Export records

Learn how to export records and download export files with the simplified cataloging role in Record Manager.

Overview

You can export a MARC 21 WorldCat bibliographic record:

  • Using a TCP/IP connection (export immediately from the bibliographic record page or export records in a list)
  • Downloading the file through your browser (export records in a list)

Any export lists that have not been modified in the last 30 days are automatically deleted to clean up expired lists.

 Note: All exported bibliographic records will include embedded local bibliographic data fields.

Create a new export list

After you create an export list, you can add records to it so that you can export these records at a later time. You can also create a new export list when you add a record to an export list.

  1. Navigate to Export Lists. Bibliographic record export lists are displayed by default.
  2. Click New List.
  3. Enter a name for your new export list in the Name field.
  4. (Optional). Select how you would like your export list to appear.
    • Select Make Default if you want the new list to be the default export list that appears at the top of the Export Lists list.
    • Select My List to keep the list restricted to yourself. When not selected, the list is shared institution-wide.
  5. Click Create. A confirmation message appears which states that the new export list has been created.

  1. From the MARC 21 bibliographic record, click Send to > Export List....
  2. Click New List.
  3. Enter the name of your new export list in the Name field.
  4. (Optional). Select how you would like your export list to appear.
    • Select Make Default if you want the new list to be the default export list that appears at the top of the Export Lists list.
    • Select My List to keep the list restricted to yourself. When not selected, the list is shared institution-wide.
  5. Click Create and Add to List. A confirmation message appears which states that the system added your record to the export list.
  6. (Optional). To view your record on the export list, see View export lists.

Add a bibliographic record to an existing export list

  1. From the MARC 21 bibliographic record, click Send to > Export List....
  2. Select the name of an export list from the Exports List list and then click Add. A confirmation message appears which states that the system added your record to the export list.
  3. (Optional). To view your record on the export list, see View export lists.

Delete bibliographic records from an export list

Delete individual bibliographic records from the export list

  1. Navigate to Export Lists. Bibliographic record export lists are displayed by default.
  2. Click the name of an export list to view the records it contains.
  3. Select the check box for the record(s) you want to delete.
  4. Select Delete from the Delete drop-down menu.

Delete all bibliographic records from the export list

  1. Navigate to Export Lists. Bibliographic record export lists are displayed by default.
  2. Click the name of an export list to view the records it contains.
  3. Select Delete All from the Delete drop-down menu.

Delete a bibliographic export list

  1. Navigate to Export Lists. Bibliographic record export lists are displayed by default.
  2. Select the check box for the export list you want to delete.
  3. Click Delete.
  4. From the Delete Bibliographic Record Export List(s) dialog, click Delete.
     Note: You must select at least one list to activate the Delete button.

 Note: Holdings must be set on a record before it can be sent to an export list or individually exported.

Export an individual MARC 21 WorldCat bibliographic record using TCP/IP

In order to export records with TCP/IP, you must have it profiled in your export preferences.

  1. From the bibliographic record screen, click Send to.
  2. From the Send to drop-down menu, select Local System.

Export multiple records using TCP/IP

 Note: Institutions with a firewall must configure it to recognize and accept data from the following IP address in order to export records directly from OCLC into an ILS: 132.174.100.234

  1. Navigate to Export Lists. Bibliographic record export lists are displayed by default.
  2. Click the name of the list you want to export.
  3. Select Send to Local System (via TCP/IP) from the Export drop-down menu.

Export multiple records to your local machine 

  1. Navigate to Export Lists. Bibliographic record export lists are displayed by default.
  2. Click the name of the list you want to export.
  3. Select Send to My Computer from the Export drop-down menu. Depending on your individual browser settings, the exported file automatically downloads to a pre-selected file location, or the browser prompts you to open or save the exported file.
  4. Select Save File and then click OK.

View export lists

When working with bibliographic records, you can identify records that you want to export and place them in sets of export lists that you can export at a later time. Export lists are user specific and cannot be shared between users.

To view all bibliographic record export lists, navigate to Export Lists.

All records that you export using a list are stored in separate sets of lists. Each list can be opened so that you can perform actions on the export records. Export lists are user specific and cannot be shared between users.

  1. Navigate to Export Lists. Bibliographic record export lists are displayed by default.
  2. Click the name of the list you want to view.
  3. (Optional) If you want to return to the all exports lists view, click Go Back.
