WorldShare Collection Manager release notes, March 2018

The WorldShare Collection Manager March 2018 release:

  • adds Friday processing of WorldCat cataloging partner collections to quickly delivery records and labels from vendors that deliver manifests to OCLC late in the week.
  • gives the ability for users to exclude electronic resources from their WorldCat Updates output.
  • provides R2 Digital Library subscribers with the ability to automate their WorldCat holdings with a direct holdings feed from Rittenhouse to OCLC.
  • helps infrequent/novice users of Collection Manager easily retrieve OCLC cataloged collections with a new Setup Wizard.

Exclude electronic resources from WorldCat Updates

Users of WorldCat Updates now have the option to exclude electronic resources from their updates files. This is an enhancement that was requested by the Collection Manager community.



The exclusion options correspond to the Form of Item codes as defined in Bibliographic Formats and Standards:



Online. The resource is accessed by means of hardware and software connections to a communications network.

300    1 online resource (ix, 243 pages) : ǂb illustrations


Direct electronic.  Storage on a directly accessible tangible recording medium, e.g. disc, tape, Playaway device, flashdrive, portable hard drive, etc.  Do not use code q for items that do not require the use of a computer (e.g., music compact discs and videodiscs).

300    1 CD-ROM : ǂb illustrations (some color) ; ǂc 4 3/4 in.

s Electronic. Item is intended for manipulation by a computer. The item may reside in a carrier accessed either directly or remotely. The item may also require the use of peripheral devices attached to the computer (e.g., a CD-ROM player). Do not use code s for items that do not require the use of a computer (e.g., music compact discs and videodiscs). Prefer use of codes
o and q to separately identify online and direct electronic resources. Whenever possible OCLC will convert instances of code s to either code o or q.


Cataloging partner collection processing increased to six times per week

To quickly deliver output for provider manifests that are submitted later in the week, OCLC has increased cataloging partner collection processing to six times per week. This means that files resulting from manifests delivered Thursday night or Friday may be available as early as Saturday.


R2 Library / Rittenhouse automated holdings feed

Users of Collection Manager can now automate the maintenance of their R2 Library ebook holdings in WorldCat.

With your authorization, Rittenhouse can now provide weekly updates to OCLC with your library- specific holdings data (including new and deleted titles) so that Collection Manager can automatically:

•    keep your WorldCat holdings up-to-date for both purchased and Patron-Drive Access (PDA) collections
•    ensure seamless access to your titles without the need for library staff intervention
•    deliver MARC records with customizable ongoing updates

Setup wizard for OCLC cataloged collections

Infrequent novice users of Collection Manager can now more easily retrieve OCLC cataloged collections from Collection Manager. For those users that do not have an OCLC cataloging subscription and rarely use Collection Manager, retrieving records for OCLC cataloged collections can be a complex task. These occasional users now have an option to walk through a setup wizard and answer a series of simple questions, which will complete a minimal profile setup on their behalf. At the end of the wizard, they can watch a short video that will instruct them in searching for and selecting their collection(s). The video then shows users how to retrieve their MARC records from My Files. (Note that this option will only appear for users with limited access to Collection Manager.)



Bug fixes

KBART upload- User has ability to start the upload process without specifying a file

In the past, it has been possible for a user to begin the KBART upload process without specifying a file. This has been resolved. Now, the Upload button is disabled until a file has been chosen.

MARC delivery/WorldCat holdings filter results incomplete

Previously, when filtering a search for collections by MARC delivery disabled/enabled or WorldCat holdings disabled/enabled, the filter results were not complete. This issue has now been resolved.

Linking key should not be required for title editing

Previously, Collection Manager required a linking key (and displayed an error) when attempting to edit an existing knowledge base title. While the linking key is required for new titles, it should not be required when editing existing titles. This has been resolved.
