About Shared Print

Find an overview of Shared Print and the available workflows.

OCLC’s Shared Print Registration service streamlines the process of registering shared print group retention commitments which adds information to the WorldCat database for other libraries and archiving programs to see. The registration service requires a WorldShare Collection Manager account with data sync access.​

There are two processing types available to register your retention commitments:

Processing type Description
CSV If you choose to register your retention commitments using CSV processing, you will need:
  • A CSV file of OCLC numbers which represent the bibliographic records your library is committing to retain.​
  • A collection profile that will set and apply the values for your retention statement from your list​.
Multiple data columns exist within the CSV file template to allow the data applied from the profile to be overridden or added to on a record-by-record basis.​

Once the file is submitted, retention statements for each record will be included in a local holdings record (LHR) which will be created or replaced.​

The service also allows for an agent or group coordinator to submit your data and register on your behalf. ​

MARC If you choose to register your retention commitments using MARC processing, you will need:
  • A MARC data file containing the MFHD records for the bibliographic records your library is committing to retain.
  • A collection profile that will set and apply the values for your retention statement from your list​.
Once the file is submitted, retention statements for each record will be included in a local holdings record (LHR) which will be created or replaced.​

 

Once registered, commitments can be discovered in Connexion, WorldShare Record Manager, WorldShare Collection Manager, FirstSearch, and the WorldCat Metadata API.

 Note: WorldShare Record Manager users can add a shared print retention commitment to a small number of records using the LHR editor.

Shared print registration workflows

The following workflows are available for registering shared print retention commitments.

CSV processing

I am an institution participating in a shared print program and I need to create a collection profile. I intend to submit my own data in a CSV file.
If you would like OCLC to create a collection profile for you, send the required information in the Collection profile template to support@oclc.org with this request. If you would like to create a collection profile yourself: 
I am an institution participating in a shared print program, and I need to create a collection profile. I will authorize an agent/group coordinator to submit my data in a CSV file.
If you would like OCLC to create a collection profile for you, send the required information in the Collection profile template to support@oclc.org with this request. If you would like to create a collection profile yourself: Once your collection profile has been created:
  • Add a comment in the Comments accordion that states the agent/group coordinator which has permission to submit your data (i.e., CRL, group admin, etc.)
  • Communicate your collection ID to the agent/group coordinator who will be submitting your data
I am an agent/group coordinator and need to create a profile to submit commitments on behalf of libraries participating in my program.
I am an agent/group coordinator with a profile and need to submit commitments on behalf of libraries participating in my program.

MARC processing
