Create a print serial collection (Fundamentals)

WorldShare Management Services and WorldCat Discovery libraries create print serial knowledge base collections so patrons can find them alongside their electronic serial titles.

 Note: If you are a WMS library or using full WorldShare Collection Manager, see Create a print serial collection.

About adding print periodicals in your knowledge base

Represent your print serials in order to:

  • Add print titles to the link resolver to surface them alongside full-text resources in your A to Z list
    • Titles will not surface in WorldCat Discovery.
  • Optimize the discovery of full-text resources by using coverage to determine article holdings in WorldCat Discovery

How to create a collection of print serials

Gather information about your print titles

Use a third-party tool to extract data from the records to create a KBART file. See the MarcEdit instructions below.

Use MarcEdit to pull specific fields from your file of records

MarcEdit is available for download at: http://marcedit.reeset.net.

OCLC cannot provide support for this third-party tool. Find tutorials about using MarcEdit: http://www.youtube.com/results?search_query=marcedit.

To use MarcEdit to pull specific fields from your file of records:

  1. Open your downloaded files of records in MarcEdit and convert them to a tab delimited file.
  2. Navigate to Tools > Export > Export Tab Delimited Records.
  3. In Set File Paths, enter the path of the file you downloaded from Collection Manager Fundamentals.
  4. Enter the path where you would like to output files. 
  5. Browse to your desired source file by clicking the folder next to the text box. Click Next.
  6. Define the fields and subfields that you want to export into the spreadsheet. Select a field and subfield and click Add Field until you have all of the desired fields represented. For example, you could choose:
    • ISBN (020$a),
    • OCLC number (035 $a),
    • LC call number (050 $a and $b),
    • Author (100 $a), and
    • Title (245 $a, $b and $c)
  7. Once you have selected all of the desired fields/subfields, click Export

 You can save your selections for future use. The resulting .txt file can be opened and viewed as a spreadsheet for additional manipulation as needed.

Create a print serials collection in Collection Manager Fundamentals

Follow the instructions to Create a knowledge base collection in Collection Manager Fundamentals.

Before you create your collection, please note:

  • The instructions include the option to create a collection using a list of OCLC numbers. Afterward, you must add your coverage information.
  • Enter the below information to have the print serials links in the A to Z list go to the record in WorldCat Discovery:
    • From the Collection-level settings:
      • Enter https://[[yourlibrary]].on.worldcat.org/search?queryString=in:[[ISSN]] as the Title Link Formula.
      • Enter [[ISSN]] as the Database Linking Key setting.

Enable the institution-level setting for coverage

After you create the collection, navigate in Collection Manager Fundamentals to Institution Settings > WorldCat Discovery > Coverage and enable the coverage settings. See Coverage for more information. 

 Note: It is recommended that you do not enable the setting until after you have represented your print serial collections.
