Why am I missing MARC files from my record delivery?

Answer

1. Titles must have OCLC numbers to output records.

• Titles must have an OCLC number (OCN). A title might be missing an OCLC number if:
  • No record exists for the item in WorldCat
  • A record exists but because of the complexities of cataloging electronic items, it is not classified as an electronic resource in a way that corresponds to the knowledge base’s matching process
• There are 2 options for viewing gaps in OCLC number coverage:
  • Option 1: The percentage of OCLC numbers in a collection is listed in this spreadsheet: Collections available in the WorldCat knowledge base
  • Option 2: View OCLC number coverage by downloading a KBART file of the collection. See Report errant OCLC numbers for complete instructions

2. Some titles might not meet the requirements for record output. Format, coverage value, and title URL requirements

• Titles must:
  • Have an OCLC number and have a URL/856 and be of a readable format and coverage (i.e., journal [fulltext, print], ebook, and so forth), or
  • Have an OCLC number and have a coverage value of other or print (but lack a URL/856)

3. A title is in multiple collections.

• Titles are often available through more than one provider. If you have a title in multiple knowledge base collections, Collection Manager will deliver a single record for the knowledge base title and the record will have multiple URLs.
• If all of your records are delivered in one file and you hold a title in several knowledge base collections, you will get one record for the title. To have records output in a separate collection, see Collection-level settings in knowledge base collections, Delivery File Output.

4. There are duplicate entries for the same title in a collection.

• This occurs when a provider wants to include different coverage depths for the same records. Your MARC delivery file will generate one MARC record per OCLC number. For example, a collection could say it has a 100 titles, but half of them are duplicates with the same OCLC number to include two coverage depths: eBook and full text.

There are several reasons you could get a different number of MARC records than that on your title list from a provider:

• Though OCLC and its partners work closely together to ensure a record for every e-resource title, there may be variances in the number of records received because some partner delivery programs are tied to customer holdings rather than sales history
• Records may be in OCLC's cataloging queue depending upon how partner metadata feeds coincide with titles' street dates
• Past cataloging practices concerning multi-volume titles may have recommended a set record with multiple URLs being used for multi-volume titles
• Titles are often available through more than one provider. If you have a title in multiple knowledge base collections, Collection Manager will deliver a single record for the knowledge base title and the record will have multiple URLs. If all of your records are delivered in one file and you hold a title in several knowledge base collections, you will get one record for the title.
