Administer staff ILL settings

Learn how to to set and delete staff authorizations.

Overview

The FirstSearch administrator controls access to this interface by linking ILL authorizations to FirstSearch authorizations.

Resource sharing administration and functionality are available in the WorldCat Services Administrative Module under Resource Sharing > Staff ILL Settings. The following screen is available under Staff ILL Settings:

  • Authorizations - Allows you to add and delete staff ILL authorizations

Overview of the FirstSearch staff ILL interface

The FirstSearch staff ILL interface consists of a basic interface to the OCLC Interlibrary Loan service in FirstSearch. Resource sharing staff can use FirstSearch to:

  • Search for materials using the discovery view in FirstSearch
  • Display holdings and enter lender strings
  • Enter shipping and billing information and borrowing notes
  • Send requests for materials to OCLC ILL

The FirstSearch staff ILL interface provides access to:

  • Patron ILL capabilities, allowing resource sharing staff to make use of ILL Direct Request in FirstSearch (direct to profile or direct to review)
  • Additional tools ILL staff need to allow them to submit requests to the OCLC ILL service (direct to lender)
  • All of the functionality of FirstSearch associated with the FirstSearch authorization (Infotrieve, Select Translation Service, pay-per-use article purchasing, etc.)

Who may use the FirstSearch staff ILL interface?

Anyone with an OCLC ILL authorization who would like the use the staff view of FirstSearch and has linked their ILL authorization to their FirstSearch authorization may use the FirstSearch staff ILL interface.

What must the FirstSearch administrator do?

A FirstSearch administrator must do the following:

  • Enter one or more current OCLC ILL authorizations and passwords for the institution on the Authorizations screen.
     Note: If an institution has multiple FirstSearch accounts, one should be designated for use by ILL staff. Contact the institution's ILL department for information about ILL authorizations. Institutions with a single ILL authorization and a single FirstSearch authorization as of August 16, 2003, will have their authorization automatically linked for them.
  • Provide ILL staff with the information needed to get access to the FirstSearch ILL staff view.

Add staff ILL authorizations

Performing the following procedure associates an ILL authorization with an institution's FirstSearch authorization.

 Note: Contact an institution's ILL department for information on ILL authorizations. The ILL and FirstSearch authorizations must belong to the same institution.

  1. Click the Resource Sharing section of the main menu, then choose Authorizations from the drop-down list under Staff ILL Settings in the sidebar menu.
  2. From the Authorizations screen, type in an ILL authorization for your institution in the Staff ILL Authorization field and then click the Add button.
     Note: The system does not tell you whether or not the authorization is valid until you click Save Changes.
  3. Click Save Changes.
    • If you entered a valid authorization, the system responds with Staff ILL Authorizations screen changes saved.
    • If you entered an invalid authorization, the system responds with an error message. Possible invalid authorizations include:
      • Authorizations already linked to other FirstSearch authorizations for your institution
      • Authorizations that do not belong to the same institution as your FirstSearch account

Delete staff ILL authorizations

Performing the following procedure disassociates an ILL authorization from an institution's FirstSearch authorization.

  1. Click the Resource Sharing section of the main menu, then choose Authorizations from the drop-down list under Staff ILL Settings in the sidebar menu.
  2. From the Authorizations screen, click the authorization you want to delete in the Staff ILL Authorization List field and then click the Delete button. The authorization disappears from the Staff ILL Authorization List field.
  3. Click Save Changes. The system responds with Staff ILL Authorizations screen changes saved.
