WEBVTT 1 "Crystal Rodriguez" (1267483904) 00:00:07.860 --> 00:00:22.980 All right. Well, thank you all for joining. Hello and welcome to today's session, edit knowledge base collections with the user interface. My name is Crystal Rodriguez and I am a trainer here at OCLC with our Member Education team. 2 "Crystal Rodriguez" (1267483904) 00:00:22.980 --> 00:00:42.980 So this course will cover how to work with WorldCat knowledge base collections using the WorldShare Collection Manager interface. By the end of the session, you will be able to log in and navigate Collection Manager, search for knowledge. 3 "Crystal Rodriguez" (1267483904) 00:00:42.980 --> 00:01:00.510 Knowledge base collections in Collection Manager, select and edit existing knowledge base collections, create a local knowledge base collection, and search the activity history within Collection Manager. 4 "Crystal Rodriguez" (1267483904) 00:01:00.510 --> 00:01:20.510 And let's start with a little bit of a review. So WorldShare provides a complete set of library management applications and platform services built on an open cloud-based platform. It provides tools for cataloging, interlibrary loans, acquisitions, circulation, and more. 5 "Crystal Rodriguez" (1267483904) 00:01:20.510 --> 00:01:35.760 All integrated to support collaboration and efficiency. And WorldShare Collection Manager is a cataloging tool within the WorldShare interface. It helps libraries save time, automate MARC record delivery. 6 "Crystal Rodriguez" (1267483904) 00:01:35.760 --> 00:01:51.420 And improve the library catalog to support better collection discovery and access. In the WorldCat knowledge base is a global database of electronic resources that are maintained by OCLC and member libraries. 7 "Crystal Rodriguez" (1267483904) 00:01:51.420 --> 00:02:11.420 Allowing you to combine data about your library's electronic resources to make your collections easier to find, share, manage, and use. WorldCat knowledge base collections enable libraries to provide easy access to electronic resources. 8 "Crystal Rodriguez" (1267483904) 00:02:11.420 --> 00:02:31.230 In WorldCat Discovery search results. Share electronic resources efficiently with other libraries via WorldShare ILL, Manage budgeting, ordering, and acquisition through WorldShare Acquisitions, control access rights and link resolution using WorldShare. 9 "Crystal Rodriguez" (1267483904) 00:02:31.230 --> 00:02:49.770 License Manager, and lastly to develop custom solutions by integrating with the WorldCat knowledge base API. WorldCat knowledge Base contains providers, which are vendors like Ebsco, Elsevier, Proquest, et cetera. 10 "Crystal Rodriguez" (1267483904) 00:02:49.770 --> 00:03:05.820 It also includes a URL to the provider's homepage. You'll also see collections which contain titles that will make up that collection, and under the collections, you will also see the provider ID and linking information. 11 "Crystal Rodriguez" (1267483904) 00:03:05.820 --> 00:03:25.650 And then you'll also see titles, which are the e-resource titles within a collection. This includes title information like identifiers, coverage, and item level URLs as well. Now typically libraries can represent their collections in the WorldCat knowledge base. 12 "Crystal Rodriguez" (1267483904) 00:03:25.650 --> 00:03:45.570 By selecting and editing an existing collection or creating new collections. Today we will cover selecting and editing collections within the user interface. Our next session will review selecting, editing and adding collections using KBART files, and I'll tell you later on what those are even. 13 "Crystal Rodriguez" (1267483904) 00:03:49.500 --> 00:04:07.020 If your library is new to WorldShare Collection Manager, you will need to complete a request form on the OCLC help site and in the learner guide, which I'm going to actually add that link into the chat for you. So the learner guide is a dynamic document that. 14 "Crystal Rodriguez" (1267483904) 00:04:07.020 --> 00:04:24.120 Can be used in an accompaniment for this course and it'll have some references for you and we update that anytime that the course is updated. And as I mentioned there you can find that request form to access to request WorldShare Collection Manager access if needed. 15 "Crystal Rodriguez" (1267483904) 00:04:24.120 --> 00:04:44.120 And once you complete that form within a few days, our order services team will reply with a welcome letter that contains your library's unique WorldShare URL, your credentials, and additional getting started information. 16 "Crystal Rodriguez" (1267483904) 00:04:44.120 --> 00:04:50.519 Now, if your library uses Collection Manager, but you need access. 17 "Crystal Rodriguez" (1267483904) 00:04:50.519 --> 00:05:07.979 You can contact a staff member with Collection Manager admin privileges and they can either create in a new account for you or add the necessary Collection Manager roles to your existing WorldShare account. So if you have an existing WorldShare account, you do want to use that. 18 "Crystal Rodriguez" (1267483904) 00:05:12.119 --> 00:05:29.369 And you or your administration staff can view the user administration documentation that is linked in the learner guide for additional details and for any assistance with creating an account, please contact OCLC support in your region. 19 "Crystal Rodriguez" (1267483904) 00:05:29.369 --> 00:05:48.659 And I'll show this later, but you can reach them at support@OCLC.org. Now let's review Collection Manager and what we will see in the different functions. So after accessing your WorldShare site, you'll click on Metadata. 20 "Crystal Rodriguez" (1267483904) 00:05:48.659 --> 00:06:08.009 And then you'll click on Collection Manager. And here you'll see the search area. Libraries can search by collections, titles, providers, and activity history. And there is also an option to search for data sync collections that your library has created. 21 "Crystal Rodriguez" (1267483904) 00:06:08.009 --> 00:06:28.009 You'll use the scope limit to view only the collections that your library has selected, which will include those collections created by your library. Or you can view all collections that are available in the global database database or only collections that your library has. 22 "Crystal Rodriguez" (1267483904) 00:06:28.009 --> 00:06:29.399 Not selected. 23 "Crystal Rodriguez" (1267483904) 00:06:29.399 --> 00:06:48.149 And then you'll enter your search in the search terms box that is provided. If you leave that blank, you will receive results, all the results that match that scope. So to see all collections available, you would leave it exactly how you see on the screen here and just click search or enter. 24 "Crystal Rodriguez" (1267483904) 00:06:48.149 --> 00:07:08.149 You will also see the home button, which is going to return you to the home screen here. The create a collection button is exactly what it says. It's going to help you to begin the process of creating a new collection. The title work list button, that's going to allow for bulk. 25 "Crystal Rodriguez" (1267483904) 00:07:08.149 --> 00:07:15.329 Collection or deselection of titles within one or multiple collections, and we'll demonstrate that a little bit. 26 "Crystal Rodriguez" (1267483904) 00:07:15.329 --> 00:07:32.219 Later in the session. And then lastly, the institution settings is going to allow you to customize your Collection Manager settings. Now these settings apply to all collections, however, certain settings can be overridden at the collection level. 27 "Crystal Rodriguez" (1267483904) 00:07:32.219 --> 00:07:51.839 You'll also see here the My Files accordion. This is going to open up with options for you to download files of records and reports for your collections or to upload files for data sync collections or if you're using the, actually, just for the data sync collections, that's where you'll add those there. 28 "Crystal Rodriguez" (1267483904) 00:07:51.839 --> 00:08:11.729 And then at the home screen, you will also see this dashboard in the center of the screen, and there you'll see the automatic holdings feeds tab. This is gonna allow you to monitor data loads from providers that support automatic collection loading and maintenance. 29 "Crystal Rodriguez" (1267483904) 00:08:11.729 --> 00:08:28.079 And also it's going to allow you to configure your automatic holdings feeds request. And there is some information on holding automatic holdings feeds within that learner guide, and I will touch on it briefly later. You also will see the KB sync tab. 30 "Crystal Rodriguez" (1267483904) 00:08:28.079 --> 00:08:45.689 This is going to allow you to sync your knowledge base from another service with the WorldCat knowledge base if your library uses that. This is also known as alternate knowledge base supplier holdings, and we, again, we'll touch a little bit more on that later in the session. 