Connexion client 5: Automation and customization 1:36 pm - 3:29 pm Tuesday, April 8, 2025 | (UTC-04:00) Eastern Time (US & Canada) WEBVTT 1 Crystal Rodriguez 00:24:42.960 --> 00:24:43.080 Okay. 2 Crystal Rodriguez 00:24:45.040 --> 00:25:04.920 Welcome to today's session. Connection Client automation and customization. So connection client includes several tools that can help you customize the interface to fit your local workflows and maximize your cataloging efficiency. Understanding these features can help you make. 3 Crystal Rodriguez 00:25:05.360 --> 00:25:09.560 Informed decisions about their use in your cataloging operations. 4 Crystal Rodriguez 00:25:16.240 --> 00:25:36.560 Today's session will begin with reviewing automation tools, specifically, you will learn how to create and apply constant data records and text strings along with using OCLC supplied macros and recording simple custom macros. Next you will learn how to use customization tools such. 5 Crystal Rodriguez 00:25:37.560 --> 00:25:47.080 Tools, the toolbar editor, and keystroke shortcuts. These tools can minimize clicks, decrease errors, and save time for staff. 6 Crystal Rodriguez 00:25:53.680 --> 00:26:11.280 Connection client offers several automation tools. Let's briefly review some important facts about each of them. Library staff can create and apply constant data records to add standard content to bibliographic records without having to rekey. 7 Crystal Rodriguez 00:26:12.640 --> 00:26:31.120 Use text strings for entering frequently used brief data anywhere in a record. Macros are short programs to automate repetitive multi step actions. You can use OCLC supplied macros and or record and apply custom macros. 8 Crystal Rodriguez 00:26:35.040 --> 00:26:55.000 It maybe difficult to determine which of the automation tools is best for your workflows. This depends on several factors. As we proceed through this class, you will be able to determine which tool to use for your workflows based on your answers to the following questions. Will the data be applied to a. 9 Crystal Rodriguez 00:26:55.440 --> 00:27:15.920 Specific record format type or is it text that will be used despite the record format type? What information will be added to the record? Is it a single field, multiple fields, fixed or variable field data or a sub field? Will the data be shared amongst staff? Will you be working. 10 Crystal Rodriguez 00:27:15.920 --> 00:27:22.440 Working with a batch of records? And lastly, will you be applying multi step actions or a string of commands? 11 Crystal Rodriguez 00:27:31.920 --> 00:27:52.120 We will begin with reviewing some details about constant data records, and then I will demonstrate creating and applying them. Use constant data to apply fixed field and or variable field data to a specific record format type. Another use is when you will be applying the data to a displayed bibliographic record. 12 Crystal Rodriguez 00:27:53.120 --> 00:28:04.000 Work form or multiple saved records. Constant data records can be used to add an original cataloging template with fixed and variable fields. 13 Crystal Rodriguez 00:28:06.000 --> 00:28:26.080 Use constant data records for regularly repeated content. Common uses include adding a single field such as a nine four nine field with order information or adding a group of fields such as a local note or a five ninety local subject heading, a six ninety, and order field. 14 Crystal Rodriguez 00:28:26.440 --> 00:28:27.320 The nine four nine. 15 Crystal Rodriguez 00:28:32.080 --> 00:28:51.880 Just like when you're creating bibliographic records, there are two options for creating constant data records. While working online or offline, you can create them from a blank work form. Additionally, you can derive from a bitly graphic record when working online. These constant data records. 16 Crystal Rodriguez 00:28:52.080 --> 00:29:12.200 Can be saved to the online constant data file or a local constant data file. Regardless of where they are saved, they can be applied when working online. However, only records stored to a local save file can be applied when working offline. Furthermore, constant. 17 Crystal Rodriguez 00:29:12.400 --> 00:29:18.800 Data records saved online will be available if you're working within World Share Record Manager as well. 18 Crystal Rodriguez 00:29:20.840 --> 00:29:23.280 Alright I'm going to go ahead and switch over to connection. 19 Crystal Rodriguez 00:29:28.000 --> 00:29:47.440 Now my library has just received a collection of DVDs with closed captioning. We need to add a five forty six field along with a six fifty five genre or form field to each record. As these are all visual materials, we're going to create. 20 Crystal Rodriguez 00:29:48.240 --> 00:29:59.920 The constant data record using a visual materials work form type. Two of our cataloggers will be working with this project, so we will create and save the constant data record online. 21 Crystal Rodriguez 00:30:03.680 --> 00:30:06.000 I'm going to go ahead and log on to connection. 22 Crystal Rodriguez 00:30:09.200 --> 00:30:13.760 I'm using file and then log on, and I have my authorization number already saved here. 23 Crystal Rodriguez 00:30:20.360 --> 00:30:25.840 And just one moment I'm going to grab a file over here with some information for myself. 24 Crystal Rodriguez 00:30:35.040 --> 00:30:35.600 Just one moment. 25 Crystal Rodriguez 00:30:50.400 --> 00:31:07.440 Alright, so to begin with creating a constant data, we're going to click on cataloging, and then we choose create, and here we see the option for constant data. We also could use the keystroke of control shift and n. Which we see that listed here. 26 Crystal Rodriguez 00:31:09.160 --> 00:31:20.120 So I'm going to go ahead and click on that, and then I choose my work form type. So as I mentioned, my library's working with visual materials, so I want to choose that, and then I'm going to click OK. 27 Crystal Rodriguez 00:31:24.000 --> 00:31:30.320 And here we have our work form, this is gonna look very similar to the work forms for the graphic records. 28 Crystal Rodriguez 00:31:32.040 --> 00:31:39.880 And we want to note that the work form includes filled characters. These indicate elements that are required in a bibliographic record. 29 Crystal Rodriguez 00:31:41.680 --> 00:32:01.720 Now you would type over these for fields that you intend to use or remove them. If you don't plan to use them. Note that removing them will cause a blank once they're applied to the bibliographic record. If they're left in the constant data record, they will be applied to the biographic record. And we will review this a bit more in our. 30 Crystal Rodriguez 00:32:02.000 --> 00:32:02.440 Next example. 31 Crystal Rodriguez 00:32:06.000 --> 00:32:19.720 So you can enter variable fields anywhere in the record. I'm going to go ahead and enter underneath of the five XX field here. I'm just gonna click there and hit enter to add an additional field. And I'm just going to add a five forty six. 32 Crystal Rodriguez 00:32:21.360 --> 00:32:22.480 That says closed caption. 33 Crystal Rodriguez 00:32:28.320 --> 00:32:32.640 And then I want to add a six fifty five. I'm gonna go ahead and do that at the end of the work form. 34 Crystal Rodriguez 00:32:34.080 --> 00:32:40.840 And again, I just hit enter to add a field there, and my first indicator is blank and my second indicator is going to be seven. 