Do I need to manually select new titles we purchase in a collection, that has been set-up with automatic holdings feed?

Applies to
  • WorldShare Collection Manager
Answer
  • When an automatic-holdings feed has been set up with a provider on a collection, all your titles you purchase will be updated and added to your feed with each delivery
  • The file will be automatically loaded weekly or fortnightly depending on the vendors agreement with OCLC
  • When an upload takes place, it is really a full refresh of your collection, so if titles have been deleted, updated or added  - these changes will be reflected in the new file delivered & uploaded to your collection
  • If you wish to see what was in your last feed, to ensure you new titles have been delivered :
    • Go to  Metadata Collection Manager > Activity History
    • Change the filter  to filter by:  File Uploaded - to see what been delivered
    • Look for  File uploaded into collection: xxxxxx
    • You can then check the titles in this feed by selecting Download Detailed Report (on the far right column you will see what action was taken)
    • Then open file in  excel to see titles delivered  in the file.
    • If interested on what has been added , deleted or updated select the View button

  • Generally it is best practice, not to select any titles manually in a collection, once you have set-up an automating holding feeds
  • Just wait for the new title to be added in the next feed or two - if a new titles does not appear after several weeks, then contact & ask your provider, why it is not in your feed
  • You can manually select new titles in a collection, if you have purchased a new title and you want it to be discoverable  immediately before the next feed is uploaded
  • However you need to be aware, that these new titles selected will be wiped out ,by the next feed delivered - as auto-feed as it is a complete refresh
    -  effectively each week of the records.
  • So if a new title you are expecting is not in the auto feed, then you would need to add it back in each time (weekly) manually, until it comes through on the feed
