Find catalogue records without ISBNs

Learn how to find catalogue records without ISBNs in Amlib.

Overview

This is quite hard to do – it is easier to find "something" rather than not a certain thing so we have to do it in a “round about” way.

The first step is to place all the records with ISBNs into a File

  1. Launch the Amlib client
  2. Go to Main > Catalogue > Catalogue – the Catalogue screen will display
  3. From the Catalogue Menu choose Query options – the Query Options Enquiry Options will display
  4. Choose an ISBN (Browse) search by double clicking
  5. Enter a % in the Search field in the bottom section of the Window
  6. Go to the File menu and choose Query into file
  7. Press F1 New - Create a File called ISBNs
  8. Type a Description – for example, ISBNs
  9. Select F3 Save
  10. Highlight the ISBN File and press F9 Select
  11. A confirmation message will display showing how many are in the File

The next step is to set the search to show lots of records (we will set it back at the end)

  1. Launch the Amlib client
  2. Go to Main > Supervisor > Installation – the Installation screen will display for DEFAULT location
  3. Go to the Installation Menu at the top
  4. Highlight the normal Login Location
  5. Click OK
  6. Click the System Button from the Top
  7. Go to the Default search cache size setting
  8. Take note of the No that was set so that we can set that back to the same value later
  9. Enter 8000 in the Value column
  10. Select F3 Save
  11. Exit out off Amlib (using Ctrl X or Ctrl E)

The next step is to query those Titles that are not in this File (so hopefully have NO ISBN)

  1. Launch the Amlib client
  2. Go back to Catalogue>Catalogue. The Catalogue module will display.
  3. Ensure the Search size is set to 8000
  4. From the Catalogue Menu choose Query options – the Query Options Enquiry Options will display
  5. Choose Title (Browse) search by double clicking
  6. Enter an % in the Search Field
  7. From the File menu choose Query Not in File



    Highlight the File that was saved earlier (ISBNs)
  8. Press F9 Select
  9. A message will display about a Sort Order
  10. Answer Yes to ignore the Sort order
    .
  11. It should then list the records that do not have ISBNs
  12. Go to the File Menu and select Save All
  13. Press F1 New
  14. Type a Description – for example No ISBNs
  15. Press F3 Save
  16. Highlight the No ISBNs File
  17. Press F9 Select
  18. A message will display
  19. Click OK
  20. If there are more than 8000 it will be necessary to then Go to Table and select Continue Query and save the next results into the saved file

The next step is to set the search set back to what was originally set

  1. Launch the Amlib client
  2. Go to Main > Supervisor > Installation – the Installation screen will display for DEFAULT location
  3. Go to the Installation Menu at the top
  4. Highlight the normal Login Location
  5. Click OK
  6. Click the System Button from the Top
  7. Go to the Default search cache size setting
  8. Set the Value back to what it was …
  9. Select F3 Save
  10. Exit out off Amlib (using Ctrl X or Ctrl E) Isolating certain Stats codes with No ISBN The stats code is not recorded in the Catalogue.

To get this sort of information you will need to follow the following steps:

  1. Launch the Amlib client
  2. Go to Main > Stockitem > Stockitem – the Stockitem screen will display
  3. Ensure the Search Size is still set to 8000. If not, then go through the process of setting this up as described above
  4. Go to File>Display Cat file
  5. Choose the NO ISBNs File
  6. The Stockitems will display
  7. Go to File > Save All
  8. Select F1 New
  9. Type a description (No ISBNs)
  10. Select F3 Save
  11. Select F9 Select (this may take some time to save as it is likely to be thousands. When it has finished a message will display showing the count of Stockitem.
  12. Click OK
  13. Close the Stockitem Table
  14. Go to Stockitem > Stockitem
  15. Select F1 Clear
  16. Ensure Query Via is set to ITEM
  17. Enter the Stats Code you wish to query – for example AF (Note: Your Stats codes can be different – use a full stop and the TAB key to see your list of Stats codes on your system)