31 "Crystal Rodriguez" (1267483904) 00:08:45.689 --> 00:09:05.689 And then just below that dashboard, you'll find links to Collection Manager recordings, news updates, and release notes. And just a note there that if you click on these links, it will take you away from the WorldShare interface. So to keep your current session open, it's best to do a right click. 32 "Crystal Rodriguez" (1267483904) 00:09:05.689 --> 00:09:12.329 And choose to open that link in a new tab or new window. 33 "Crystal Rodriguez" (1267483904) 00:09:12.329 --> 00:09:32.329 And there's just a few key institution settings that I want to review a bit. So you'll see the knowledge base data sources tab accordion here, and that's gonna open to either the data sources tab or then you can also click on KB sync. So under data. 34 "Crystal Rodriguez" (1267483904) 00:09:32.329 --> 00:09:35.729 Sources, this is where you're gonna view a list of providers. 35 "Crystal Rodriguez" (1267483904) 00:09:35.729 --> 00:09:55.729 Where you have automatic holding speeds in place. So on my screen you can see that I have, four different holding speeds in place there. And then the KB sync tab, that's where you're going to upload those 3rd party holdings files if you're using the KB sync option. 36 "Crystal Rodriguez" (1267483904) 00:09:55.729 --> 00:10:11.339 So just for a clarification, if you're using data sync, you're gonna use the my Files uploads. If you're doing KB sync, you're gonna come here to the knowledge base data and click on that KB sync tab. 37 "Crystal Rodriguez" (1267483904) 00:10:11.339 --> 00:10:31.339 And I do want to note that OCLC recommends keeping the default settings here. Changes are typically made only when you're discontinuing specific loadings, services. The next institution setting that I want to point out is the Worldcap Holdings accordion. And again, these are all under. 38 "Crystal Rodriguez" (1267483904) 00:10:31.339 --> 00:10:38.699 Institution settings, so you'll click on that institution settings tab 1st, the button, and then you'll see these accordions. 39 "Crystal Rodriguez" (1267483904) 00:10:38.699 --> 00:10:57.959 So under the WorldCat holdings, libraries within OCLC cataloging subscription can enable settings to allow Collection Manager to automatically maintain holdings in WorldCat as titles in dynamic collections are added, deleted or updated. 40 "Crystal Rodriguez" (1267483904) 00:10:57.959 --> 00:11:15.569 Next, you'll want to look at the proxy and authentication accordion. This is where you're going to enter proxy details to manage off campus access, and you can also enable Google Scholar linking by submitting your journal titles to Google. 41 "Crystal Rodriguez" (1267483904) 00:11:15.569 --> 00:11:35.569 And then we have the provider settings accordion. This is where you're gonna add provider specific identifiers to ensure that links resolve correctly to full content. And then the last of the institution settings that I want to review is found under the MARC records accordion. 42 "Crystal Rodriguez" (1267483904) 00:11:35.569 --> 00:11:50.579 And here you must decide if you want to receive MARC records for your collections. Once this is enabled, you will see additional options, so you see these tabs here, those will only show. 43 "Crystal Rodriguez" (1267483904) 00:11:50.579 --> 00:12:08.009 Highlighted if you say, say yes to enable MARC record delivery. So here I'm gonna review what each of those tabs are briefly. So customized records allows you to configure fields to add or delete in delivered records, as well as add collection level notes. 44 "Crystal Rodriguez" (1267483904) 00:12:08.009 --> 00:12:26.519 You'll use the WorldCat updates tab to determine if you would like to receive a MARC record when WorldCat records that you hold are changed. Under the record delivery tab, you will configure the record file format, frequency, and output. 45 "Crystal Rodriguez" (1267483904) 00:12:26.519 --> 00:12:42.869 If you use cataloging partner collections, you'll need to review the cataloging partner options tab. And lastly, if you choose TSV format for your file output under the record delivery tab. 46 "Crystal Rodriguez" (1267483904) 00:12:42.869 --> 00:13:02.869 You will then need to click on the TSV settings and configure the fields to be exported. If that TSV sounds new to you, it's because it is, that was installed as of the end of March, and primarily I think it's used for query collections, but it is available for other types of collections if you. 47 "Crystal Rodriguez" (1267483904) 00:13:02.869 --> 00:13:12.059 You prefer a TSV delivery format. 48 "Crystal Rodriguez" (1267483904) 00:13:12.059 --> 00:13:32.059 And then you can review the self paced enable MARC records for all collections training that is found in the learner guide for details on both institution and collection level settings for MARC record delivery. And even if you're familiar with that, you may want to check that out because it is a new training form. 49 "Crystal Rodriguez" (1267483904) 00:13:32.059 --> 00:13:33.119 That and. 50 "Crystal Rodriguez" (1267483904) 00:13:33.119 --> 00:13:53.119 It could be a good refresher for you. There's even a little simulation in there for you to practice customizing records. So I would recommend taking a look at that. Alright, so now let's go ahead and go over to our WorldShare Collection Manager and we can review some of these areas. 51 "Crystal Rodriguez" (1267483904) 00:13:53.119 --> 00:14:13.489 I'm just gonna pull up my Collection Manager here briefly and sign in. Oh, I need to refresh my screen because it I had been sitting there for a moment, so let me do that real quick. So I am on my library's unique WorldShare, and I had already signed. 52 "Crystal Rodriguez" (1267483904) 00:14:13.489 --> 00:14:20.459 So it's automatically signing me in again. 53 "Crystal Rodriguez" (1267483904) 00:14:20.459 --> 00:14:38.279 And before we actually look at searching, I do want to show you where you can get help while you're working with knowledge base collections. So to do that at the top of your WorldShare screen here, you're gonna see the help menu, and you can just click that dropdown and choose general help. 54 "Crystal Rodriguez" (1267483904) 00:14:38.279 --> 00:14:56.969 And that's going to open up a new tab or window that's going to take you to the OCLC support page that you see here. So you'll click, click on Metadata Services and then choose WorldShare Collection Manager. And you'll see here that we have quite a bit of documentation. 55 "Crystal Rodriguez" (1267483904) 00:14:56.969 --> 00:15:14.909 There's some getting started, there's more details on those institution settings and the MARC records information. And if you scroll all the way down on this page, you'll all also see some training information right here. So I am actually gonna scroll up because I want to start with. 56 "Crystal Rodriguez" (1267483904) 00:15:14.909 --> 00:15:30.899 A very helpful place for you. We have this document that's titled Choose Your Collection Manager workflow. So I'm going to click on that and you'll see that it gives some tips as to what you can do with the different. 57 "Crystal Rodriguez" (1267483904) 00:15:30.899 --> 00:15:48.629 Options that are available within Collection Manager. Knowledge base collections being the 1st one. So I could just click on that to be taken to the knowledge base documentation, but I actually want to scroll down a little bit and show you this little table of what to do if you're unsure which workflow that you need. 58 "Crystal Rodriguez" (1267483904) 00:15:48.629 --> 00:16:08.629 So we have some options here. So for an example, my library has purchased an ebook package and we need MARC records for that. So I see that option in the table, and I can click on the link for knowledge base collection, and then that's going to take me directly to the documentation for knowledge base. 59 "Crystal Rodriguez" (1267483904) 00:16:08.629 --> 00:16:17.669 Case collections specifically and I can find more details on that. 60 "Crystal Rodriguez" (1267483904) 00:16:17.669 --> 00:16:35.789 Okay, so let's go ahead and go back over to my WorldShare. And I want to show you searching, so I'm going to start by clicking on Metadata, takes a minute. And then I'll choose Collection Manager. 61 "Crystal Rodriguez" (1267483904) 00:16:35.789 --> 00:16:55.789 And here you see that screen that we saw earlier where we have our dashboard and our different options. So to view only your libraries collections that you have selected in the global WorldCat knowledge base, we're gonna use the scope of my selected collections. 62 "Crystal Rodriguez" (1267483904) 00:16:55.789 --> 00:17:15.059 So here under our search, we're gonna leave the data type as collection, and then I already have my selected collections, but I can use the dropdown to change that if needed. And as I mentioned earlier, if you leave the search terms box blank, you'll get all results. So I'm gonna do that and I'm just gonna click on search. You can also just hit hit enter. 