35 Crystal Rodriguez 00:32:42.400 --> 00:32:44.240 Oops, type in a Y there instead of seven. 36 Crystal Rodriguez 00:32:46.840 --> 00:32:52.080 And I'm just going to add a note here or I'm sorry, actually it's it's a subject a genre setting here. 37 Crystal Rodriguez 00:32:57.840 --> 00:33:02.320 And I'm going to add a sub field D I'm sorry for sub field two. 38 Crystal Rodriguez 00:33:07.280 --> 00:33:08.520 Then I'm gonna add one more note here. 39 Crystal Rodriguez 00:33:11.760 --> 00:33:13.320 Just indicating that this was a donation. 40 Crystal Rodriguez 00:33:22.760 --> 00:33:42.120 Alright, so once we've added the fields that we want to include, we can then format the record to remove any unused fields and to reorder the fields that we entered. This works just like when we're working with bibliographic records. So I'm going to go ahead and I can use the read the reformat on my toolbar here. 41 Crystal Rodriguez 00:33:43.200 --> 00:33:46.760 And we watch quickly that connection makes that reformat there. 42 Crystal Rodriguez 00:33:49.680 --> 00:34:07.800 And once I have saved my constant data or I have all everything I want, then I want to save my constant data. As I mentioned in the beginning, for this project, my library has several people working on this, so we're going to save this to our online save file. So I'm going to go to action. 43 Crystal Rodriguez 00:34:08.800 --> 00:34:23.159 And then save record to online file or if I were to attempt to close this record, I would be asked if I wanted to save it. I'm going to go ahead and just click that option there for saving, and then we want to give our constant data a name. 44 Crystal Rodriguez 00:34:29.000 --> 00:34:47.760 Setting a default is not required if you assign a default, you do determine if you want to apply fixed fields, variable fields or both. This enables you to apply the constant data with fewer clicks, and you will want to keep in mind that you cannot delete your default local constant data. 45 Crystal Rodriguez 00:34:48.440 --> 00:34:51.800 Once it's assigned. So that's specifically if you're saving this to the local file. 46 Crystal Rodriguez 00:34:53.520 --> 00:34:57.040 So I'm going to go ahead and choose to make this my default constant data. 47 Crystal Rodriguez 00:35:00.720 --> 00:35:05.480 And I want to add a my status so that I can identify my constant data. 48 Crystal Rodriguez 00:35:08.320 --> 00:35:25.440 So I'm just going to add my initials, this is just like when we're working with video graphic records as well here. So I'm going to go ahead and click ok and here I'm asked if I want to apply fixed fields, variable fields or both. I'm going to just say variables since that's the areas that I've edited. 49 Crystal Rodriguez 00:35:27.520 --> 00:35:28.600 And I can click OK. 50 Crystal Rodriguez 00:35:33.960 --> 00:35:53.240 There are three ways to apply constant data. You can apply default, apply from a list or apply by name. I'm going to achi choose to apply default for this example because I'm applying by default, applying variable or fixed fields is based on that decision that I just made when I saved. So. 51 Crystal Rodriguez 00:35:53.680 --> 00:35:55.000 Let me go ahead and open up a record. 52 Crystal Rodriguez 00:35:57.800 --> 00:35:59.960 I'm just going to enter in an OCLC number. 53 Crystal Rodriguez 00:36:07.800 --> 00:36:09.440 And I have my billy graphic record here. 54 Crystal Rodriguez 00:36:11.120 --> 00:36:28.760 Now to apply my constant data record I'm going to go to the edit menu and then constant data, and remember I saved this online, so I'm choosing online, and I want to go ahead and apply my default, so it's going to apply that one that I just saved. So let's go ahead and click on that. 55 Crystal Rodriguez 00:36:30.160 --> 00:36:36.560 And we'll connection's gonna take a moment to think, and we will see in a moment that it does does apply my constant data. 56 Crystal Rodriguez 00:36:38.520 --> 00:36:46.400 And here we see that our my constant data was added to this record, I can tell that by the little triangles over here, that show that that's an edit. 57 Crystal Rodriguez 00:36:48.880 --> 00:36:57.880 And then I can go ahead and edit these fields or make any other edits I need to, and then complete the record or resave it if I need to. 58 Crystal Rodriguez 00:37:00.440 --> 00:37:13.680 For my purposes I'm just going to go ahead and close this record. So I'm gonna X out, and this is where you'll see that I'm asked if I want to save the record. I'm going to say no that I just want to close it. 59 Crystal Rodriguez 00:37:22.800 --> 00:37:41.080 It is important to keep in mind that constant data records do not retain empty fields or elements. If you select to apply fixed fields from constant data, they will overwrite existing data. So here we see information on how to insert blank fields, keep fields. 60 Crystal Rodriguez 00:37:41.320 --> 00:37:51.520 And perserve preserve fixed fields. For fixed fields, you will need to add asterisks to preserve the fixed field value in the bid record. 61 Crystal Rodriguez 00:37:53.680 --> 00:38:13.600 Okay, use a blank or leave the fill character if you do not want to retain the existing data. Remember that fill characters are prompts for required elements. For variable fields, to insert empty fields, enter one or more placeholder characters. 62 Crystal Rodriguez 00:38:14.480 --> 00:38:27.400 Or enter a delimiter, a space, the pipe character, the word blank in all capital letters, and another pipe character as seen here on the slide. 63 Crystal Rodriguez 00:38:29.560 --> 00:38:49.680 Variable fields can be entered anywhere in the record. Use reformat when you were finished to reform, to remove blank fields. Also note that the process of creating constant data records and retaining fields in elements is different in world Share Record manager. Please visit our help site. 64 Crystal Rodriguez 00:38:50.440 --> 00:38:52.240 For information on those steps. 65 Crystal Rodriguez 00:38:58.040 --> 00:39:01.840 Here you see an example showing some of the steps that I've just outlined. 66 Crystal Rodriguez 00:39:05.280 --> 00:39:21.640 Note the highlighted areas showing the fill characters blanks, retentions, and asterisks. So we can see those here. We see, for example, under dates that we have the asterisks, and we keep the field character under the ELVL. 67 Crystal Rodriguez 00:39:23.240 --> 00:39:33.320 Fixed field, and here you see that sort of placeholder with the word blank in all capital letters surrounded by the pipe characters. 68 Crystal Rodriguez 00:39:38.520 --> 00:39:53.800 And here, is an example of a biographic record where we have applied the constant data record with blanks and retentions. Again, note the highlighted areas, and in just a few moments, we will put this into action within connection. 69 Crystal Rodriguez 00:39:56.400 --> 00:39:58.160 So let's go ahead and open connection. 70 Crystal Rodriguez 00:40:03.360 --> 00:40:03.560 Alright. 