Learner guide: Tipasa Borrowing workflows

Course overview

This course provides the basic skills needed to process and manage borrowing requests in Tipasa. In this course, you will learn how to process and manage loan and copy requests, how to enable and use the U.S. copyright feature for copy requests, how to enable and use the document delivery functionality for those items owned by your library, and how to take advantage of automation and notification options to provide a seamless experience to your patrons.

Automation

Automation allows your library to configure rules for the system to take action on steps on your requests instead of you doing everything manually. Automation is configured in Automated Request Manager in OCLC Service Configuration.

Proven Senders

The Proven Senders feature allows borrowing libraries to designate individual lenders as proven senders. Proven senders are lenders who provide good quality documents (e.g., good scans, fast turnaround time). When the lenders you designate as proven senders respond to a copy request with an Article Exchange document, the request is automatically received for the borrower. Proven Senders can be combined with automations in order for patrons to receive copies as soon as the lenders scan and send them. See Automated Request Manager for more information.

Document Delivery

The Document Delivery features in Tipasa allow your library to fulfill requests from your patrons with items from your own collection. Your collection includes:

  • Physical items your library holds
  • Copies from print journals your library holds
  • Links to resources your library has registered in the WorldCat knowledge base
  • Open Access links
  • Links to other electronic resources your library has available

When Document Delivery is enabled, the Document Delivery queue appears in the left navigation as well as Quick Links. You can configure automations to route requests for items your library holds to the Document Delivery queues.

U.S. Copyright management

The Copyright feature allows borrowing libraries in the United States to keep track of requests for copies from journals. Using copyright management, you can track free copies borrowed under the CONTU guidelines as Fair Use and for other copies track royalty payments that will be processed at a later date.

Process requests

Learn how to process New For Review and Open Access requests, how to receive items from In Transit and Received status, the options for unfilled requests, and how to respond to conditionals from lenders in Tipasa. Learn how to use the batch processing options to receive and return items.

Notifications

When notifications are set up and configured, borrowing libraries can send standard and custom email messages to patrons using the Email button located on the request screen. You can configure automated notification to be sent by the system according to your rules. If you have enabled manual notifications, you can send these at any time in the Tipasa interface. Any notifications you have enabled as Manual sending in WorldShare interface will be available to send. Learn how notifications are sent automatically and how you can send manual notifications.

Printing options

With Tipasa, you can print individual requests, all requests in a queue, add requests to the print queue to print out later, and queue book straps and shipping and return labels to be printed.