63 "Crystal Rodriguez" (1267483904) 00:17:15.059 --> 00:17:35.059 And I'll take a moment to search because there is quite a bit of collections available. Well, in my case I only have 55, but still. All right. And then if you wanted to see all available collections, not just those selected, you can then change the scope to all collections and repeat that search. 64 "Crystal Rodriguez" (1267483904) 00:17:35.059 --> 00:17:53.939 That's the one that's gonna take a little bit longer because there's over 35000 and same way if you wanted to see items that you're, you haven't selected, you would just change that scope to not selected collections and repeat that search. 65 "Crystal Rodriguez" (1267483904) 00:17:53.939 --> 00:18:12.419 So let's review what we see here on the screen. So 1st we're gonna see the collection name, which is going to be hyperlinked, which that would if you click on that, that'll take you to the full list of titles within that collection. You'll see the type and attributes column. 66 "Crystal Rodriguez" (1267483904) 00:18:12.419 --> 00:18:28.199 Which is going to show you the type of the collection, e.g., here, knowledge base collection and some of its character characteristics. So you might see discontinued, which would mean that the collection is no longer maintained by KB data updates, but it's still. 67 "Crystal Rodriguez" (1267483904) 00:18:28.199 --> 00:18:45.809 There in its previous state. You might see locally created, which means collection is created by your library or as you see here on the screen, we do see also MARC delivery disabled. We have a few other options. We can see if it's an open access attribute, et cetera. 68 "Crystal Rodriguez" (1267483904) 00:18:45.809 --> 00:19:02.849 We also have the provider column, which is going to, just like it says, it's going to tell you who there's, who is the provider of that collection. All of the collection column and the provider column can also be sorted. If you just click on it, it'll sort alphabetically, take a few minutes there. 69 "Crystal Rodriguez" (1267483904) 00:19:02.849 --> 00:19:22.849 The updated can also be sorted. You'll, if, if it's able to be sorted, you'll see the little arrows there. So this updated, that's going to be the date that the collection was created or added to the global knowledge base. Selections is going to indicate just that whether the. 70 "Crystal Rodriguez" (1267483904) 00:19:22.849 --> 00:19:25.919 Library has selected the collection. 71 "Crystal Rodriguez" (1267483904) 00:19:25.919 --> 00:19:44.099 And how many titles have been selected. And then sharing is just gonna tell you whether your library shared the collection with other libraries or whether it is shared by another library to your library. Now here you can also filter. 72 "Crystal Rodriguez" (1267483904) 00:19:44.099 --> 00:20:04.099 The results, so you can use the filter by menu at the top, you can use that dropdown, and there you can choose multiple options. E.g., I can choose collections that I've created to see only collections that my library has created. I can use choose discontinued in order to see those dis. 73 "Crystal Rodriguez" (1267483904) 00:20:04.099 --> 00:20:09.539 Continued collections because maybe I need to remove holdings from those collections. 74 "Crystal Rodriguez" (1267483904) 00:20:09.539 --> 00:20:27.359 That are no longer maintained by the knowledge base, updates. You can also click on the MARC record delivery option to see only collections that are, have either enabled or disabled the MARC record delivery. And then you have other options as well. 75 "Crystal Rodriguez" (1267483904) 00:20:27.359 --> 00:20:42.599 So let's look at that MARC record delivery. So if I click on that, I then have the option to choose either enabled or disabled. And then I can use the green plus button to add a secondary filter. So let's go ahead and click on that. 76 "Crystal Rodriguez" (1267483904) 00:20:42.599 --> 00:21:02.069 And let's say that I want to just see items that contain open access content. I just want to see those collections, and then I'll click filter. And I can use that red minus to remove that. Now I don't have any, looks like there's no collections where my library has enabled MARC records. 77 "Crystal Rodriguez" (1267483904) 00:21:02.069 --> 00:21:21.899 And it contains open access, so I can just remove that 1st filter with that minus button and run that filter again by clicking on the filter button, and now I see just open access. Okay. 78 "Crystal Rodriguez" (1267483904) 00:21:24.719 --> 00:21:43.019 So that is looking for all collections, but obviously we can also look for specific collections. So I'm going to go ahead and leave the scope as all collections, and I want to look for a pro quest collection, the Proquest European business collection. So I'm just gonna type that into the search terms. 79 "Crystal Rodriguez" (1267483904) 00:21:43.019 --> 00:22:02.729 And again I can hit enter or search, and I do see that that Proquest European collection shows up, it says show not selected by my library. And if I wanted to, I could then just. 80 "Crystal Rodriguez" (1267483904) 00:22:02.729 --> 00:22:22.729 Look for different scopes, so let's say I wanted to look for that same thing, but I wanted to look for maybe just those that aren't selected. I could change that there without having to repeat the search, I can just change the scope and click the search button. Now when searching, you can use truncation, which would be a. 81 "Crystal Rodriguez" (1267483904) 00:22:22.729 --> 00:22:41.969 An asterisk to search for parcel terms. So for my next example, I want to locate any collection that starts with JSTOR. So I'm just gonna clear that previous search and I'll type in JSTOR, but I'll put an asterisk after that, and I'll click that search. 82 "Crystal Rodriguez" (1267483904) 00:22:41.969 --> 00:23:00.989 And here I have all the collections that start with JSTOR, but I'm gonna show that toggle I'm gonna change that to not selected collections and click on search again. And now I just see a list of those that my library hasn't selected that start with JSTOR. 83 "Crystal Rodriguez" (1267483904) 00:23:02.189 --> 00:23:22.189 And then I could filter to just look at, to see if there's any that just contain open access, e.g., again, and now I can limit my results a little bit there. And you also can put an asterisk before and after a word in order to search for anything that. 84 "Crystal Rodriguez" (1267483904) 00:23:22.189 --> 00:23:42.289 Come any collections that have that word in it, whether it be at the beginning of the collection or at the middle et cetera. I may not get different results because I think most of the JSTOR's start with JSTOR. We might look at that in a moment. Okay, and I do apologize, I forgot to mention at the beginning of the session. 85 "Crystal Rodriguez" (1267483904) 00:23:42.289 --> 00:23:52.499 You're all muted, so if you do have any questions during the session, please add those to the chat, but make sure that you're adding those to everyone so that we can all see those questions and I am gonna monitor that. 86 "Crystal Rodriguez" (1267483904) 00:23:52.499 --> 00:24:10.679 And answer as, as, throughout the session. Alright, so with that we have the option now of searching by title as well. So I'm gonna go ahead and clear that previous search, and I'm going to change the data type to title. 87 "Crystal Rodriguez" (1267483904) 00:24:10.679 --> 00:24:26.759 And I want to change my scope to all collections, and with title then we have the additional field of a title index. So we have keyword title, ISBN, ISS n, or an OCLC number. I'm gonna go ahead and select title. 88 "Crystal Rodriguez" (1267483904) 00:24:26.759 --> 00:24:46.199 And then I'm going to enter in a title's term here into the terms box. I'm entering complete guide writing family history, so it doesn't have to have all the words in there and I'm gonna go ahead and click search. 89 "Crystal Rodriguez" (1267483904) 00:24:46.199 --> 00:25:04.889 And now I just see collections that have that title in it. Now, this would, is searching, when I choose title, it's searching just the title field. If I chose keyword, then it would be looking to see maybe that word might be in the collection name. 90 "Crystal Rodriguez" (1267483904) 00:25:04.889 --> 00:25:24.889 So that's kind of the difference obviously between keyword and title. And so on this screen we then see the title column is going to list the title, we see the collection name, we then will see the coverage depth, so letting us know, is this an ebook? Is it an a journal etc? 91 "Crystal Rodriguez" (1267483904) 00:25:24.889 --> 00:25:41.039 What's that coverage date? We then see identifiers so we can see the OCLC number, the ISPN, if it's a journal, we would see the ISSN. We can indicate whether or not that is selected, and we do have the option to select the title which I'll show shortly. 92 "Crystal Rodriguez" (1267483904) 00:25:41.039 --> 00:25:56.819 And so you can also then perform numeric searches. So I'm going to go ahead and clear that previous search. I'll change my title index to OCLC number and I'll enter in the OCLC number for the same title. 