71 Crystal Rodriguez 00:40:08.040 --> 00:40:27.800 So let's see an example that will demonstrate the options for leaving a blank and retaining fields. My catalogger wants to create a constant data record as a template for a collection of titles that all indicate that they were selected for a selebrity book club. They will need to use this when working online and. 72 Crystal Rodriguez 00:40:28.240 --> 00:40:32.720 Offline, so we will save it to our local constant data file. 73 Crystal Rodriguez 00:40:35.000 --> 00:40:39.160 So again, to create a constant data record, we're going to go to cataloging. 74 Crystal Rodriguez 00:40:40.560 --> 00:40:52.280 Create constant data or we can use that shortcut key. For this case, I'm going to use the work form of books, so I it's already selected for me, I'm just gonna go ahead and click ok. 75 Crystal Rodriguez 00:40:56.600 --> 00:41:02.760 Alright, so I'm going to leave the fill character in the ELVL fixed field here. 76 Crystal Rodriguez 00:41:04.160 --> 00:41:08.680 For my language I'm going to replace these fill characters with ENG for English. 77 Crystal Rodriguez 00:41:11.400 --> 00:41:13.320 For country I want to leave that blank. 78 Crystal Rodriguez 00:41:15.680 --> 00:41:19.320 And then for the DEC S C I'm gonna enter an I here. 79 Crystal Rodriguez 00:41:22.720 --> 00:41:31.640 And I'm going to enter an S for the DTST fixed field. And then my dates I'm going to add asterisks. Oops. 80 Crystal Rodriguez 00:41:34.960 --> 00:41:37.480 And I'm leaving the second area of the dates blank. 81 Crystal Rodriguez 00:41:41.320 --> 00:41:57.320 Remember if you do not use the asterisk here, fill characters in constant data will overwrite any dates that maybe present in the building graphic format or record. So now I want to do some work in my variable fields. So I'm going to enter a two sixty four. 82 Crystal Rodriguez 00:42:00.400 --> 00:42:14.080 The first indicator of four, no blank on the second indicator, and I'm gonna enter a sub field C And this is where I'm going to use that pipe character with the word blank in all capital letters and then another pipe character. 83 Crystal Rodriguez 00:42:15.960 --> 00:42:17.880 And I'm gonna add a five hundred note. 84 Crystal Rodriguez 00:42:27.320 --> 00:42:32.400 Alright, this is where we're not indicating that this is from a celebrity book club. 85 Crystal Rodriguez 00:42:40.880 --> 00:42:45.520 And then I want to add a nine forty nine field. I'm gonna add that at the end of the record. 86 Crystal Rodriguez 00:42:51.240 --> 00:43:05.560 And I'm gonna enter in the the word call number here just to give me sort of a placeholder to know that that's where I would enter my call number, and then for my sub field G I'm gonna use that placeholder of the blank with the pipe characters. 87 Crystal Rodriguez 00:43:10.240 --> 00:43:12.280 And then we're just gonna add a couple more sub fields here. 88 Crystal Rodriguez 00:43:20.440 --> 00:43:21.120 And let's see. 89 Crystal Rodriguez 00:43:24.360 --> 00:43:24.560 Alright. 90 Crystal Rodriguez 00:43:27.040 --> 00:43:32.800 And then I can use reformatting again to go ahead and reformat this. This time I'm going to show you using the menu option. 91 Crystal Rodriguez 00:43:35.200 --> 00:43:37.600 So that is under, if I could recall. 92 Crystal Rodriguez 00:43:41.080 --> 00:43:43.840 Here it is, under edit, and then reformat. 93 Crystal Rodriguez 00:43:47.040 --> 00:43:59.360 Shouldn't there be also be a two sixty four one to go with the two sixty four? That is possible, we may get to that in a moment. This is just sort of a sample so it would depend on the circumstances. 94 Crystal Rodriguez 00:44:00.840 --> 00:44:02.480 But most likely yes, I'm just. 95 Crystal Rodriguez 00:44:05.200 --> 00:44:07.800 For speed I left that blank for now. 96 Crystal Rodriguez 00:44:11.320 --> 00:44:19.240 Alright. But I will actually get in the future I'll use that as a way to show us how we can get additional information about that, those fields. 97 Crystal Rodriguez 00:44:22.560 --> 00:44:37.040 Alright, so now that we've finished adding what we want to do here, now we're going to save the record to the local file. So we can again just attempt to close it or we can go to action and choose save record to local file. 98 Crystal Rodriguez 00:44:39.200 --> 00:44:41.360 And the same as if the previous example we want to add. 99 Crystal Rodriguez 00:44:43.200 --> 00:44:45.240 A name for our constant data. 100 Crystal Rodriguez 00:44:47.480 --> 00:44:49.840 I don't want to set this as my default for now. 101 Crystal Rodriguez 00:44:57.400 --> 00:45:06.520 Wouldn't most of the titles have lit F of one for fiction. That's possibly true. Again, this is sort of just a, a blank example. 102 Crystal Rodriguez 00:45:08.600 --> 00:45:16.640 And I would need to check that in the bill the graphic formats and standards, but I will look that, look at that for future reference. Thank you. 103 Crystal Rodriguez 00:45:18.200 --> 00:45:18.360 Thank you. 104 Crystal Rodriguez 00:45:21.480 --> 00:45:32.880 So I'm not gonna set this one as my default because as I mentioned earlier, you can you can't delete your default constant data record, and I want to be able to possibly delete this in the future. 105 Crystal Rodriguez 00:45:35.160 --> 00:45:54.800 And also, because this is a local constant data, I don't necessarily need to add my status unless maybe someone else is using my computer because at this point anything I save here is local to my computer. But I'm going to go ahead and just add that anyway, just. 106 Crystal Rodriguez 00:45:56.080 --> 00:45:56.960 Because that is an option there. 107 Crystal Rodriguez 00:45:58.480 --> 00:46:00.400 All right, and then I'm gonna go ahead and click OK. 108 Crystal Rodriguez 00:46:07.120 --> 00:46:23.880 All right. Now, also at this point my libraryan realizes that they do want to set up a default my status for constant data to avoid having to add that every time. So to do that, we do that here in our menu. 109 Crystal Rodriguez 00:46:28.160 --> 00:46:35.400 Sorry, bear with me here. That's done under tools and then options. And we choose my status. 110 Crystal Rodriguez 00:46:36.960 --> 00:46:52.880 And here we see the option to add a my status for building graphic records, for our building graphic constant data. That's what we're gonna do here, so we're gonna check that box, and then we can just add that status so that we don't have to do that every time that we save a record. 111 Crystal Rodriguez 00:47:00.000 --> 00:47:03.600 Alright, and I want to go ahead and close my constant data record that i've saved here. 112 Crystal Rodriguez 00:47:06.960 --> 00:47:09.320 And this time I'm going to add my constant data record. 113 Crystal Rodriguez 00:47:11.120 --> 00:47:21.720 I'm gonna apply that by name. So I'm going to go to cataloging search world cat, and I'm going to enter in my OCLC number here. 114 Crystal Rodriguez 00:47:23.080 --> 00:47:24.240 In the command line search. 115 Crystal Rodriguez 00:47:30.080 --> 00:47:31.040 And then just hit enter. 116 Crystal Rodriguez 00:47:36.760 --> 00:47:36.960 Alright. 