Holdings not set on WorldCat record error

Symptom
  • Users encounter the error message "Holdings not set on WorldCat record" while working in Connexion client
Applies to
  • Connexion client all versions
Resolution

If you receive this error during a batch delete in Connexion client, it indicates that the holding on the referenced OCLC Control Number (OCN) has already been deleted by another user in the past. If multiple instances of this error occur, it may suggest that someone has already completed the task you are attempting, or alternatively, someone has deleted the holding just before you.

This error could also indicate that an OCN you included in your batch does not have a holding. The Batch holdings delete process will stop running upon coming upon an OCN that is not currently held. That means that if the file of OCNs that you put in has even one OCN that is already not held, anything that follows that non-held number won't be processed.

You can use the following steps to ensure that your OCN list has only held titles.

1. Open Connexion client
2. Choose Cataloging > Search > Local Save File
3. Choose the Save file with the holdings to be deleted
4. Click OK to bring up the list
5. Sort the titles to those that are held vs. those that are not held by clicking on the Held Column header. You may have to click it twice to see those that are blank (not held) at the top.
6. Once the records are sorted, click once on the line for the first held item
7. Hold down the Shift button
8. Scroll to the bottom of the Held items
9. Select the last item in the list
10 Right-mouse click and choose Copy
11. Open Excel to a blank spreadsheet
12. Paste the data into the spreadsheet
13. Copy out just the OCN column into a new spreadsheet or delete all of the non-OCN columns
14. Save the spreadsheet as a file-type Text (ie. txt)
15. Use your normal Batch > Holdings by OCLC Number process to delete the holdings.
