WMS data verification checklist

This checklist provides libraries with a list of activities and items to verify. The list covers patron data, item statuses, shelving locations, policies, holds and bills.

Purpose

The verification process takes place throughout the implementation process and provides libraries an opportunity to review the results of the data migration and configuration process.  The WMS Testing Data Verification Checklist provides libraries with a list of activities and items to verify.  The list covers patron data, item statuses, shelving locations, policies, holds, and bills.  Enter member information and complete the described activities to confirm the executed verification steps.

Testing overview

Step Description Notes
1. Verify patron data when notified by Implementation Manager. Email Implementation Manager examples of data migration issues or concerns, include patron barcode and name.
2.

a. Verify monograph bibliographic data when notified by Implementation Manager.

b. Verify serial bibliographic data when notified by Implementation Manager.

 

Reference WorldCat Discovery Indexes when searching for items in WorldCat Discovery.

Email Implementation Manager examples of data migration issues or concerns, include OCLC numbers, barcodes, and titles.

3. Verify circulation data (if applicable) when notified by Implementation Manager. Email Implementation Manager examples of data migration issues or concerns, include OCLC numbers, barcodes, and titles.
4. Add appropriate roles and permissions to library staff members. Use Roles and Permissions.
5. Can begin adding/deleting/editing items in WMS.  
6. Enter circulation policies in OCLC Service Configuration, then verify policies.  
7. Continue to communicate with Implementation Manager about any data migration issues or concerns. Email Implementation Manager examples of data migration issues or concerns, include OCLC numbers, barcodes, and title.
8. Determine date when you will begin using WorldShare Circulation and/or Acquisitions.  

Patron data verification

If patrons were migrated:

Step Description Expected result Actual result (Pass/Fail) Notes
1. Sign in to WMS.      
2.

a. Perform a patron search in Circulation- Assist Patrons.
b. Enter barcode.
c. Also perform searches by Name, Barcode, Street Address, Postal Code.

You are able to find patrons based on your search criteria.    
3.

Verify the following when searching for patrons:
a. Do barcodes, addresses and names appear as expected?
b. Do patron searches return results you expected?
c. Are you able to search by all the options?

Patron data appears as expected.    
4.

a. Select one of the patrons.
b. Verify all the information on patron’s profile page including name, barcode, patron type, email, address, phone number, expiration date, etc. plus patron notes (Notes) and custom data, if applicable.

 

Patron’s profile page displays the correct personal information for that patron.    
5.

a. Go to the Admin module.
b. Perform a patron search in Admin - User Management
c. Perform searches by last name, barcode, street address, city, state, postal code.

You are able to find patrons based on your search criteria.    
6.

Verify the following when searching for patrons:
a. Do barcodes, addresses and names appear as expected?
b. Do patron searches return results you expected?
c. Are you able to search by all the options?

Patron data appears as expected.    
7.

a. Select one of the patrons.
b. Verify all the information in the patron’s record including name, barcode, patron type, email, address, phone number, expiration date, etc. Plus patron notes (Notes), custom data, idAtSource/sourceSystem (Account Info), if applicable.

 

Patron’s record displays the correct personal information for that patron.   Email Implementation Manager examples of data migration issues or concerns. Include patron barcode and name.

Monograph bibliographic data verification

Local holdings data:

1. Sign in to WMS.

a. Perform an item search of a monograph title in WMS Circulation - Discover Items.
b. Enter barcode.
c. Also perform searches of My Library Holdings by keyword, title, author, ISBN, ISSN, and OCLC number.

You are able to find items based on your search criteria.

   
3. Click View/Edit within an item record to verify migration of call number, barcode, cost and notes, if migrated. Verify item data migrated as outlined in Scope Statement.    
4. Click Edit Item to verify shelving locations and migration of call number (classification scheme), prefix, classification, cutter and suffix. Verify that shelving locations in the drop-down list look correct and verify item data migrated as outlined in scope statement.    
5.

Verify the following when searching items in WorldCat Discovery:
a. Does the branch, shelving location, call number, notes, etc. appear as expected?
b. Do item searches return results you expected?

Item data appears as expected.    
6.

Verify local bibliographic data for items in WorldCat Discovery and Record Manager

To view local bibliographic data in Metadata Record Manager perform a search, select a title, scroll past the WorldCat Record to the Local Bibliographic Data section.

Local bibliographic data appears as expected.   Email Implementation Manager examples of data migration issues or concerns, include OCLC numbers, barcodes, and titles.

Serial bibliographic data verification

Local holdings data:

a. Perform an item search of a serial title in WMS Circulation - Discover Items
b. Enter barcode
c. Also perform searches of My Library Holdings by keyword, title, author, ISBN, ISSN, and OCLC number.

 

You are able to find items based on your search criteria.    
3. Click View/Edit within an item record to verify migration of call number, barcode, cost and notes, if migrated Verify item data migrated as outlined in scope statement.

Circulation data verification

If circulation data was not migrated:

2. Verify that all items have the status “Available.” Skip steps below. Your circulation data was not migrated. Verify that all items have status "Available."   View item status in WorldCat Discovery.

 

If circulation data was migrated:

2. Are all the available items showing the status "Available"? Your circulation data was migrated. Verify that available items have the status "Available."    
3. In WMS Discover Items view an item record and click Statistics to verify item statistics (historical item data) Your item statistics  were migrated. Verify that the following display correctly:  issued count, issued count YTD, soft issued count, soft issued count YTD, inventoried count, last inventoried date, last issued date and last issued to borrower.     
4. Find patrons who had overdue items in their account in the old system (Overdue). Your circulation loan data was migrated. Verify that the overdue fines were migrated for those patrons.    
5. Find patrons who had items checked out to them in the old system (On loan). Your circulation loan data was migrated. Verify that the  checked out items were migrated for those patrons.    
6. Find patrons who had items on hold in the old system (On hold). Your holds were migrated. Verify that holds were migrated for those patrons.    
7. Find an item that had existing holds in the system. Your holds migrated. Verify that the holds look correct for that item in WMS.    
8. Find an item that had existing bills in the system. Your fines were migrated. Verify that the bills look correct for that patron.    

Circulation policies

Circulation polices are configured in OCLC Service Configuration.

2. Verify loan periods for all migrated items. Circulation policies are configured in Service Configuration Verify that loan policies in WMS match the policies you set up in Service Configuration.   View due date information in WorldCat Discovery.
3. Check out various material types to various patron types. Circulation policies are configured in Service Configuration. Verify that you are able to check out various material formats to various patron types.    
4. Renew various material types. Circulation policies are configured in Service Configuration Verify that renewal policies in WMS match the policies you set up in Service Configuration   View due date information in WorldCat Discovery.
5. Place a hold on an item. Circulation policies are configured in Service Configuration Verify that you can successfully place a hold on an item    
6.

a. Under Reports section in Circulation, click on Pull List.
b. Is your pull list displaying a list of items that need to be pulled off the shelf?

 

  Verify that your pull list is displaying items you currently have on the shelf, but they have pending holds.   Note: Pull List in WMS is a list of items that need to be pulled from the shelf and checked in, in order to trigger Holds in the system.
7. Verify notifications are working correctly. Circulation policies are configured in Service Configuration Notifications will be emailed based of your circ policies