117 Crystal Rodriguez 00:47:39.280 --> 00:47:53.320 And again, I'm going to go to the edit menu constant data. This time I'm going to choose local, and we can see again that we have options for shortcuts if we want to use those. I'm going to select apply by name. 118 Crystal Rodriguez 00:47:55.040 --> 00:48:10.960 And then I'm just gonna type in the name books typical, and here because this is not my default I'm given the option to apply either fixed fields, variables or both. I'm going to go ahead and choose both here, and then we're gonna click OK. 119 Crystal Rodriguez 00:48:12.880 --> 00:48:14.440 And connection is taking a moment to think. 120 Crystal Rodriguez 00:48:16.200 --> 00:48:36.440 And here we can see if we look in the variable fields, we can see the two sixty four with that blank C subfield C there so I can enter whatever text I need to there. We see the five hundred note, and then if we scroll down, we see our nine forty nine and we see that we have that blank sub. 121 Crystal Rodriguez 00:48:36.920 --> 00:48:48.520 G And then going up and looking at our fixed fields, we see that the ELVL we've got our fill character, so we can add that at this point, we can edit that. 122 Crystal Rodriguez 00:48:50.160 --> 00:48:57.040 Our language of English was transferred over. Our country is blank because we did leave that blank in our constant data. 123 Crystal Rodriguez 00:48:58.320 --> 00:49:09.200 And we see the I was transferred, the S, and then here we see that the date that was in our bible graphic record was transferred because we had that as asterisks. 124 Crystal Rodriguez 00:49:14.760 --> 00:49:25.320 Now for today I'm going to go ahead and save this record to my online file because I want to complete that later. So I'm gonna go ahead and try to close it and I'm gonna say yes, save this to online. 125 Crystal Rodriguez 00:49:27.760 --> 00:49:32.600 And then I get a number letting me know what that save file number was. So I can go retrieve that later. 126 Crystal Rodriguez 00:49:36.200 --> 00:49:36.440 Alright. 127 Crystal Rodriguez 00:49:46.200 --> 00:50:05.880 As previously mentioned, you may find that deriving a constant data record from an existing biblographic or constant data record will minimize the timing it takes to help avoid errors. And to help avoid errors. The derived command enables you to transfer data from an existing constant data record. 128 Crystal Rodriguez 00:50:06.320 --> 00:50:10.080 Or, from a bid record to create a new constant data record. 129 Crystal Rodriguez 00:50:11.920 --> 00:50:31.800 Use this option when you need to transfer several fields from a bibiographic record into your constant data. Or maybe you have an existing constant data record that contains information that you need to transfer to a new constant data. Remember it is important to edit carefully before prior to saving your constant data. 130 Crystal Rodriguez 00:50:33.880 --> 00:50:52.760 So just as when creating bibligraphic records, you will want to begin with reviewing your derived record settings. Note that this will apply to bible graphic records and constant data. So the steps are the same as those that we reviewed in our editing records class. So let's review that again. 131 Crystal Rodriguez 00:50:55.160 --> 00:50:56.680 In connection, we go to tools. 132 Crystal Rodriguez 00:50:58.120 --> 00:50:59.320 And then options. 133 Crystal Rodriguez 00:51:00.640 --> 00:51:11.040 And we choose derive record. Now this is an optional one time setting if you want to remove certain fields or sorry, if you want to select which fields to transfer. 134 Crystal Rodriguez 00:51:16.760 --> 00:51:35.760 From the, this is gonna select the fields that are going to transfer from the existing record to the new record, and you'll see that by default, the one XX through eight XX fields are checked. And you can make those changes here. I do want to use this opportunity to mention that we are dealing with a, a system. 135 Crystal Rodriguez 00:51:37.040 --> 00:51:40.760 Error right now, and there is a work around. So the error is that. 136 Crystal Rodriguez 00:51:42.320 --> 00:51:51.080 If you leave the Webex X field and that field is controlled, when you attempt to create a constant data, you won't be able to. 137 Crystal Rodriguez 00:51:52.520 --> 00:52:12.760 So for today's purposes, I'm actually going to use the work around of removing the one XX field and not transferring that. This is a known issue. It is going to be resolved soon. If you see this issue, please feel free to send a ticket into our support team so that they can track that, ok? And they can follow up with you. 138 Crystal Rodriguez 00:52:12.960 --> 00:52:30.520 When it is corrected. But the work around is to just not transfer the one XX field or when you're working in the record, you can just uncontroll the one XX fields. So I'm just going to remove that one XX and I'm going to click apply. 139 Crystal Rodriguez 00:52:32.200 --> 00:52:40.360 And again, you do want to remember that this is applying to both your bible graphic and constant data records. So at any point you can come in and change this setting. 140 Crystal Rodriguez 00:52:44.960 --> 00:52:49.160 Alright, I'm going to go ahead and open up a biddly graphic record. 141 Crystal Rodriguez 00:52:55.880 --> 00:53:12.000 And this is that example where the one XX is controlled. So if you the other workaround is to uncontroll this by clicking, you can choose right click and choose uncontrolled single. I'm not going to need to do that because I'm not transferring this field. 142 Crystal Rodriguez 00:53:16.640 --> 00:53:36.640 Okay, so to derive my constant data from this pivographic record, I'm going to choose edit, derive, and new constant data. And again, I can see the keystroke option there. Now I'm asked if I want to transfer fixed field values to the new record. I'm going. 143 Crystal Rodriguez 00:53:37.360 --> 00:53:38.280 No for my example. 144 Crystal Rodriguez 00:53:44.520 --> 00:53:57.640 And here we can see the fields that were transferred. We see that because I removed that one XX it did not transfer over, but all of our other options, the two XX, three XX et cetera, those did transfer. 145 Crystal Rodriguez 00:54:00.560 --> 00:54:01.920 And for the purposes of. 146 Crystal Rodriguez 00:54:03.760 --> 00:54:21.240 My deriving and saving a constant data, I just want to keep the six hundred, six fifties with the sub field zero, the four ninety and the eight thirty. So I'm just gonna go through and I'm going to choose the fields and right click and choose delete on the fields that I don't want. 147 Crystal Rodriguez 00:54:23.040 --> 00:54:24.560 To just choose to delete those fields. 148 Crystal Rodriguez 00:54:30.600 --> 00:54:47.720 And this is where again I could have just not transferred the three X xxs or two xxs because I knew I didn't want those. I do want the four ninety, I want this six hundred, the six fifty, and then I don't want the rest of the six fifties, I just want the one that has a sub field zero. 149 Crystal Rodriguez 00:54:51.000 --> 00:55:03.040 So I'm just gonna delete these fields. Also to delete a field you can use the edit cut copy paste, and choose delete field there. I just find the right click to be faster. 150 Crystal Rodriguez 00:55:07.320 --> 00:55:25.360 Alright, so these are the fields that I want to make maintain in my constant data field. So I'm going to go ahead and save this to my online file. I'm going to choose action, save record to online file, and here you'll see that my status is automatically chose entered for me because we set that. 151 Crystal Rodriguez 00:55:26.280 --> 00:55:33.920 A few moments ago, and I'm going to name this one Rice fick, perfection and click OK. 152 Crystal Rodriguez 00:55:37.360 --> 00:55:37.560 Alright. 