93 "Crystal Rodriguez" (1267483904) 00:26:01.409 --> 00:26:18.719 And I just get the two results there because just that's the, these collections are the only ones that have that listed as the OCLC number. And then same I can do the same with ISPN. 94 "Crystal Rodriguez" (1267483904) 00:26:18.719 --> 00:26:36.239 And I get a few more results because we can see that in a couple of cases it is a different ISB OCLC number. And then lastly, I do want to point out when you're searching by ISSN, you do need to include the-So if I change that. 95 "Crystal Rodriguez" (1267483904) 00:26:36.239 --> 00:26:54.299 Index to ISSN. I will search for an ISSN using the-and that is a different title, but there we can also see that that coverage depth it indicates whether it's a full text journal indexed, abstracts et cetera, and we can see the different coverage dates. 96 "Crystal Rodriguez" (1267483904) 00:26:54.299 --> 00:27:13.199 Okay, and then the last searching option is to be able to search by provider. So we're gonna change that data type to provider, and for this example, I want to change to my selected collections, and I'm going to search for the word Proquest. 97 "Crystal Rodriguez" (1267483904) 00:27:16.229 --> 00:27:36.229 And I'm just gonna click search or enter there again. And this screen's a little bit different. Here you're going to see under the selections column, you'll see the number of co collections by this provider that your library has selected compared to how many are available. And if you click on that hyperlink, then it takes you. 98 "Crystal Rodriguez" (1267483904) 00:27:36.229 --> 00:27:42.359 To where those collections are. So I clicked on the two that my library has selected. 99 "Crystal Rodriguez" (1267483904) 00:27:42.359 --> 00:27:58.169 But you'll also note as I'm doing my searching, we have all these tabs that stay open for us to be able to return to our previous searches. So I can click on my previous search there, should be able to. 100 "Crystal Rodriguez" (1267483904) 00:27:58.169 --> 00:28:13.289 And then I can click on the, the number of collections available if I want to see all of those. With those tabs, you can use the X to close out of each of those or you can click the close all tabs. 101 "Crystal Rodriguez" (1267483904) 00:28:13.289 --> 00:28:32.969 Okay, just checking to see if there's any questions on the searching before I move on. It's pretty straightforward, I think, but it's good to see it. I don't see any questions, so I'm gonna go ahead and move on, but as I said, you can always add those into the chat. 102 "Crystal Rodriguez" (1267483904) 00:28:36.839 --> 00:28:53.489 So libraries have multiple options to add library specific knowledge base collections. They can select and or edit their knowledge base collections from existing collections in the knowledge base, in the global knowledge base using Collection Manager. 103 "Crystal Rodriguez" (1267483904) 00:28:53.489 --> 00:29:13.489 They can add new knowledge base collections within Collection Manager, and then they can have their electronic collections automatically sent from their providers to OCLC for loading into the WorldCat knowledge base. Now this option is available for some providers and some collections. That is what's. 104 "Crystal Rodriguez" (1267483904) 00:29:13.489 --> 00:29:17.219 Referred to as the automatic holdings feeds that I mentioned earlier. 105 "Crystal Rodriguez" (1267483904) 00:29:17.219 --> 00:29:37.219 And there is documentation within the learner guide on to find a list of providers and collections that do allow for automatic holdings feeds. It's honestly a very nice option because then you don't have to manage those collections, it's managed based on your subscriptions from the. 106 "Crystal Rodriguez" (1267483904) 00:29:37.219 --> 00:29:39.839 Provider they're they're gonna let us know. 107 "Crystal Rodriguez" (1267483904) 00:29:39.839 --> 00:29:57.569 What titles your library has, and we're gonna select those within the knowledge base for you. Now, each library can use all three of these options to add their collections to the WorldCat knowledge base depending on the library's workflows, as well as what, what collections are being added. 108 "Crystal Rodriguez" (1267483904) 00:29:57.569 --> 00:30:17.569 And as I mentioned earlier, today we will be focusing on using the Collection Manager interface to select edit, and create new knowledge base collections. However, there is documentation within that learner guide on using automatic holdings feeds, and then our next session will review using. 109 "Crystal Rodriguez" (1267483904) 00:30:17.569 --> 00:30:26.339 Art files to manage your collections. 110 "Crystal Rodriguez" (1267483904) 00:30:26.339 --> 00:30:43.229 So within the Collection Manager, there are multiple ways for libraries to manually select titles from existing collections. From the collection list, you can select an entire collection with these excuse me, with the select all titles button. 111 "Crystal Rodriguez" (1267483904) 00:30:43.229 --> 00:31:02.819 Or, from the collection title list, you can use the collection actions menu to select all the titles. Once you choose one of those options, the system will re index the collection and register the library's holdings for all titles in this collection. 112 "Crystal Rodriguez" (1267483904) 00:31:02.819 --> 00:31:20.879 That re index process can take a little while, sometimes I've even seen it take an entire day. Typically it's just a, you know, within about 15 min or so, but if you select a collection and it shows for reindexing for more than 24 h, reach out to our support team and let them know that. 113 "Crystal Rodriguez" (1267483904) 00:31:20.879 --> 00:31:40.529 And then you have the option to select a subset of titles from an open collection and the title's accordion. So there you would use the select title button or use the checkbox that's next to the title to add them to a title work list. 114 "Crystal Rodriguez" (1267483904) 00:31:40.529 --> 00:32:00.529 And then with that you that title work list, that is going to allow you to choose titles from one or more collections and perform selection options in bulk. And then libraries also have those same methods essentially for deselecting collections. So again, from the collection. 115 "Crystal Rodriguez" (1267483904) 00:32:00.529 --> 00:32:19.589 Title list, you would be able to use the collection actions to deselect or from the collection list itself. You can use the deselect all titles linked to deselect a whole collection. From an open collection and in the titles accordion, you can deselect. 116 "Crystal Rodriguez" (1267483904) 00:32:19.589 --> 00:32:39.589 A specific title by using the title link or you can select it to add it to a title work list and then use the title work list button to deselect those collections. Titles I apologize. So let's go ahead and pop back over to our Collection Manager and we'll take a look. 117 "Crystal Rodriguez" (1267483904) 00:32:39.589 --> 00:32:41.519 Look at selecting. 118 "Crystal Rodriguez" (1267483904) 00:32:41.519 --> 00:33:01.519 I'm gonna clear out my previous search. So let's assume that my library has just purchased a couple of new collections and we need to add our holdings for these. 119 "Crystal Rodriguez" (1267483904) 00:33:01.519 --> 00:33:03.509 Collections to the knowledge base. 120 "Crystal Rodriguez" (1267483904) 00:33:03.509 --> 00:33:23.509 So that the collections are available to our users. So we have purchased an ebook collection from the provider of Cambridge, which is titled, I can't pronounce this word, economic or econo econometrics society monographs online. Had to think about that one for a minute. And then we also have an. 121 "Crystal Rodriguez" (1267483904) 00:33:23.509 --> 00:33:28.829 E journal collection, which is that Proquest European business that we looked at earlier. 122 "Crystal Rodriguez" (1267483904) 00:33:28.829 --> 00:33:47.549 So since we know the collection name, we'll search for the collection. So I'm gonna, again, I'll change my data type to collection, and I'm going to change to not selected collections cause I know that I haven't selected these yet. And then I'll enter. 123 "Crystal Rodriguez" (1267483904) 00:33:47.549 --> 00:34:03.959 The conometric. Hey, I got it. Society, monographs, online. Yep, it'd be good if I typed properly, and then we'll hit search there. 124 "Crystal Rodriguez" (1267483904) 00:34:03.959 --> 00:34:23.959 And so directly from here, I can select the select all titles button, but if you need to review the collection 1st to make sure it's the right one, you can click on the title of the collection under the collections tab there, and then it'll automatically open to the titles. 125 "Crystal Rodriguez" (1267483904) 00:34:23.959 --> 00:34:43.349 You can do a quick review and make sure that yep, these are the ones you want, and then at that point, you can use the collection actions and choose select collection, and that's going to select that whole collection for you. Oh, I got an error. 