Comparison of Connexion browser and Record Manager actions

A quick reference guide comparing common actions and steps between Connexion browser and Record Manager.

Search for bibliographic records

Connexion browser Record Manager
Basic search
  1. Navigate to the Cataloging tab > Search > WorldCat or press <Ctrl><Shift><W>.
  2. In the Command Line Search box, enter a complete search or browse. Enter any of these search types:
    • Numeric
    • Keyword
    • Derived
    • Browse
  3. Click Search.
Advanced search
  1. Navigate to the Cataloging tab > Search > WorldCat or press <Ctrl><Shift><W>.
  2. In the Keyword/Numeric Search area, select an index from the list. See Bibliographic record indexes for more information on available indexes.
  3. Based on the index you selected, enter your search terms into the text field. The text field will expand to fit your search terms, if needed.
  4. Click Search.
Basic search
  1. From the Data Type drop-down list, select Bibliographic Records.
  2. From the Scope and index drop-down lists, select All WorldCat as the search scope and choose an index.
  3. In the Term(s) text field, enter your search terms.
  4. Click Search.
Advanced search
  1. On the left navigation, click Advanced Search.
  2. From the Search Scope drop-down list, select All WorldCat.
  3. Select an Index from the list. See Bibliographic record indexes for more information on available indexes.
  4. Based on the index you selected, enter your search terms into the text field. The text field will expand to fit your search terms, if needed.
  5. Click Search.

Edit bibliographic records

Edit fixed or variable fields
  1. Place the cursor in the desired field and edit the content.
Add a field
  1. Click the Functions drop-down list and select Add Multiple Fields (enter a value between 1 and 10 and click OK) or Add Single Field Below.
Delete a field
  1. Click the Functions drop-down list and select Delete Field.

Edit fixed or variable fields
  1. To edit fixed fields click the arrow beside the fixed field. The fixed field guided entry panel expands.
  2. To edit variable fields place the cursor in the field and edit the content.
  3. Update any fields using their drop-down lists.
  4. Click Done.
Add a field in a MARC 21 record
  1. From the MARC 21 editor, click the field immediately above the location where you want to add a new field.
  2. Click the Add Field icon.
Delete a field from a MARC 21 record
  1. From the MARC 21 editor, find the field you want to delete.
  2. Click the Delete Field icon.

Set holdings on a bibliographic record

  1. With the record open, select Update Holdings from the Action drop-down menu or press <Alt><K>, <U>.
  2. Click OK. Your institution’s OCLC symbol is associated with the record.
  1. From the MARC 21 editor, click Record.
  2. From the Record drop-down menu, select Set WorldCat Holding. The system sets a WorldCat holding on the record.

Delete holdings from a bibliographic record

  1. With the record open,  select Delete Holdings from the Action drop-down menu or press <Alt><K>, <9>
  2. If you have Local Data Records attached, when prompted, click Yes to delete LDRs and OCLC symbol, or No to cancel and return to the record.
  1. From the MARC 21 editor, click Record.
  2. From the Record drop-down menu, select Delete WorldCat Holding.

To delete holdings of up to 10,000 records at a time, see Delete WorldCat holdings.

Export bibliographic records

 Note: Once Connexion browser is discontinued you will no longer have access to your exported records. Please take the time to download all your exported records before 30 April 2024.

Export an individual record
  1. Retrieve a record from WorldCat or the save file.
  2. On the Action list click Export Record in MARC or press <Alt><K>, <E>.
  3. Depending on the export destination, the record is either added to a file on the Connexion server, or sent directly to your local system.

Add an individual record to a new export list
  1. From the MARC 21 editor, click Record > Send to > Export List....
  2. Click New List.
  3. Enter the name of your new export list in the Name field.
  4. Optional. Select Make Default if you want the new list to be the default export list that appears at the top of the Export Lists list.
  5. Click Create and Add to List. A confirmation message appears which states that the system added your record to the export list.
Export an individual record using TCP/IP

In order to export records with TCP/IP, you must have it profiled in your export preferences.

  1. From the MARC 21 editor, click Record.
  2. From the Record drop-down menu, select Local System from the Send to flyout menu.

Original cataloging workflow

New workform
  1. Click the Create button.
  2. Fill in the workform.
  3. Complete the record and either save it or add it to WorldCat.
Derived record
  1. In the record, on the Edit list click Derive New Record or press <Alt><K>, <D>.
  2. Click Yes to transfer fixed field values or No for default values.
  3. Complete the record and either save it or add it to WorldCat.
Create a record
  1. In the left navigation, click Create Record.
  2. Verify that the Record Editor, and Format defaults are correct. If not, select the applicable option(s).
  3. From the Material Type drop-down list, select a material type.
  4. Click Create.
  5. Edit the bibliographic record fixed fields and variable fields.
  6. Save > Add Record and Set WorldCat holding.
  7. Export the record.
Derive a record 

You can also create a MARC 21 WorldCat bibliographic record by deriving bibliographic records. For information about deriving records, see Derive WorldCat bibliographic records.