153 Crystal Rodriguez 00:55:42.480 --> 00:55:58.800 And then for this example, I'm going to apply the constant data to a blank bibliographic work form, and this time I'm going to apply it from a list. So I'm going to first begin with that blank work form, so going to cataloging, create single record. 154 Crystal Rodriguez 00:56:00.160 --> 00:56:01.360 And I'm going to choose books. 155 Crystal Rodriguez 00:56:03.960 --> 00:56:20.440 And here I have the blank work form. This is sort of an example of where that constant data can be a bit of a template for you. So I'm going to go ahead and use edit, constant data. I'm going to choose online, and I'm going to choose apply from list. 156 Crystal Rodriguez 00:56:22.520 --> 00:56:30.760 To get the full list, I'm just gonna leave this blank and click ok. And here I have my list of. 157 Crystal Rodriguez 00:56:32.320 --> 00:56:52.480 Constant datas that are saved to my libraries online file, and I see the one that I just created for rice fix, so I'm just gonna click on that, and then here is where I can choose if I want to apply both fixed fields variables or individually one of those. I'm just gonna leave this as variable. Note that that's. 158 Crystal Rodriguez 00:56:52.600 --> 00:57:12.800 Already chosen because that's what I said when I saved it, but I am given the opportunity to change that decision here. So with the rice fix selected, I'm going to click apply selected, and then we see that the fields that I had in my constant data record were transferred onto my work form. 159 Crystal Rodriguez 00:57:13.080 --> 00:57:16.920 And then I can continue to edit from here and save as needed. 160 Crystal Rodriguez 00:57:21.160 --> 00:57:24.120 Alright, I'm just gonna go ahead and close this example. 161 Crystal Rodriguez 00:57:36.160 --> 00:57:56.200 As previously mentioned, constant data records that are saved to your local constant data file can be applied to records that you've saved to a local safe file for online, for offline processing. You can apply constant data one record at a time or to multiple records at a time. I'm gonna go ahead and close. 162 Crystal Rodriguez 00:57:57.320 --> 00:58:08.480 Now I've saved several records in my local file, so I'm gonna open those up. To do that I'm going to go to cataloging and then search local save file or I could have used F three. 163 Crystal Rodriguez 00:58:11.560 --> 00:58:26.280 And you might remember from my previous class to see all of the records in your local save file, you just leave the search box blank and click ok, and here I see all of my records. I want to work offline, so I'm gonna log off real quick. 164 Crystal Rodriguez 00:58:30.640 --> 00:58:37.000 Alright, so to apply to one record at a time, you're just going to highlight that record. 165 Crystal Rodriguez 00:58:38.880 --> 00:58:42.680 And then right from this screen, you can choose go to constant data. 166 Crystal Rodriguez 00:58:45.240 --> 00:58:49.640 Right, we're gonna go to edit constant data, and then we're gonna choose local. 167 Crystal Rodriguez 00:58:51.680 --> 00:59:03.040 And you can choose to apply any of the ways we've already showed. I'm just gonna do apply from list, and I'm gonna enter in the name here for my books typical. 168 Crystal Rodriguez 00:59:06.400 --> 00:59:07.400 And I'm gonna click OK. 169 Crystal Rodriguez 00:59:12.200 --> 00:59:15.400 And let me go ahead and look at that file. Again. 170 Crystal Rodriguez 00:59:21.120 --> 00:59:30.160 Okay, that should have applied it, but it didn't. Let's try that one more time with the record open. Let's go ahead and go edit constant data, local, apply from list. 171 Crystal Rodriguez 00:59:33.200 --> 00:59:33.840 Books typical. 172 Crystal Rodriguez 00:59:38.120 --> 00:59:40.040 Not sure what's going on there, to just adding it. 173 Crystal Rodriguez 00:59:41.720 --> 00:59:48.400 Let's try applying it a different way. That maybe unfortunately another bug cause it should have added. Let's just try applying my default record. 174 Crystal Rodriguez 00:59:50.160 --> 01:00:00.880 It looks like that did work. Here we see my, that's just a word default that I had previously saved. So I will need to look into that because the apply from list should have worked. 175 Crystal Rodriguez 01:00:04.080 --> 01:00:23.040 So it will have to look into that. But we're gonna go ahead and say no here to saving this. The more important thing that I wanted to show was that you can apply constant data to more records, more than one record at a time. So if you're applying to records that are adjacent, then you want to highlight. 176 Crystal Rodriguez 01:00:23.240 --> 01:00:39.680 The first record, click shift, and then you can either use the down arrow or just click on the subsequent records, and there you can click edit, constant data, local, and again, I'm just gonna do apply default. 177 Crystal Rodriguez 01:00:41.760 --> 01:00:45.680 And then if I were to open these, I would see that that default was applied. 178 Crystal Rodriguez 01:00:47.560 --> 01:00:59.640 And I can use the next arrow to see the next one in line, and I can scroll down and see that the five hundred note was added. So similarly, if you want to. 179 Crystal Rodriguez 01:01:00.880 --> 01:01:20.400 Add the constant data to items that are not adjacent, you're just going to click on the first one, the first record to highlight it, then you use control to select your next records, and then the steps are the same of edit, adding your constant data. So edit constant data, local. 180 Crystal Rodriguez 01:01:21.440 --> 01:01:36.720 And then apply I'm just gonna apply the default there. Unfortunately, you don't see that it was added until you actually click on the record, but it does add that. Actually I should go to one of the ones I had not previously selected. So if we, let's see. 181 Crystal Rodriguez 01:01:38.760 --> 01:01:41.400 Here's one of the newer ones I think. Up the next one. 182 Crystal Rodriguez 01:01:45.200 --> 01:01:46.880 There we see that the five hundred was added. 183 Crystal Rodriguez 01:01:51.520 --> 01:01:58.120 Yeah, and unfortunately there is no indication that that was completed, but it is adding that constant data for you. 184 Crystal Rodriguez 01:02:02.720 --> 01:02:22.640 Okay, so the online default constant data record is associated with each connection authorization. So if multiple staff are using the same authorization, you will share one default constant data. Local default default constant data records are added to a local file by on your. 185 Crystal Rodriguez 01:02:22.800 --> 01:02:40.760 Workstation. So you can create multiple local files to accommodate a situation where more than one person is using that workstation. You can find additional information on that on our help site, and we did review some of that in our previous class on how to create. 186 Crystal Rodriguez 01:02:42.440 --> 01:02:44.160 Local files in the local file manager. 187 Crystal Rodriguez 01:02:47.320 --> 01:02:47.600 Alright. 