Baker & Taylor EDIFACT configuration

You can notify Baker & Taylor (B&T) of an order by transmitting your EDIFACT order information via FTP. OCLC does not support FTP transmission of EDIFACT files, so you have to send the EDIFACT order information to yourself or the staff member who will be uploading the files.

Step 1: Add vendor identifiers in Vendors

  1. On the left navigation, click Vendors.
  2. Search for Baker & Taylor.
    • If possible, select the public Baker & Taylor record with the location Charlotte, NC.
    • If your library chooses to use a private vendor record, you will need to complete an additional step (see step 9).
  3. In the vendor record, click the Contacts accordion. You need to create a contact for the vendor that includes the email address of the staff member who will be uploading the files to B&T.
  4. Click Add New Contact.
  5. Fill in the fields with your staff member's information.
  6. Click the Acquisitions Settings accordion.
  7. In the Specific Notification Settings fields, set the following:
    1. In the Action list, select Ordering.
    2. In the Contact list, select the contact you created in step 5.
    3. In the Delivery Method list, select E-Mail (EDIFACT).
    4. Click Save.
  8. In the Edifact Notification Settings fields, select the following values:
    1. UNB Vendor Identifier - Select SAN (Standard Address Number).
    2. UNB Library Identifier - Select Library-supplied Identifier. Enter your library's SAN (without hyphens) into the Library Supplied Identifier field.
    3. NAD Vendor Identifier - Select SAN (Standard Address Number).
    4. NAD Library Identifier - Select Library-supplied Identifier. Enter your library's SAN (without hyphens) into the Library Supplied Identifier field.
  9. If you selected the public B&T record, go to the next step. However, if you selected a private B&T record, you will need to enter the SAN in the Identifiers section:
    1. Click the Identifiers accordion.
    2. In the SAN field, enter 1556150.
  10. If you have not already configured your Account Numbers for B&T, you will want to do that at this time:
    1. In the B&T record, click the Customer/Account Numbers accordion.
    2. Enter each sub-account you have as a combination of B&T's SAN (1556150) and a suffix (e.g., 1556150 0001).
  11. Click Save.

Step 2: Send the order

  1. Create your order for B&T and add line items using your normal method.
  2. Select an ISBN or ISSN for each item on the order.
  3. Select the appropriate Account Number.
  4. Click Place Order.
  5. On the Place Order window, make sure the Notify Vendor about this order check box is selected.
  6. Click Continue.
  7. Click Place & Send Order.
  8. The staff member that will be uploading this file via FTP (see Step 1: Step 3) will receive an email with the EDIFACT file as an attachment.
  9. The staff member should sign into the B&T FTP site and upload the file into the .OUT folder.
