Edit librarian accounts

You can update your institution's existing librarian accounts.

 Note: The Login ID for an account is system generated and assigned. You cannot change the Login ID for an existing account. However, you can create a new account with the same settings, then delete the account with the old Login ID. An automatically generated email will notify the Librarian that a new account has been created. To alleviate frustration at login, you may wish to contact the Librarian with information on which account you've deleted.

Edit a librarian account

  1. Navigate to Administration > Institution > Accounts > View/Update Accounts.
  2. On the Current Librarian Accounts screen, click Edit for the account you want to update.
     Note: Accounts are listed in order by authorization.
  3. On the Edit Librarian Account screen, enter the new information. See Account Privileges to determine the privileges needed for the desired access to each service. See Type for information about Type and Current Access.
  4. Click Submit to update the account.

Current Librarian Accounts screen - Fields

Login ID The system-generated login ID for an account.
Librarian's Name The name of the librarian for an account.
Screen Name The screen name of the librarian for an account.
Librarian's E-mail Address The email address for an account.
Account Privilege/Profile Indicates the type of access an account has to institution profile records.
Account Privilege/Ask A Librarian Indicates the type of access an account has to Ask A Librarian.
Account Privilege/Knowledge Base Indicates the type of access an account has to the local and global Knowledge Bases.

Service privilege access
Profile None No access to your library's profile or policy page in the Profile module. Even if this privilege is selected, librarians can still view your library's policy page and search other policy pages while they chat with patrons.
View Profile View access only to your library's profile or policy page in the Profile module.
Edit Profile Edit access to institution profile records and policy page.
Ask A Librarian None No access to chat and answer and refer questions.
Ask Librarian Access to chat and answer and refer questions.
Ask Administrator Access to chat and answer and refer questions, assign questions to others in your institution, review transcripts of chat sessions and answered questions, and see all of library's patrons in chat monitor under the All tab.
Local Knowledge Base View KB View and search the local KB.
Add/Submit View, search, and submit questions and answers for inclusion in the local KB.
Edit KB View, search, submit questions and answers and edit the local KB.
Edit/Delete KB View, search, submit questions and answers, edit, and delete records from the local KB.
Global Knowledge Base View KB View and search the global KB.
Add/Submit View, search, and submit questions and answers for inclusion in the global KB.
Edit KB View, search, submit questions and answers and edit the global KB.

Type

If the librarian will monitor QuestionPoint chat queues, select Local or Global in the Type drop-down list and select the Ask Librarian or Ask Administrator account privilege for the librarian.

Local

Select Local if:

  • Your library does not participate in a 24/7 Cooperative group or in a private cooperative group.
  • Or, your library does participate but you do not want the librarian to monitor chat queues for a 24/7 Cooperative group or a private cooperative group.

If you select Local:

  • When you click Submit, the system automatically moves the queues that are owned by your BME into the Current Access box.
  • When the librarian launches chat, your BME's queues will be listed by type (primary and BME).

Global

Select Global if:

  • Your library participates in a 24/7 Cooperative group or in a private cooperative group.
  • And, you want the librarian to monitor chat queues for the 24/7 Cooperative group or the private cooperative group.

If you select Global:

  • When you click Submit, the system automatically moves the appropriate queues into the Current Access box. If your library participates in a 24/7 Cooperative group, these include all the queues that are part of the 24/7 Cooperative group and the queues owned by your BME. If your library participates in a private cooperative group, these include all the queues that are part of the private cooperative group and the queues owned by your BME.
  • When the librarian launches chat, the appropriate queues will be listed by group (primary, BME, 24/7 Cooperative or private cooperative group.)

 Note: The system automatically moves the appropriate queues into the Current Access box. Do not move queues into the Current Access manually unless you are specifically asked to do so.