188 Crystal Rodriguez 01:02:50.080 --> 01:03:09.840 So to see a list of existing constant data and to determine your current default, if you're looking for your online constant data, you're going to go to cataloging search, and then choose online constant data or you can use that shortcut. I am being asked to log on because previously I had been working offline. 189 Crystal Rodriguez 01:03:10.840 --> 01:03:11.760 So I'm going to go ahead and do that. 190 Crystal Rodriguez 01:03:14.640 --> 01:03:27.920 And again, we can leave the search box empty to see all of the constant data or if you prefer you can search by your status, so I could put in the, my initials here. I'm just gonna leave it blank to see all of my records. 191 Crystal Rodriguez 01:03:32.240 --> 01:03:49.360 And for the online constant data, I see that my default record is the VISCC. I can see that up on the top of my screen that shows my default to change the default, I'm going to click a constant data record I'm gonna double click it to open it. So I want to open. 192 Crystal Rodriguez 01:03:51.920 --> 01:04:03.720 Or I can search. So I'm going to choose my rice fick. I want to make that my default. I'm going to go ahead and double click to open that, and then I'm going to go to edit constant data. 193 Crystal Rodriguez 01:04:05.320 --> 01:04:08.280 Online, and then I can say set as default. 194 Crystal Rodriguez 01:04:09.720 --> 01:04:15.280 And again, I'm asked if I want to add fixed variable or both I'm gonna leave that as variable. 195 Crystal Rodriguez 01:04:19.400 --> 01:04:28.760 And now when I close and I look at the list of my constant data online constant data, I see that the default record shows as rice fick. 196 Crystal Rodriguez 01:04:34.120 --> 01:04:34.320 Alright. 197 Crystal Rodriguez 01:04:35.960 --> 01:04:50.160 And this would work the same for local constant data except I would go to cataloging search, local constant data, I can leave that blank to see all of those. And again, I can see which is my default, and I would make those changes the same way. 198 Crystal Rodriguez 01:04:53.960 --> 01:04:59.000 Now, if you find that a constant data record is no longer needed, you can delete that. 199 Crystal Rodriguez 01:05:01.040 --> 01:05:07.280 However, again, when you're working with your local constant data, you cannot delete the default. So do keep that in mind. 200 Crystal Rodriguez 01:05:09.560 --> 01:05:29.640 So I want to go ahead and remove a constant data. I'm gonna pretend that I hadn't had that list up because I've I've decided to do this later. So I'm going to go ahead and display the list again. So cataloging search, I'm going to remove one of my online constant data, so I want to choose online constant data. Leave that. 201 Crystal Rodriguez 01:05:29.720 --> 01:05:38.920 Blank again, click OK, and I'm going to remove the VISCC. So I'm just gonna highlight that. 202 Crystal Rodriguez 01:05:40.640 --> 01:05:43.800 And then I'm gonna choose action and delete record. 203 Crystal Rodriguez 01:05:45.320 --> 01:05:51.800 I'm get get a confirmation I say yes, and now I see that that constant data was removed from my list. 204 Crystal Rodriguez 01:05:54.440 --> 01:06:04.400 And again, those steps are the same for your local constant data except you're gonna choose to open your local constant data. Is there a way to rename a constant data after you've created it? 205 Crystal Rodriguez 01:06:06.280 --> 01:06:15.240 I don't believe so, but what you can do is then you can, you can use that constant data record to derive a new constant data record and save that one. 206 Crystal Rodriguez 01:06:17.920 --> 01:06:37.000 If I find out otherwise I will follow up and let you all know. I'll add that into the learner guide, which I think we forgot to add the learner guide. I apologize for that. We're gonna add that here shortly. The learner guide, just like with our other classes is and living document that is meant to accompany our courses and. 207 Crystal Rodriguez 01:06:37.520 --> 01:06:40.360 And you can refer back to it and we will add additional information. 208 Crystal Rodriguez 01:06:42.200 --> 01:06:51.600 When we find it or answers to these types of questions. And my colleague Mallory just added that. I do apologize that we didn't add that sooner. We typically try to add that right at the beginning. 209 Crystal Rodriguez 01:06:54.800 --> 01:07:00.640 Okay, so that was what I had to share with constant data. I'm gonna pause for a moment to see if there's any additional constant data questions. 210 Crystal Rodriguez 01:07:04.080 --> 01:07:05.040 I'm not seeing anything. 211 Crystal Rodriguez 01:07:12.880 --> 01:07:17.720 Feel free to add those questions as they do come up, either myself or my colleague Mallory can address those. 212 Crystal Rodriguez 01:07:19.880 --> 01:07:39.480 Alright, so I'm gonna move on to another tool here. So another automation tool that connection offers is text strings. Use text strings to supplement constant data for entering frequently used brief data anywhere in records. They can be used for. 213 Crystal Rodriguez 01:07:39.720 --> 01:08:00.000 Inserting common elements like sub field text, a location or local notes. Use text strings for adding to variable fields or parts of fields. You can include tags, indicators, delimiters, sub field codes, diary critics, and special characters. 214 Crystal Rodriguez 01:08:01.240 --> 01:08:18.000 Text strings can also consist of single or multiple lines or fields. You'll need to remember that they are applied at the cursor position. There is no character limit and they are stored locally. So you, these would be just for your workstation. 215 Crystal Rodriguez 01:08:21.880 --> 01:08:23.080 Now looking in connection. 216 Crystal Rodriguez 01:08:27.200 --> 01:08:47.400 We can find our options for creating text strings under the tools menus. We're gonna go to tools and we see the text strings. You may see that I actually have text strings added on my toolbar. That is an option and we'll talk a little bit about the toolbar in a, in a little while here, but I'm gonna go ahead and use the tools men. 217 Crystal Rodriguez 01:08:47.680 --> 01:08:51.920 And choose text strings, and I get the text strings box. 218 Crystal Rodriguez 01:08:53.839 --> 01:09:01.960 And to add a text string I'm just gonna click on the word add, and I need to give it a description first, just a name. I'm gonna call this play away. 219 Crystal Rodriguez 01:09:03.759 --> 01:09:23.560 And then I move into the text box, and this is where I'm gonna enter my text string. And it is important to enter this text string exactly as you want it to be applied. So you're gonna want to keep in mind any spacing or your indicators et cetera. So if you plan to add a tag. 220 Crystal Rodriguez 01:09:24.000 --> 01:09:41.040 You're gonna want to be sure to include spaces for indicators or indicator values before you enter that text. So here's an example. I'm going to go ahead and enter in a five three eight, and I need two spaces because I'm not gonna include indicators here, and then I'm just gonna add a note. 221 Crystal Rodriguez 01:09:52.920 --> 01:10:12.960 And I'm gonna go ahead and add the period there. All right. And I could add just this one field, but I actually want to add a second field, so I'm just gonna hit enter to go down to the next slide, and I'm gonna enter a six fifty five. Now this is a case where I've got my first indicators blank, my second indicator is a seven. So I'm going to leave one blank. 