126 "Crystal Rodriguez" (1267483904) 00:34:43.349 --> 00:35:03.349 Unable to add collection ID to my labor. Well, that's an unexpected error. Let's try that again. Let me try one more time. It might just be that it was kind of refreshing. Okay, let me go back and try to do the other method there. 127 "Crystal Rodriguez" (1267483904) 00:35:03.349 --> 00:35:23.749 We need to follow up on this one. So let me go back over and search that collection again. I'm not sure what, let me clear that. All right. Oh, it did select it. That's why I'm. 128 "Crystal Rodriguez" (1267483904) 00:35:23.749 --> 00:35:27.359 Not finding it. I'm not really sure why I got that error. 129 "Crystal Rodriguez" (1267483904) 00:35:27.359 --> 00:35:44.639 The title of the collection is Econometric society monographs. And you know what, with you mentioning the screen looking small, let me double check and make sure that I am at a hundred percent zoom. I am I'm gonna go ahead and zoom in a little bit more for you. 130 "Crystal Rodriguez" (1267483904) 00:35:44.639 --> 00:36:04.639 So hopefully that'll help. I know sometimes with Webex, the screen can look a little small. Alright, so the re I'm not really sure why I got that initial error, I think maybe I clicked too soon, but when I research, it's not coming up because now I do have it selected, so let me go ahead and change my scope. 131 "Crystal Rodriguez" (1267483904) 00:36:04.639 --> 00:36:18.509 Up to my selected collections and perform that search again. And this is where you see that right now the collection is locked and is being indexed. So I can't really do anything with that collection yet until that note goes away. 132 "Crystal Rodriguez" (1267483904) 00:36:18.509 --> 00:36:37.769 So while we're waiting for that, we'll go ahead and search for 2nd collection. Okay, so I'm going to go ahead and clear this search and again I'll change to not selected collections. 133 "Crystal Rodriguez" (1267483904) 00:36:37.769 --> 00:36:56.969 And I'm going to search for that Proquest European make sure i'm typing business collection and I see that as the 3rd collection that appears for me. 134 "Crystal Rodriguez" (1267483904) 00:37:02.999 --> 00:37:22.999 So I'm going to go ahead and this time I'll just click on the select all titles button and it's taking a moment. Again I think maybe I'm I'm getting a little quick happy here. I think I'm clicking too quickly. 135 "Crystal Rodriguez" (1267483904) 00:37:22.999 --> 00:37:42.779 So I'm going to go ahead and go back over to that 1st search that we did, and now we see that the title, the collection is NO longer showing as being indexed, and we see that the titles are selected. 136 "Crystal Rodriguez" (1267483904) 00:37:42.779 --> 00:37:57.809 With for that collection, and we do have that option then if we wanted to deselect the whole collection, we could then click on deselect all titles there. 137 "Crystal Rodriguez" (1267483904) 00:37:57.809 --> 00:38:13.890 Now I'm gonna go back over and see if the Proquest collection is done indexing. Looks like it might be. Let's go back to change my scope for my selected. Nope, that's still indexing. Okay. 138 "Crystal Rodriguez" (1267483904) 00:38:13.890 --> 00:38:33.570 And the reason I'm wanting that is because I then, the next thing I want to show you is how to edit specific titles within that collection. So let me refresh here and see if that's done indexing yet. I might have to on the fly come up with a new example. I didn't think that that would take a minute. 139 "Crystal Rodriguez" (1267483904) 00:38:37.890 --> 00:38:53.670 Okay, let me go back and look at the 1st collection that we looked at. So, what I can show you while I'm waiting for that indexing, I'm going to go ahead and click on the collection name to view all of the titles. 140 "Crystal Rodriguez" (1267483904) 00:38:53.670 --> 00:39:11.730 And I can see as soon as I click, click on the collection name, the titles accordion is going to open for me. I do have other options which are going to be explained within the documentation, such as this is where you can change some of those collection level settings for holdings in MARC records. 141 "Crystal Rodriguez" (1267483904) 00:39:11.730 --> 00:39:31.230 But I want to look at the titles. So once you're in the titles accordion, you can search for specific titles, and you do also have an option for filtering by within the titles as well. So I can use that filter by and I can choose, maybe I just want to look for coverage. 142 "Crystal Rodriguez" (1267483904) 00:39:31.230 --> 00:39:51.230 Depth in this case, they're all going to be ebooks, so I would then choose ebook, and I can filter there. I should get the same results cause this is an ebook collection. I can use reset to remove that filter, but let's say that I wanna see just these advances, economics. 143 "Crystal Rodriguez" (1267483904) 00:39:51.230 --> 00:40:11.220 Economic Economics collection or titles. So I'll search just that if I type it right alright, and then we just just get titles in the collection that have just those titles. 144 "Crystal Rodriguez" (1267483904) 00:40:11.220 --> 00:40:26.400 Are those words in them, I apologize. Alright, I'm gonna jump back over to that Proquest collection and see if that's done indexing, and thankfully it is. So with that, I want to open up the collection. 145 "Crystal Rodriguez" (1267483904) 00:40:26.400 --> 00:40:42.900 And again, it's gonna open right to titles, and I see that the My selected titles option is showing if this whole, if you didn't have the whole collection selected and you wanted to only see titles that you didn't have selected, you would uncheck that. 146 "Crystal Rodriguez" (1267483904) 00:40:42.900 --> 00:41:02.160 But in this case, obviously we have the whole collection selected, so that doesn't really matter here. Alright, so I can scroll down and I can browse for the British Food Journal. That's the title I need here or I could just go ahead and search like I showed earlier, so let me just do that. 147 "Crystal Rodriguez" (1267483904) 00:41:02.160 --> 00:41:19.620 And then I get that title and actually what I wanted to do was to show you selecting just individual titles. 148 "Crystal Rodriguez" (1267483904) 00:41:19.620 --> 00:41:35.190 So I am going to quickly grab a different example for you. I got a little bit ahead of myself and I selected this whole collection and I really just wanted to select a few. So I'm gonna actually pivot here and I am going to search an Allan press collection. 149 "Crystal Rodriguez" (1267483904) 00:41:35.190 --> 00:41:55.190 And I need to change that to not selected. Alright, so I want to look at the Allen press journals collection. And what I meant to do earlier versus selecting that selection in full is I wanted to just show you how you can select individual collect titles. So. 150 "Crystal Rodriguez" (1267483904) 00:41:55.190 --> 00:42:14.250 So again here I could scroll through and click on a specific title and just select title there. So let's say I want this advances in pulmonary hypertension. I'm gonna go ahead and just click the select title button, and then that title will be selected for me. It's just gonna again it takes a minute to index it. 151 "Crystal Rodriguez" (1267483904) 00:42:14.250 --> 00:42:32.940 So I want to then see all the collections in that title or all the titles in that collection. So let me search that again. Okay. 152 "Crystal Rodriguez" (1267483904) 00:42:32.940 --> 00:42:52.940 I'm gonna to reset that filter. Now, there we go. So there's all the titles. So clicking that select title button is going to let you just select an individual title, but I wanted to show you how you can select multiple titles at once within the interface. So what I can do is I can go ahead and let's say that I want. 153 "Crystal Rodriguez" (1267483904) 00:42:52.940 --> 00:43:10.290 To select this accounting and the public interest, and then I want to select additional conferences and maybe I want the advisor. So I'm going to use the little checkbox to select just those. And as you do that, you'll notice that the title work list is adding in. 154 "Crystal Rodriguez" (1267483904) 00:43:10.290 --> 00:43:27.300 The quantity there. So once I have selected a few titles from, it can be just one collection, it could be multiple collections. I'm gonna go ahead and click title work list and you actually see here that I actually did have a couple of other titles in my title work list. 155 "Crystal Rodriguez" (1267483904) 00:43:27.300 --> 00:43:44.730 So if I don't want to actually select those, I can remove them from the title work list with the minus button, so I'm gonna do that real quick. And then under work list actions, I can choose to select all of the titles that I have remaining. So that's how I can choose multiple titles at once. 156 "Crystal Rodriguez" (1267483904) 00:43:44.730 --> 00:44:04.730 And I'll confirm that and then in a moment or two, when we go back to this Allen press journal's collection, we should see that we now have, and we do, we have those four titles selected. So those are just showing you how you can select a subset of titles if you don't need to select the whole. 