other form fields 
  • Presented a form-based layout titled Configure Lender Constant Data with a Constant Data Record dropdown 
  • Displayed a Lending Library Information section with fields for Constant Data Record Name, Description, and other form fields 

Modernized screen 

In the modernized interface, Constant data is now accessible directly from the ILL left navigation panel in a single menu option, with a separate tab for Borrower Data and Lender Data within one screen. 

The Persistence setting has been moved from the Interlibrary Loan Options page to the Constant data page. 

The Primary Symbol setting has been removed and can be updated by contacting OCLC Support

Key Benefits

  • The Persistence setting section is available at the top of the screen, collapsible for a cleaner view 
  • Borrower data and Lender data tabs allow users to easily switch between borrower and lender constant data configurations, eliminating the need to navigate to separate screens 
  • A sortable, paginated table view displays all constant data records with columns for Name, Description, and Actions, making it easy to review and manage multiple records at a glance 
  • A Create new button and Refresh button are prominently displayed above the table 
  • A Search field allows users to quickly locate specific constant data records 
  • Pagination controls allow users to set the number of rows displayed (e.g., 10 per page) and navigate through multiple pages of records 
  • Edit and delete action icons appear inline within each table row for quick access 
  • A New borrower data form panel opens within the same screen, allowing users to create or edit records without leaving the page 

Staff Interface New Features and Enhancements

Your holdings (WorldCat) Column

In the Staff Interface, a new column has been added labeled Your holdings (WorldCat).

Key benefits:

  • The Your holdings (WorldCat) column allows the Held by my library status to be more prominently displayed.

Resolved issues

Staff Notes: The staff notes will now display the full 4,000 characters and not be truncated at 500 characters.

Patron Data on Bookstraps: If the option to display Patron Data is not selected, the Patron Data will not be displayed on the bookstrap.
