Discover how to perform advanced actions on bibliographic records from the MARC 21 editor in WorldShare Record Manager.

When you select an advanced action in the MARC 21 editor, a complex action is performed on the record where data is updated or reorganized.

Add a 33x guided entry field

If a bibliographic record has English as the language of cataloging (040 $b eng), you can add guided entry fields for RDA 336, 337, and 338 fields to your record. This action can be performed in MARC 21 bibliographic records, including saved in-progress records.

  1. From the MARC 21 editor or the Saved - In Progress editor, click the Add row (Add Field button) button.
  2. Enter the variable (336, 337, or 338) for the new field.
  3. Click the arrow beside the variable field.
  4. In the guided entry panel, update any form fields.
  5. Click Done.

Clear encoding level 3

This action clears most of the text in variable and fixed fields from encoding level 3 records. The system then presents a template which allows you to easily enter information needed to improve and replace an abbreviated record in WorldCat.

  1. From the MARC 21 editor, click Advanced Action.
  2. Select Clear Encoding Level 3 from the Action Search drop-down list.
  3. Click Apply.
  4. From the Apply Clear Encoding Level 3 Advanced Action window, click Apply.
     Note: If the record does not have an encoding level 3, the following error message appears: Unable to apply the Clear Encoding Level 3 advanced action to a record that does not have an encoding level 3.
  5. Update the bibliographic record with the new information.
  6. Select Replace WorldCat Record from the Save drop-down menu.
  7. If there are any errors, correct them and repeat step 6. When the record has been successfully added to WorldCat, the OCLC control number is listed in the confirmation message.

Create 830

This action takes data in an untraced series in a 490 field and adds a traced series in an 830 field. It can be performed in MARC 21 bibliographic records, including saved in-progress records.

  1. From the MARC 21 editor, click Advanced Action.
  2. Select Create 830 from the Action Search drop-down list.
  3. Click Apply. The 490 field is updated so that it has an indicator of 1 and inserts an 830 field into the record.

Derive electronic record

This action derives an electronic record template from an existing print record by converting AACR2 records to RDA and updating fields from print to electronic. This action changes the print record in several ways, including:

  • Creates 33x fields for the electronic version of the item.
  • Creates a 776 field that links to the print record.
  • Creates new 264 field(s) based on the text from the 260 field in the print record.
  • Removes fields not needed for a new record (e.g., 029, 019, 001).
  • Spells out some abbreviations found in the print record.

This action can be performed in MARC 21 bibliographic records.

 Note: This action does not update all fields in the record. The derived record will require updates before it is added to WorldCat.

  1. From the MARC 21 editor, click Advanced Action.
  2. Select Derive Electronic Record from the Action Search drop-down list.
  3. Click Apply. The derived record opens automatically.
  4. Review the derived record and update with necessary information.
  5. Select Add Record to WorldCat or Add New Record/Set WorldCat Holding from the Save drop-down menu.
  6. If there are any errors, correct them and repeat step 5. When the record has been successfully added to WorldCat, the OCLC control number is listed in the confirmation message.

Enhance 505

Enhance 505 changes an unformatted contents note into a formatted contents note by changing the second indicator from blank to 0 and inserting subfield codes in field 505. If the 505 field contains cataloging inconsistencies or special characters, the Enhance 505 action may not apply changes to the field successfully. You will see a message (“Record was not changed.”) and the field will need to be updated manually. 

Example:
505 0   Title one / Author One (12:55) -- Title two / Author Two (11:33).
505 00 $t Title one / $r Author One $g (12:55) -- $t Title two / $r Author Two $g (11:33)

  1. From the MARC 21 editor, click Advanced Action.
  2. Select Enhance 505 from the Action Search drop-down list.
  3. Click Apply. The second indicator is changed from blank to zero and subfield codes are inserted in the field.

Generate 043

If a bibliographic record has one or more fields with a 651 field with a $a or 650 field with a $z, you can automatically create a 043 field with the correct MARC Geographic Area Codes to match data in the record. This action can be performed in MARC 21 bibliographic records, including saved in-progress records.

 Note: As noted in the known issues section, if you are working with a record that uses parentheses in 651 field $a (for example New York (N.Y.)), this macro does not work. If you have more than one 651 field in the record, the macro will work.

  1. From the MARC 21 editor or the Saved - In Progress editor, click Advanced Action.
  2. Select Generate 043 from the Action Search drop-down list.
  3. Click Apply. A new 043 $a field is inserted into the record with a $a containing each geographic area code that was found.

Move 508/511 Names to 700

If a bibliographic record has names in the 508 or 511 fields that contain information about responsibility for an item, you can automatically move them to 700 fields to improve access to materials. This action can be performed in MARC 21 bibliographic records, including saved in-progress records.

  1. From the MARC 21 editor or the Saved - In Progress editor, click Advanced Action.
  2. Select Move 508/511 Names to 700 from the Action Search drop-down list.
  3. Click Apply. A new 700 field is inserted at the end of the record for each name contained in the 508 or 511 fields.