157 "Crystal Rodriguez" (1267483904) 00:44:04.730 --> 00:44:10.950 Collection. 158 "Crystal Rodriguez" (1267483904) 00:44:10.950 --> 00:44:30.950 Okay, I am going to jump back over to that Proquest European business collection because I want to actually work with this British food journal title that I had pulled up earlier. So to view the title details. 159 "Crystal Rodriguez" (1267483904) 00:44:30.950 --> 00:44:35.310 For that title, I'm going to click on the link there for the title to open that up. 160 "Crystal Rodriguez" (1267483904) 00:44:35.310 --> 00:44:53.820 And what we see is we see a global and a local tab. So this is going to allow you to easily identify fields that you can edit, in each of the tabs that are applicable to all libraries. So e.g., under the global, you're gonna see. 161 "Crystal Rodriguez" (1267483904) 00:44:53.820 --> 00:45:10.440 Things global is gonna show you items that can be edited that are applicable to all libraries. So if you were to change the title, that would change it for all libraries. And then if you click on the local tab. 162 "Crystal Rodriguez" (1267483904) 00:45:10.440 --> 00:45:30.440 You'll see items that you can edit that are going to be applicable just to your library. And you can look in the documentation for more details on these fields that can be globally edited versus locally edits edited and what to do if you need to have a. 163 "Crystal Rodriguez" (1267483904) 00:45:30.440 --> 00:45:34.800 Global edit that you can't make. 164 "Crystal Rodriguez" (1267483904) 00:45:34.800 --> 00:45:54.800 So I do want to go ahead and make a quick edit, so under the global edit area, under the title name, I have found that my item actually is 2nd edition and the global collection doesn't indicate that at this point. So I want to make sure that all libraries know that the title that. 165 "Crystal Rodriguez" (1267483904) 00:45:54.800 --> 00:46:02.190 In this collection is actually 2nd edition. So I'm going to go ahead and add that into the title. 166 "Crystal Rodriguez" (1267483904) 00:46:02.190 --> 00:46:21.930 Cause it is on there. Now this, this is a scenario. In reality it may not be that, but that's in my scenario, that is what happened. And then that's on a global, but I want to add a local note as well. So in my local tab. 167 "Crystal Rodriguez" (1267483904) 00:46:21.930 --> 00:46:41.930 I want to go down to the note area and under a public note, actually here is under title note, I want to add copying not permitted, and then I'll scroll back up to the top and I'll click the review and save button, which then gives me a summary of the changes that I've made so I can. 168 "Crystal Rodriguez" (1267483904) 00:46:41.930 --> 00:47:00.480 Confirm yep that is what I want to do, and I'll click apply changes and I get a note letting me know that that change was successful. And then if I were to go back to this collection prop and search for that title, it should now show. So let's go ahead and do that. 169 "Crystal Rodriguez" (1267483904) 00:47:02.550 --> 00:47:21.360 So now I see my change there to 2nd edition. Okay, just checking to see if there's any questions before I move on. Hopefully enlarging the screen helped you out there a little bit. 170 "Crystal Rodriguez" (1267483904) 00:47:25.770 --> 00:47:41.790 Okay. Now let's say that you find that there's a title that has not yet been added to a global collection, and so you have that option of adding it yourself. So let's. 171 "Crystal Rodriguez" (1267483904) 00:47:41.790 --> 00:48:01.790 I'm gonna make an assumption here, a scenario that my library has just that, that has happened. We have a title that we know should be added to this Proquest European business collection and it hasn't been added yet, and we don't necessarily want to wait for the vendor to provide that information because we want it to be accessible. So we're gonna go ahead and add that title. So 1st. 172 "Crystal Rodriguez" (1267483904) 00:48:01.790 --> 00:48:06.390 I'm going to clear out my previous search. 173 "Crystal Rodriguez" (1267483904) 00:48:06.390 --> 00:48:22.110 And so I will use the add a global title option, and I'm gonna click on create a title, and I'm going to add a title, so I'm just gonna. 174 "Crystal Rodriguez" (1267483904) 00:48:22.110 --> 00:48:39.300 Say this is, this title is called CGR journal. I'll need to choose a coverage depth. So in this case it's going to be a journal full text, and then once you choose that coverage depth, then if you do choose journal, you'll add your coverage. 175 "Crystal Rodriguez" (1267483904) 00:48:39.300 --> 00:48:56.070 So you can then add your start and end dates, you'll add whether or not it's, you know, what the volume is, what the issue is, issue number et cetera. So let's say that I want to say that this starts in 2020. 176 "Crystal Rodriguez" (1267483904) 00:48:56.070 --> 00:49:16.070 And maybe this is issue one or volume one of issue one, and it's there's really no end date, so we leave that blank. That's gonna denote that we're still receiving new volumes and issues, we're just gonna leave that blank, and then you would click apply. Now I'm not gonna. 177 "Crystal Rodriguez" (1267483904) 00:49:16.070 --> 00:49:33.570 I do that because this is just a scenario. This is just for demo purposes, but once I would click apply, then actually I can apply this, but I'm not gonna save this record in there. Once you click apply, then you do have that option then to add your OCLC number to the item if you know what that is, et cetera. 178 "Crystal Rodriguez" (1267483904) 00:49:33.570 --> 00:49:52.350 And then you would save it and it would then show in the collection. Okay, so I'm as I said, this was just for demo purposes, so I'm not actually going to add that. Okay. 179 "Crystal Rodriguez" (1267483904) 00:49:52.350 --> 00:50:11.760 So I showed you the three methods then for selecting manually, and I'm checking to see if there's any questions on that. Looks like we're good. Okay, so let me pop over then to our next section. 180 "Crystal Rodriguez" (1267483904) 00:50:11.760 --> 00:50:29.250 So now what happens if you can't find a collection to represent some of your e-resources? In that case, you may need to create a new knowledge base collection, which is often referred to as a local collection or a locally created collection. 181 "Crystal Rodriguez" (1267483904) 00:50:29.250 --> 00:50:48.480 You may create a new knowledge base collection for those small niche collections that are not widely known. E.g., it could be a collection that's published by your institution for a select audience. You can create a new knowledge base collection to add your print serials. 182 "Crystal Rodriguez" (1267483904) 00:50:48.480 --> 00:51:05.760 To the WorldCat knowledge base so that they are represented alongside your electronic resources. You can create a new knowledge base collection when your ebook or e journal collection is not available in the global knowledge base. 183 "Crystal Rodriguez" (1267483904) 00:51:08.490 --> 00:51:27.210 And lastly, you have the option to create a database only collection to represent a database within the Collection Manager. Now Collection Manager offers two ways to create new collections. To add collections manually, you'll click on the create a collection button. 184 "Crystal Rodriguez" (1267483904) 00:51:27.210 --> 00:51:44.910 And then you'll select knowledge base collection and click create. And then you will add collection or titles one by one. 2nd option is to use a KBART file, which I've mentioned KBART a couple times. KBART stands for knowledge bases and related tools. 185 "Crystal Rodriguez" (1267483904) 00:51:44.910 --> 00:52:01.080 KBART files contain title list and coverage data from content providers to be surfaced in the knowledge base and these can allow for bulk edits or additions of titles. And again, we will review that extensively in our next session. 186 "Crystal Rodriguez" (1267483904) 00:52:01.080 --> 00:52:21.080 On using KBART files to select and deselect your collections and edit. So today we're gonna focus on using the interface. When you're creating new collections, you can choose to include a link scheme. This is optional. 187 "Crystal Rodriguez" (1267483904) 00:52:21.080 --> 00:52:39.900 For most collections, but it is required for article links to resolve directly to full text. Without a link scheme, article links will default to the journal's homepage. Link schemes are not used for print serials or for many ebook collections. 188 "Crystal Rodriguez" (1267483904) 00:52:39.900 --> 00:52:56.790 OCLC can create a link scheme for you, but only if all titles are on the same platform, if the provider uses consistent structure for their linking syntax, and the platform supports article level linking. 