About LBD bulk actions

Discover how to navigate the LBD record work list interface.

Overview

 Note: In order to use the local bibliographic data record (LBD) bulk actions, you will need to have the CATALOGING_BULK_EDIT role in addition to one other cataloging role. For more information, see Cataloging roles.

Local bibliographic data record (LBD) work lists allow you to apply scripts to multiple records at a time. Work lists are user-specific and each Record Manager user can create one work list.

With a LBD record work list, you can:

  • Add up to 9,000 records to a work list
  • Preview changes for up to 25 records
  • Update a maximum of 9,000 records when applying a script

To access your LBD record work list, navigate to Record Manager > Record Work Lists > LBD.

1. Perform record actions

The Actions drop-down menu allows you to perform the following actions:

View Records

The View Records flyout menu allows you to view current records and preview records with script changes.

 Note: The actions available from the View Records flyout menu are enabled once you select a record.

View current records
  1. Select up to 25 records that you want to view. 
  2. From the Actions drop-down menu, select View Current Records from the View Records flyout menu. The View LBD Records - Current Records screen displays the current records selected.
  3. (Optional) Select a different set of records (up to 25) and repeat steps 1 and 2.
Preview records with script changes
  1. After you have selected a script, select up to 25 records that you want to preview.
  2. From the Actions drop-down menu, select Preview Records with Script Changes from the View Records flyout menu. The Preview LBD Records - Records with Script Changes screen displays the selected records after the script change including any validation errors.
  3. Click View Current Records to view the selected records in their current state. From the View LBD Records - Current Records screen, click Preview Script Changes to return to the Preview LBD Records - Records with Script Changes screen.
  4. Once you have confirmed the script changes appear as expected, click Back to List.
  5. (Optional) Select a different set of records (up to 25) and repeat steps 1 through 4.

Delete records from list

The Delete flyout menu allows you to delete selected records or delete all records from your work list.

Delete selected records

 Note: The Delete > Selected Records in List action is enabled once you select a record.

  1. Select the record(s) you want to delete.
  2. From the Actions drop-down menu, select Selected Records in List from the Delete flyout menu.
  3. Click Delete in the Delete Target Record(s) in List dialog.
Delete all records
  1. From the Actions drop-down menu, select All Records in List from the Delete flyout menu.
  2. Click Delete in the Delete All Target Record(s) in List dialog.

Edit records

The Edit flyout menu allows you to apply a script to selected records or all records in your work list.

Apply script to selected records

 Note: The Edit > Selected Records action is enabled once you select a script and a record.

  1. After you have selected a script, select the record(s) to which you want to apply the script.
  2. From the Actions drop-down menu, select Selected Records from the Edit flyout menu. The script running process is asynchronous. The time it takes to run varies depending on how many records you are editing. While the process is running, you can:
    1. Stay on the Record Work Lists screen and click Refresh to receive a process progress update.
      Or
    2. Perform other actions in Record Manager outside of LBD Records tab in the Record Work Lists screen.
    A confirmation message appears identifying how many records successfully updated or failed to update when the script has finished running. If a record failed to update, the confirmation message provides a reason.
     Note: If a record failed, select Status from the Filter by drop-down list to locate the failed record.
Apply script to all records

 Note: The Edit > All Records action is available once you select a script.

  1. After you have selected a script, from the Actions drop-down menu, select All Records from the Edit flyout menu. The script running process is asynchronous. The time it takes to run varies depending on how many records you are editing. While the process is running, you can:
    1. Stay on the Record Work Lists screen and click Refresh to receive a process progress update.
      Or
    2. Perform other actions in Record Manager outside of LBD Records tab in the Record Work Lists screen.
    A confirmation message appears identifying how many records successfully updated or failed to update when the script has finished running. If a record failed to update, the confirmation message provides a reason.
     Note: If a record failed, select Status from the Filter by drop-down list to locate the failed record.

Deselect all selected records

To deselect all selected records, select Clear All Check Box Selections from the Record Actions drop-down menu.

2. Record Work List ID

The Record Work List ID is a read-only ID assigned to your LBD work list. If you have not yet added records to your LBD work list, or if you have removed all records from your work list, the Record Work List ID will be New.

3. Select a script

  1. Enter the name of the script you want to apply in the Script Name field. As you type, the system automatically suggests names of potential matches. Select the name of the script that you want to apply when it appears.
    Or
    Browse the list of available scripts and select the name of the script that you want to apply when it appears.

4. Filter records

Records in your work list can be filtered using the filters in the Filter by drop-down list.

  1. Select a filter from the Filter by drop-down list.
  2. Enter or select additional information for the filter selected.
  3. Click Apply.
  4. (Optional) To remove the filter, click Reset.

Control Number Enter a LBD control number in the Enter Control Number form field.
Last Script Applied Select a value from the drop-down list.
  • All (default) - All available scripts
  • Add Subfield to 500 or 590 Field
  • Delete Subfield in 500 or 590 Note Field
  • Delete 500 or 590 Note Field
  • Add 500 or 590 Note Field
  • Replace Subfield in 500 or 590 Note Field
Record Check Box Selection Select a value from the drop-down list.
  • All (default) - All records viewable in table
  • Selected - Only selected records viewable in table
Status Select a value from the drop-down list:
  • All
  • None
  • Updated
  • No Script Changes
  • Not Updated - Script Syntax Issue
  • Not Updated - Script System Issue
  • Not Updated - Validation Issue
  • Not Updated - Record Not Found
  • Not Updated - Permission Issue
  • Not Updated - Unresolved Record Issue
  • Not Updated - WorldCat Issue

5. About columns in LBD records work list

column name description notes
LBD Control Number The control number associated with the existing record. This number is system-supplied for all new LBDs.

Click a LBD Control Number to view the current record as well as a link to the bibliographic record with which the record is associated. Click Close to return to the work list.
This column can be sorted (ascending / descending)
Title The title with which the LBD record is associated.

Hover over the information icon (Information icon) preceding a title to view the bibliographic record summary.
 
Last Script Applied The last script applied to the record. This column can be sorted (A to Z; Z to A)
Status The status of the record.  
Date/Time Added to List The date and time the record was added to the work list. This column can be sorted (ascending / descending)
Action Click the View button to view the LBD record in its current state.