222 Crystal Rodriguez 01:10:13.360 --> 01:10:31.920 Enter in my seven, and now this next part might look a little weird, but I don't want to put a space after this indicator because I, I want the text to immediately start going into my field data. So I'm just going to leave that seven as that way and then I'm entering in a note. 223 Crystal Rodriguez 01:10:40.160 --> 01:10:43.480 And then I'm I'm those are the only two fields I want so I'm going to go ahead and click ok. 224 Crystal Rodriguez 01:10:49.680 --> 01:10:51.120 And I'm going to close this screen. 225 Crystal Rodriguez 01:10:54.240 --> 01:10:56.280 Now let's go ahead and locate a bitlographic record. 226 Crystal Rodriguez 01:11:05.360 --> 01:11:11.720 Alright, and then I want to create a blank field after the last five hundred no after the five hundred note here. 227 Crystal Rodriguez 01:11:19.200 --> 01:11:37.400 I think I may have gotten the wrong. Oh yep, there's actually I apologize, I I missed a number in my OCLC number, so I'm gonna actually close this record. Didn't think that was the example I wanted to use. This is the example I wanted to use. So here, at the end of our five hundred notes, we're gonna go ahead and add. 228 Crystal Rodriguez 01:11:37.760 --> 01:11:42.200 A blank field and just enter in, should we don't enter anything. 229 Crystal Rodriguez 01:11:44.000 --> 01:12:03.760 We're just gonna create that blank field, and then I want my cursor in my tag box here, and I want to add my text string. So I am going to go ahead and in my case I can use the text string from my toolbar. I'm gonna use the dropdown and I'm just gonna choose play away. 230 Crystal Rodriguez 01:12:05.480 --> 01:12:23.760 If you don't have that, then you can go to tools text strings, and here you can apply. So you can select your text string there and apply. I'm gonna go back to my toolbar here and just click on play away. And we see a little flash on the screen. 231 Crystal Rodriguez 01:12:24.400 --> 01:12:30.520 And we see that my text string was added for me. And note how the spacing worked out. 232 Crystal Rodriguez 01:12:34.040 --> 01:12:47.440 And just again that reminder that it's added at the position that my cursor was at. So you want to be really careful here because if I had had my cursor in the field, then the five thirty eight would have been off in the wrong place. 233 Crystal Rodriguez 01:12:50.680 --> 01:13:09.720 And again, we can use the reformat option to redisplay the record and remove any extra spaces or fields that we don't want. And then we can close the records. Let me go ahead and reformat, and that's going to move those into fields into the right position, and we can see that that happened. And then you can go. 234 Crystal Rodriguez 01:13:10.080 --> 01:13:18.840 And either save or close or export your record, whatever it is you need to do. For my demonstration purposes, I'm just gonna close this record. I'm not gonna save it. 235 Crystal Rodriguez 01:13:25.200 --> 01:13:45.600 Okay so that's one use for text strings. Now remember that you can use text strings for commonly used field data or text that will be applied throughout the record. So my library often needs to add sub fields to subject headings. Creating a text string will allow us to add these in fewer clicks. So i'm. 236 Crystal Rodriguez 01:13:45.680 --> 01:13:54.280 I'm going to go ahead and open up the text strings box. I'm going to do that again using tools, text strings, and here I see my text string that I already created. 237 Crystal Rodriguez 01:13:56.080 --> 01:13:58.320 And I want to add a new text string. 238 Crystal Rodriguez 01:14:00.040 --> 01:14:09.240 I'm going to call this one just C bus for, which is short for Columbus. And then in the text box, I'm going to enter. 239 Crystal Rodriguez 01:14:11.000 --> 01:14:19.440 My sub field data. So I'm going to enter sub field Z Ohio, and sub field Z Columbus. 240 Crystal Rodriguez 01:14:29.400 --> 01:14:49.240 So another use case is to create a text string for text that is added in multiple places in a record. So, for example, I could create one that is adding Columbus comma, Ohio to be added in, for example, my two forty five, a two sixty four or other fields within the record. But I'm just gonna go ahead and have these. 241 Crystal Rodriguez 01:14:49.720 --> 01:14:52.360 Subfields here. So I'm going to click OK. 242 Crystal Rodriguez 01:14:57.440 --> 01:14:59.720 And I'm going to go ahead and close this box. 243 Crystal Rodriguez 01:15:01.920 --> 01:15:03.320 And here let's open up another record. 244 Crystal Rodriguez 01:15:15.600 --> 01:15:17.880 And within this record on the. 245 Crystal Rodriguez 01:15:19.760 --> 01:15:25.680 I want to add a six fifty, so I'm going to enter to add a field here under the five forty six. 246 Crystal Rodriguez 01:15:27.880 --> 01:15:33.760 And my first indicator is blank, my second indicator is seven. I want to add the sub field of role education. 247 Crystal Rodriguez 01:15:36.520 --> 01:15:55.440 And then I do need to add a space because I didn't include that in my text string, but now instead of tech typing out the sub field Z ohio, subfield Z Columbus, I can use my text string. So I'm going to go ahead and if I use my toolbar here, I can see C. 248 Crystal Rodriguez 01:15:55.960 --> 01:16:03.080 Is right there, and I can just click on that or I can go tools, text strings, and I'm going to highlight the C bus. 249 Crystal Rodriguez 01:16:05.320 --> 01:16:05.640 And then. 250 Crystal Rodriguez 01:16:07.960 --> 01:16:08.520 Click apply. 251 Crystal Rodriguez 01:16:10.320 --> 01:16:18.640 And click close, and we see that that was applied right there for me. I should have had a period in there probably. Actually, no, I don't think it was needed. 252 Crystal Rodriguez 01:16:21.040 --> 01:16:34.040 And we see that the text string was added right after my space because that is where my cursor was. And then from here you can continue to edit and process the record as needed. But like I said, for my case I'm just gonna go ahead and close this. 253 Crystal Rodriguez 01:16:38.520 --> 01:16:41.560 So those are two common uses for the text strings. 254 Crystal Rodriguez 01:16:43.640 --> 01:16:59.600 And we discussed how constant data and text strings are good options for adding text or fields to records. However, what if you need to follow repetitive or multi step actions such as adding holdings and then exporting? 255 Crystal Rodriguez 01:17:02.000 --> 01:17:09.200 Using a macro can allow you to complete these actions in fewer steps. All right I meant to go over here for a moment and show you this. 256 Crystal Rodriguez 01:17:14.000 --> 01:17:33.720 So this will speed up your cataloging time. OCLC includes some macros with connection client software, some add fields and prompt you to input data. Macros created by others can be added to connection client. Furthermore, you can create your own macros by either. 257 Crystal Rodriguez 01:17:34.160 --> 01:17:47.760 Recording your steps or using OCLC macro language. We will cover recording a macro refer to the learner guide for details on macros, created by others, and using OCLC macro language. 