189 "Crystal Rodriguez" (1267483904) 00:52:56.790 --> 00:53:12.780 To request a link scheme, email OCLC support, with the provider name, collection name, and the collection ID, a sample search from your current provider that resolves to full text. 190 "Crystal Rodriguez" (1267483904) 00:53:12.780 --> 00:53:32.370 And a username and password that will allow OCLC to proxy through to the full text. Now note that for ebook collections you will want to test your links. If you are successful in accessing the full text, then you should not need a link scheme for that ebook collection. 191 "Crystal Rodriguez" (1267483904) 00:53:32.370 --> 00:53:52.170 And you can see the documentation in the learner guide for more information on link schemes. So now let's take a look at creating a new collection and adding titles to that collection. So I'm gonna jump back over to WorldShare. 192 "Crystal Rodriguez" (1267483904) 00:53:52.170 --> 00:54:07.590 Okay. Just one moment here so under the Collection Manager panel, I'm going to click on create a collection. 193 "Crystal Rodriguez" (1267483904) 00:54:07.590 --> 00:54:26.850 And I see the option for knowledge base collection, there is a dropdown to choose other types of collections. If this were a database only collection, then I would select database only, but we're not gonna do that for this demo. So I'm just going to choose knowledge base collection and click on create. 194 "Crystal Rodriguez" (1267483904) 00:54:26.850 --> 00:54:46.590 And then the properties accordion automatically opens for me, and the asterisk indicate which fields are required. So I'm going to supply a collection name. I'm just gonna call this. 195 "Crystal Rodriguez" (1267483904) 00:54:47.700 --> 00:55:07.700 I've got a few options there. Let's just call it training demo, and we'll put today's date, just so just so I know cause I'm gonna remove it later. The collection ID is automatically generated by the system, but this last part can be changed. So the 1st part. 196 "Crystal Rodriguez" (1267483904) 00:55:07.700 --> 00:55:26.400 What is your, it just says customer and then it's actually your library's registry ID, but it'll give it a numerical number here automatically. Sometimes libraries will change this just to help them identify the collection. So maybe I want to call this demo so that then I know. 197 "Crystal Rodriguez" (1267483904) 00:55:26.400 --> 00:55:42.270 By collection ID what that is. And then you have the option to add a provider. Now notice that that is not a required, but if you know the provider, you should add it. And if it's not there, you can click to create a provider. 198 "Crystal Rodriguez" (1267483904) 00:55:42.270 --> 00:56:00.150 So I actually have a provider for OCLC training, so I'm just gonna choose that. You do have the option to add a description for the collection. It's not really required, maybe a good use case might be if it is a niche collection for your library and you want to be able to indicate. 199 "Crystal Rodriguez" (1267483904) 00:56:00.150 --> 00:56:19.470 That in the description. Then you do have choices for different attributes if they apply. And you have an option to add a collection note or a staff note. The staff note is just gonna, so only your staff's gonna see that. Okay. 200 "Crystal Rodriguez" (1267483904) 00:56:19.470 --> 00:56:39.470 And then once I've completed the properties, then I can click on linking, and this is where, you can add in link scheme information or URLs if you have them. So the collection URL is not required. However, if you do know that you. 201 "Crystal Rodriguez" (1267483904) 00:56:39.470 --> 00:56:44.010 You should add it here? 202 "Crystal Rodriguez" (1267483904) 00:56:44.010 --> 00:57:03.210 And this is where if you have reached out to OCLC for a link scheme, you may need to come in here and add that. And this is also where you can indicate whether your library uses proxy for this collection. So I don't need to do any of that, so I'm just gonna leave those blank. 203 "Crystal Rodriguez" (1267483904) 00:57:03.210 --> 00:57:18.990 This under holdings and MARC records is where I can indicate the collection level settings for whether or not I want to maintain holdings and or enable MARC records. You'll see that if I use institution settings, it's going to use whatever my. 204 "Crystal Rodriguez" (1267483904) 00:57:18.990 --> 00:57:38.990 That that is applied. If you click on that link, it'll take you back to the institution settings. Otherwise you can just disable for this collection. As I mentioned earlier, if you do not enable MARC record delivery, then you don't have those other options. So I am going to go ahead and click on use institution setting for MARC records enabled, and then. 205 "Crystal Rodriguez" (1267483904) 00:57:38.990 --> 00:57:52.950 They would have options for customizing and choosing my record delivery for this collection specifically. You can just leave it as institution settings, but this is where you would do those overrides that I mentioned earlier. 206 "Crystal Rodriguez" (1267483904) 00:57:52.950 --> 00:58:10.500 I'm actually going to go ahead and disable it. I just wanted to show you that, and I do not want to deliver delete records, so I'm gonna say no there. All right, and then I click on the create button and I get a notice letting me know that that was created successfully. 207 "Crystal Rodriguez" (1267483904) 00:58:10.500 --> 00:58:27.060 And automatically I'm opened to the title accordion to be able to add titles to this collection. So with a local collection or a collection that I've created, I have two options for adding titles. 208 "Crystal Rodriguez" (1267483904) 00:58:27.060 --> 00:58:43.980 Manually I can either click on the create a title or I can use an OCLC number to pre fill. I'm gonna demonstrate each of those. I'm gonna start with the create a title. And it's gonna look familiar to you. This looks just like it did when we were in the global collection. 209 "Crystal Rodriguez" (1267483904) 00:58:43.980 --> 00:58:59.130 So I'm going to add a title name, and then I'll choose a coverage depth, and for this example, again, I'm gonna choose journal free text. 210 "Crystal Rodriguez" (1267483904) 00:58:59.130 --> 00:59:17.430 And I will click add coverage, and then I'll add my start date. I'm gonna again choose 2020 here, and I'll leave the end date blank because I still have access to that. 211 "Crystal Rodriguez" (1267483904) 00:59:17.430 --> 00:59:34.050 Now when you are entering dates, you do want to make sure that you're either entering just the year or you want year with the month two characters or year month dates. So I would need to do, e.g., just 2020 here or I could do 2020-01 212 "Crystal Rodriguez" (1267483904) 00:59:34.050 --> 00:59:52.860 Or 2020-01-01. And if you click on the question mark, you'll see information on that. So if you ever forget how what that format is, and then again I can add a volume and an issue if it applies. 213 "Crystal Rodriguez" (1267483904) 00:59:52.860 --> 01:00:10.320 And I'll click apply to add that coverage, and then for my example, I'm going to just add a, little bit of a, for lack of a better word, a dummy. 214 "Crystal Rodriguez" (1267483904) 01:00:10.320 --> 01:00:29.490 URL here, under title URL, and then you would add other relevant information such as your OCLC number, ISSN if it existed etc. And then you'll go ahead and click save. So I'm just gonna leave those blank right now because I don't have those for my demo, and I'm just gonna say save. 215 "Crystal Rodriguez" (1267483904) 01:00:29.490 --> 01:00:49.490 And now if I click to go to that collection, I might need to wait a moment and refresh it. Let's go ahead and try that. Let's click on, let's see. So now I do see that training demo collection that I just created. If I click on that, I should see the title. 216 "Crystal Rodriguez" (1267483904) 01:00:49.490 --> 01:00:54.870 So I just added. 217 "Crystal Rodriguez" (1267483904) 01:00:54.870 --> 01:01:11.850 And then the other option for adding a title to a collection is using the Create using OCLC number to pre fill. So if I click again on add a local title, I'll choose that selection and I can just add in an OCLC number here. I actually have it from before. 218 "Crystal Rodriguez" (1267483904) 01:01:11.850 --> 01:01:28.860 And I'll click continue, and then this option is automatically going to fill in the title for me and the OCLC date, the entry ID, and then I can choose coverage depth, so for this one I'm gonna choose ebook, and note that. 219 "Crystal Rodriguez" (1267483904) 01:01:28.860 --> 01:01:45.900 The OCLC number and ISPN are automatically populated for me. If I had the title URL, I could add that here as well, and any other pertinent information that you might have that you can add, and then you can click save. 220 "Crystal Rodriguez" (1267483904) 01:01:45.900 --> 01:02:05.430 And then that creates that title. And if I go back to that collection again, again, it might just take me a minute, I might have to research it. Sometimes it does take a couple, you know, minute or so for some of those additions to be added. So let me clear out everything and try that search again here in a moment. 