About WorldShare Management Services sandbox

Find an overview of the WMS sandbox and learn how to access it.

Overview

The WMS sandbox provides your library with a safe training and testing environment so you can train your staff and test various configuration options and APIs on a curated data footprint with representative holdings, without impacting your WMS production environment or data.

It includes access to the WorldShare suite of services, WorldCat, and the WorldCat knowledge base.

The WMS sandbox is only available to WMS libraries that have purchased the full suite of WorldShare applications, including Acquisition and Circulation.

Testing capabilities within the WMS sandbox include:

  • Bulk load testing
  • Integration testing with third-party financial systems
  • API configuration and testing
  • Testing of user notices

Libraries that are currently live with WMS can, for an additional charge, request a sandbox environment by contacting OCLC Library Services, or contacting your OCLC Library Services Consultant.

Access

WorldShare staff accounts (WorldShare Admin tab) can be maintained separately from your production accounts. Therefore, they will not automatically be copied to the sandbox environment.

Your library's sandbox URLs will have the following format. Replace yourlibrary with your library's identifier:

  • WorldShare: https://yourlibrary-sandbox.share.worldcat.org/wms
  • Discovery: https://yourlibrary-sandbox.on.worldcat.org

The OCLC Service Configuration sandbox environment can be accessed at OCLC Service Configuration. Select the Use Your OCLC Services Account option and sign in with your sandbox credentials.

Roles

The sandbox includes access to production and global data assets. As a result, we request that the following restriction be placed on any users created in the sandbox:

  1. Cataloging roles should be limited by policy to Cataloging Limited to prevent editing of global bibliographic data by sandbox users
  2. The following roles should not be assigned to avoid sandbox users editing of the Vendor Information Center:
    • SERIALS_ADMIN
    • SERIALS_RECEIVE
    • VIC Vendor Administrator
  3. To avoid sandbox user creating or editing Knowledge Base collections, only Collection Manager Staff should be assigned (which provides read-only access to the Knowledge Base)

Data types

When a new WMS sandbox is created, a one-time data load will be provided. This initial load includes only bibliographic records with attached Local Holdings Records (LHRs) that are designated with the My Library Staff audience level. Refer to WorldCat holdings audience levels for more information. Users must have either the WorldCat Discovery Staff or WorldCat Discovery Admin role to access these records in WorldCat Discovery.

  • Temporary items are not included in the initial data load and must be added manually.
  • If additional updates or refreshes of bibliographic and LHR data are needed after the initial load, please contact your regional Sales Account Manager for further assistance.

Collections selected in the knowledge base of your production WMS site are not automatically copied to the sandbox.

  • Manually select titles and collections in the sandbox site for testing purposes.
  • Any selected titles or collections must be set to My Library Staff audience level to ensure that only staff with the appropriate permissions can view them in Discovery. These records are not visible to the public in WorldCat.

Note: The WMS sandbox does not support editing or creation of global data, including bibliographic records or new knowledge base collections.
