New features and enhancements

Schedule report delivery to My Files

Staff with a scheduling or author role can now choose to schedule reports for pick up in My Files and/or your institution's OCLC FTP account. See the WorldShare Reports Online Help for more information about scheduling and user roles

File System: My Files + OCLC FTP

Select the File System destination to deliver a report to My Files and your institution's OCLC FTP account. Note that any staff member with access to the Analytics tab may be able to download reports visible in My Files.

To ensure that a file is delivered successfully via File System:

  • Instance Title:
    • Limit to 70 or fewer characters
    • Use only the basic Latin alphabet (A-Z, a-z) and/or numerals (0-9)
    • Do not use special characters other than hyphen (-) or underscore (_)
  • Formats: Do not select 'Web Intelligence'
  • Destinations:
    • Leave the “Keep an instance in the history” checkbox selected
    • Leave the “Use default settings” checkbox selected

Failure to follow these guidelines may cause file delivery to fail.

To retrieve a report delivered via File System, go to the Analytics tab, open the My Files accordion, and select 'Download Files.' If needed, filter your results to WorldShare Reports.

Files will be available in My Files approximately twenty minutes after the scheduled run time. Be advised that, at peak times, reports may not be available for as long as two hours.

In addition to downloading your report files from the My Files repository, you can download or manage (i.e. delete, transfer, etc.) the files from OCLC's FTP site using any FTP client (e.g., Filezilla). Default Enterprise Location: Report Launch Pad

If you would prefer for scheduled reports to continue to be available only via the History menu in the Report Launch Pad, select the 'Default Enterprise Location' destination. Prior to this release, all scheduled reports were delivered to the Default Enterprise Location.

This destination is ideal for users who wish to schedule a report that should not be visible in My Files, i.e. reports with patron PII or other sensitive data.

 

Rescheduling

You can update the destination of a schedule at any time by viewing its history and selecting 'Reschedule' from the 'More Actions' menu.

In the Reschedule menu, navigate to Destinations and update the location. When you are done, click 'Schedule' to apply the changes to all future scheduled runs of the report.

Cataloging: Daily refresh rate for New and Removed Titles Lists

Instead of waiting until the end of the month to see your library’s recent title holdings activity, this data is now available the next day in the New Titles List and Removed Titles List. Select the current month as the End Year Month (YYYY-MM) prompt value to include data as-of the end of the previous day.

Report Designers who have created a report with objects from the Volatility Information folder in the Cataloging universe will also benefit from the daily refresh rate.

 

Report Designer: Institution Symbol available in the Serials Received universe

Report Designer customers can add their OCLC symbol to reports created from the Serials Received universe. OCLC symbols can be used in place of your institution’s full name, allowing you to make better use of space

Report Designer: Five objects added to the Cataloging universe

Report Designer customers can now create reports that analyze title holdings by two new objects:

  • Authentication Code: The value from the 042 $a of a cataloging record which indicates that the record has been reviewed by a particular authentication agency, e.g., pcc | nsdp | dlr.
  • Language Name: The primary language in which a work is published.

The Volatility Information folder includes three new objects:

  • Local Item Call Number Main Class: Derived from LHR 852 $h, the primary subject or topic of an item according to the shelving scheme, e.g., P for Library of Congress Classification or 200 for Dewey Decimal Classification.
  • Local Item Call Number Subclass: Derived from LHR 852 $h, the secondary subject or topic of an item according to the shelving scheme, e.g., PS from Library of Congress Classification or 020 from Dewey Decimal Classification.
  • Local Item Shelving Scheme: From the first indicator value of LHR field 852, determines the classification used to organize an item on the shelf.

Report Designer: New LHR Item Detail universe

Introduction

Item-level data is stored in Local Holdings Records (LHRs). Report Designers can now use the LHR Item Detail universe to generate reports with LHR data alongside WorldCat bibliographic data. With a daily refresh rate, this universe is a powerful tool for creating detailed lists of items in your collection.

LHR details can be found in the LHR Date Entered on File and LHR Item Detail folders. WorldCat bibliographic data is available in the Title folder.

 

 

Minimum Fields & Item Holdings

LHRs define copy-level data (fields 001, 008, 852) and item-level details (fields 853-855/863-865, 866- 868, 876-878). Copy details include holding and shelving location, call number, etc. Item details include barcode(s), enumeration and chronology, textual holding statements, notes, etc.

Item ‘uniqueness’ is determined by a combination of LHR subfields. To ensure that all relevant item holdings are retrieved, it is suggested that the following six objects be included in each report:

  • LHR Control Number: From 001, the system-supplied control number assigned to a separate local holdings record.
  • LHR Item Barcode: From 876-878 $p or 852 $p, the unique, machine readable code used to identify the item when performing library functions such as check in, check out, etc.
  • LHR Basic Unit Enumeration and Chronology: From fields 853 and 863, the numeric, alphabetic, and/or date designation that either appears on an item or that is used to record the receipt of an item.
  • LHR Index Enumeration and Chronology: From fields 855 and 865, the numeric, alphabetic, and/or date designation for an index that appears on an item or that is used to record the receipt of an item.
  • LHR Supplement Enumeration and Chronology: From fields 854 and 864, the numeric, alphabetic, and/or date designation for a supplementary material that either appears on an item or that is used to record the receipt of an item.
  • LHR Item Textual Holdings: From 866-868 $a, a textual description of the holdings used instead of or in addition to the coded 853-855 and 863-865 fields when those fields cannot be used adequately to describe the holdings.

In this example, the addition of LHR Basic Unit Enumeration and Chronology reveals that there are three items rather the one:

Note that the same rules for calculating item uniqueness are used to generate the Branch Item Holdings reports, i.e. the Item Holdings Quantity measure:

Single-Part items (1 item counted)

  • LHR includes the basic, required fields only (leader, 007, 008, and a single 852).
  • LHR includes the required fields in addition to one or more unlinked 866 field or 876 field without a value of ‡p.

Multipart & serial items (2+ items counted. Assumes all required fields are present)

  • If an LHR includes an 863-865 field that is linked to an 853-855 field (via linking number in ‡8), then each linked 863-865 field is counted as an item.
  • If an LHR includes an 863-865 field that is linked to an 866-868 field (via linking number in ‡8) and/or to an 876-878 field (via ‡8), then each such occurrence of 863-865 is counted as an item.
  • If an LHR includes an 866-868 field with a ‡8 of zero (0) and there are no 853-855, 863-865, or 876- 878 fields, then each such occurrence of 866-868 is counted as an item.
  • If an LHR includes an 866-868 field with a ‡8 of zero (0) that is linked to 876-878 field (via ‡a to ‡3 respectively) but without 853-855 or 863-865 fields, then each linked 876-878 field is counted as an item.
  • If an LHR includes an 866-868 field with a ‡8 of zero (0), includes one or more unlinked 876-878 fields with a value of ‡p, but does not include 853-855 or 863-865 fields, then each linked 866-868 and 876-878 field is counted as an item.
  • If an LHR includes an unlinked 876-878 field with a value of ‡p, then that 876-878 field is counted as an item.

 

Other Information

No standard reports from the LHR Item Detail universe are planned at this time. Report Designer customers can use this data to answer specific questions about item holdings. Customers without Report Designer can continue to use the Branch Item Holdings reports for an aggregated view.

Reports created from the LHR Item Detail universe are limited to 50,000 rows. If you encounter a partial results message, apply additional or more specific filters to the query.

LHR objects include a detailed description of the data source, including field and subfield data.