221 "Crystal Rodriguez" (1267483904) 01:02:10.470 --> 01:02:29.220 There it is, so now we see two titles selected, and if I click on there, I can see those titles. All right. Before I move on to the last section of the session, I just want to see if there's any questions related to creating collections. 222 "Crystal Rodriguez" (1267483904) 01:02:33.540 --> 01:02:49.620 Okay, not seeing anything come in. I'll just say personally I prefer that using OCLC number if you can, because as you saw it's gonna populate the information for you. So it's, it's gonna speed things up for you a little bit. 223 "Crystal Rodriguez" (1267483904) 01:02:49.620 --> 01:03:06.210 And it's backed up with WorldCat. So it's looking for that OCLC number in WorldCat. Okay, so not seeing any questions, I'm gonna move on. 224 "Crystal Rodriguez" (1267483904) 01:03:06.210 --> 01:03:23.370 So we have been selecting and editing collections. Let's look at how Collection Manager tracks these changes. For that, I'm going to change the scope from collection to activity history, and there are two options here. 225 "Crystal Rodriguez" (1267483904) 01:03:23.370 --> 01:03:40.950 If you choose under scope all institutions history, this is going to show all changes to a collection in the past 90 days, as well as the sources of the changes. If you choose my institution history. 226 "Crystal Rodriguez" (1267483904) 01:03:40.950 --> 01:04:00.570 This is going to limit the activity history search to only your institution's history, and this allows you to see a list of activities specifically by your library. So let's go ahead. I'm gonna choose all institutions history. 227 "Crystal Rodriguez" (1267483904) 01:04:00.570 --> 01:04:18.330 And I want to look for any changes from Proquest collections, and I can search for a specific provider here or I can search for a specific collection. I'm just gonna go ahead and use the Proquest term there. 228 "Crystal Rodriguez" (1267483904) 01:04:18.330 --> 01:04:35.010 And I'll click search and I see activity over the last 90 days for several pro quest collections. Of course, the 1st things I see are the ones that I have just completed today. So if I click on Proquest European business. 229 "Crystal Rodriguez" (1267483904) 01:04:35.010 --> 01:04:52.530 It'll take me to that collection so I can like, I can review that specifically the collection history for that collection. So then I can see here that my library back on the 6th deselected and then reselected the collection et cetera. 230 "Crystal Rodriguez" (1267483904) 01:04:57.360 --> 01:05:17.360 And then let me go ahead here and I actually want to reperform that search again, but I'm gonna leave the search terms blank because I want to see all history. So again, then I can see specific collections with all history, and I'm going to change the scope to. 231 "Crystal Rodriguez" (1267483904) 01:05:17.360 --> 01:05:21.000 My institution history and just click search there. 232 "Crystal Rodriguez" (1267483904) 01:05:21.000 --> 01:05:40.620 And I see a few options I can see that the title work list that I performed earlier, but what I really want to show you is this provider data load, if I click on that, I can then click on title changes, and that will show me what titles were changed. 233 "Crystal Rodriguez" (1267483904) 01:05:40.620 --> 01:06:00.620 By the pro the provider sent over for that specific collection. So I can see that this title was changed and I can see what it looks like now. And if I click on that, then I can, if I click on the title, then I can go back and I'll be taken to that title. This is really. 234 "Crystal Rodriguez" (1267483904) 01:06:00.620 --> 01:06:04.560 Really really helpful if you're trying to figure out why. 235 "Crystal Rodriguez" (1267483904) 01:06:04.560 --> 01:06:24.560 Did I, you know, why did I get a MARC record on this collection and it tells me that what was updated? Why did I get this? So oftentimes libraries can use activity history for that purpose. The other thing you can do in the activity history is you can filter, so I can filter to look just. 236 "Crystal Rodriguez" (1267483904) 01:06:24.560 --> 01:06:37.080 At loads and feeds, and then I can look specifically at provider data loads or if your library, e.g., is using automatic holdings feeds, you can choose that and just see items. 237 "Crystal Rodriguez" (1267483904) 01:06:37.080 --> 01:06:57.080 That are managed through that option. I don't use that so I'm not gonna select that. And then I'll click filter, and again just like other filters, you can use the plus and minus to add or delete filters. And so then I can again click on that provider data load if I want, and click on title. 238 "Crystal Rodriguez" (1267483904) 01:06:57.080 --> 01:07:01.470 Changes to see what specifically was changed. 239 "Crystal Rodriguez" (1267483904) 01:07:01.470 --> 01:07:21.300 And when. Okay, just gonna clear out of that. Are there any questions about the activity history itself? 240 "Crystal Rodriguez" (1267483904) 01:07:21.300 --> 01:07:39.750 Before I move on, ok. Not seeing anything really. Let me just go ahead and show one more thing. When I do go to that activity history, if I search and then I click on. 241 "Crystal Rodriguez" (1267483904) 01:07:39.750 --> 01:07:57.120 Like the collections that the the collection I just created, once again, it'll take me to the collection history and I can see when that collection was created, when was added, and also under source that tells me what institution made that change. So if you see OCLC there. 242 "Crystal Rodriguez" (1267483904) 01:07:57.120 --> 01:08:15.630 That tells you that we made a change, you would most likely see a provider name or you'll see a username at your library. So again, that's also helpful if you're trying to figure out, well, who made that change? Okay. 243 "Crystal Rodriguez" (1267483904) 01:08:15.630 --> 01:08:33.660 So in addition to the help menu that I showed at the beginning of the session, you can also obtain help, by going to the Community Center, and you can get there either at that help menu by clicking on help and then Community Ccenter. 244 "Crystal Rodriguez" (1267483904) 01:08:33.660 --> 01:08:50.760 Or you can go directly to the Community Center website and I'm going to actually pull up my PowerPoint because I have a little video to show you that. So click on help and then Community Center and you'll choose Collection Manager, and then you can choose. 245 "Crystal Rodriguez" (1267483904) 01:08:50.760 --> 01:09:06.750 Whether you want to see discussion, news or events et cetera, and you can go directly to that at OCLC.org/community, and I'm gonna add that into the chat for you, just a moment. 246 "Crystal Rodriguez" (1267483904) 01:09:12.330 --> 01:09:29.790 Okay, so you can go directly there as well. Okay, so we did kind of get through that a little quicker, sorry I'm gonna watch to see if there's any questions. 247 "Crystal Rodriguez" (1267483904) 01:09:35.520 --> 01:09:53.580 And then we'll kind of go from there. We do have a little bit of time, so just like in our last session, if there's anything that you want me to go back and show again, I'm happy to do that. Otherwise we can give you guys a few minutes back and just share with you how you can get some assistance after the session. 248 "Crystal Rodriguez" (1267483904) 01:09:53.580 --> 01:10:12.960 Okay, not seeing any questions, so I'm just gonna move on, but I'll keep an eye out. So if you do have questions after the session, you can go to our help site at help.oclc.org or you can contact support by either emailing them at support.OCLC.org. 249 "Crystal Rodriguez" (1267483904) 01:10:12.960 --> 01:10:32.960 Or go directly to OC.lc/support to find information on contacting support in your region. And I thank you for your guys time today. You can find additional WorldShare Collection Manager training materials on the OCLC support site. 250 "Crystal Rodriguez" (1267483904) 01:10:32.960 --> 01:10:50.370 At help.OCLC.org. If you have not registered for the last session, which is on the KBART using KBART to select and manage your collections, you can do that either at the support site or at the Community Center. 251 "Crystal Rodriguez" (1267483904) 01:10:50.370 --> 01:11:07.650 If you did register for this course from the Community Center, you should receive a badge. It generally takes a month or two to get that, but if you need to request a badge, you can do that at the link showing here and I'm gonna add that to the chat as well. Just one moment. 252 "Crystal Rodriguez" (1267483904) 01:11:12.450 --> 01:11:28.020 And then if you have any questions regarding this training or other training, you can reach us at training@OCLC.org. And lastly, as I close the session, you will be directed to a survey and we do appreciate you taking a couple of minutes to complete that survey. 253 "Crystal Rodriguez" (1267483904) 01:11:28.020 --> 01:11:42.816 It helps us to improve our sessions as we re deliver those. And with that, I'm just gonna pause and I will stop the recording and just pause to see if anybody has anything last minute.
