Why did some titles in my knowledge base collection get overwritten or incorrectly updated when I loaded a new KBART file?

Answer

You may have uploaded titles with OCLC Entry IDs that already existed in the collection. You should ensure that the value in the oclc_entry_id column is not used in any existing titles in the collection.

The oclc_entry_id is a match point when a KBART is uploaded if "Upload changes only" is selected. Every title in the collection should have a unique OCLC Entry ID. If your KBART upload included OCLC Entry IDs that are already in the collection, then existing data in those titles will be overwritten.

If you need to correct errors, use the Collection History's detailed reports to download a KBART of those affected titles.  You should then upload a KBART to correct the errors. For example, if there are unique alphanumeric values in a different column of the KBART (e.g. OCLC number, Title ID), you could reuse those values in the OCLC Entry ID column.

If you experienced this issue but don't believe the OCLC Entry ID caused the problem, contact OCLC Support with your OCLC Symbol, the KBART file you loaded, and the Collection ID of the affected collection.