258 Crystal Rodriguez 01:17:50.440 --> 01:17:50.720 Alright. 259 Crystal Rodriguez 01:17:55.520 --> 01:18:02.200 So macros can be applied on a displayed record when working online or offline. So let's go ahead and jump back over to connection. 260 Crystal Rodriguez 01:18:09.400 --> 01:18:16.400 To see our macros, we go to tools, and then here we see macros, and we have the manage option here as well. 261 Crystal Rodriguez 01:18:18.360 --> 01:18:21.280 And that opened on the other screen for me, so let me slide that over for you. 262 Crystal Rodriguez 01:18:24.360 --> 01:18:33.800 For libraries that are using the O nine two, locally assigned do we call number field connection client also contains a couple. 263 Crystal Rodriguez 01:18:36.040 --> 01:18:55.560 Sorry, it also contains a couple of macros that allow you to build a four figure or sandborn cutter. The cutter number is based on the name of the creator of the title or creator or the title. It contains one or two of the initial letters and an alphanumeric code used for classification. 264 Crystal Rodriguez 01:18:56.440 --> 01:19:10.800 So to see where those are, we see that when we go to the macros, we see do we and OCLC. If we click on the plus next to do we, we see the four four figure and the sandborn options here. 265 Crystal Rodriguez 01:19:13.120 --> 01:19:27.360 So I'm not actually gonna demonstrate using those, but I just wanted you to see where those were, and you will use them in just the same way that we will use other macros where you would just run those and we'll see that shortly. 266 Crystal Rodriguez 01:19:31.320 --> 01:19:51.400 I do want to show here if we click on the plus next to OCLC, we see multiple macros that are OCLC supplied, and we can, if we click on one of these, let's click on the first one, the add and edit O O seven, we can see that there is a description that lets us know what this macro does, and you should see that in just about all of these. 267 Crystal Rodriguez 01:19:52.200 --> 01:19:58.160 So that if you're not sure whether you need to use that macro, you can see the description there. 268 Crystal Rodriguez 01:20:00.200 --> 01:20:01.720 I'm gonna go ahead and cancel for a moment. 269 Crystal Rodriguez 01:20:06.160 --> 01:20:26.200 Now let's assume that our catalogger is working with similar audio visual materials and instead of typing out the values for each of the oh oh oh seven fields, they choose to use the add and edit O O seven macro. Which requests a response to a prompt and then automatically completes the field. So let's see that in action. 270 Crystal Rodriguez 01:20:27.800 --> 01:20:28.640 I'm going to go ahead and. 271 Crystal Rodriguez 01:20:30.160 --> 01:20:31.640 Go to a different OCLC number here. 272 Crystal Rodriguez 01:20:39.960 --> 01:20:46.360 And any from anywhere in the record I can just go to tools, macros, and then I choose manage. 273 Crystal Rodriguez 01:20:49.440 --> 01:20:57.240 And I'm going to click on the add and edit. Oh O seven, and I want to run this macro, so I'm going to click the run command here. 274 Crystal Rodriguez 01:21:00.960 --> 01:21:07.640 And when I do that, I am given some prompts. Oops, I apologize. I accidentally X out of that. Let me do that one more time. 275 Crystal Rodriguez 01:21:10.880 --> 01:21:15.920 Tools. Oh, macros, manage. 276 Crystal Rodriguez 01:21:18.320 --> 01:21:28.800 Here we are. And I'm still on that oh oh oh seven. So then I'm given that prompt to select an option here. So I'm going to choose, let's see, this is a book. 277 Crystal Rodriguez 01:21:33.000 --> 01:21:36.480 I don't see that option so there we can just I'm just gonna choose text for this example. 278 Crystal Rodriguez 01:21:38.080 --> 01:21:39.880 And then I'm given another prompt here. 279 Crystal Rodriguez 01:21:44.400 --> 01:21:46.640 And then we see that an o O seven was added. 280 Crystal Rodriguez 01:21:49.880 --> 01:21:53.760 I'm going to go ahead and close out of that record that was just to show you how that. 281 Crystal Rodriguez 01:21:55.440 --> 01:22:15.640 How you can run one of those macros, and you see that that one does have prompts. Not all of the macros you have that prompt option, but those are the OCLC macros. And again, those are under tools macros, manage, and then you will click on the OS, the plus sign next to OCLC and you can see the different option. 282 Crystal Rodriguez 01:22:17.040 --> 01:22:18.000 Oops, did not mean to do that. 283 Crystal Rodriguez 01:22:22.160 --> 01:22:23.360 I accidentally clicked on a button. 284 Crystal Rodriguez 01:22:26.240 --> 01:22:26.440 Alright. 285 Crystal Rodriguez 01:22:28.680 --> 01:22:46.280 Now my library adds holdings and exports records located in connection. So I want to perform these steps with less clicks. Therefore, I'm going to create a macro by recording a new one. To begin, I'm going to open a bit of a graphic record so let me search for an OCLC number here. 286 Crystal Rodriguez 01:22:53.840 --> 01:22:55.480 Can I bring up a bibiographic record. 287 Crystal Rodriguez 01:22:58.080 --> 01:23:01.800 And I want to go to tools macros manage. 288 Crystal Rodriguez 01:23:07.000 --> 01:23:26.080 Okay, now I want you to create my own macros. So first I need to create a new macro book. So for that, I'm going to this doing this will help me easily locate my macros and preserve them in case of an upgrade or installed down the road. So to start that, I'm going to click on. 289 Crystal Rodriguez 01:23:26.320 --> 01:23:26.720 New book. 290 Crystal Rodriguez 01:23:28.800 --> 01:23:31.040 And I'm just going to name this book demo. 291 Crystal Rodriguez 01:23:36.560 --> 01:23:41.800 And then once I've got that book created I want to record a macro. So I'm going to click on record. 292 Crystal Rodriguez 01:23:43.520 --> 01:23:47.760 And I'm asked to give the macro a name. I'm gonna call this hold export. 293 Crystal Rodriguez 01:23:49.920 --> 01:24:00.720 And then you have the option of adding a description. This, when you're creating macros, the description is optional, but I would recommend it just so that you know what that does. 294 Crystal Rodriguez 01:24:05.480 --> 01:24:08.000 So now that I've added that description, I'm going to go ahead and click ok. 295 Crystal Rodriguez 01:24:09.720 --> 01:24:11.280 And the box does close for me. 296 Crystal Rodriguez 01:24:12.960 --> 01:24:19.880 But you may notice it maybe a little small for you, but if you look over into the corner, the left corner here, you'll see the. 297 Crystal Rodriguez 01:24:21.880 --> 01:24:25.200 Record button, the pause button, and then there would be a play button there. 298 Crystal Rodriguez 01:24:27.000 --> 01:24:28.360 Let me see if I can zoom in and show that. 299 Crystal Rodriguez 01:24:34.160 --> 01:24:36.720 That's, trying to find my zoom option. 300 Crystal Rodriguez 01:24:39.440 --> 01:24:45.000 Sorry, I can't recall what that is. I apologize. So it's here in the corner hopefully, you can see that. 301 Crystal Rodriguez 01:24:49.560 --> 01:25:00.800 Okay, so now that we're recording, what we need to do is we go ahead and follow the steps that we want to record. So I'm going to click on the update holdings button. 302 Crystal Rodriguez 01:25:04.160 --> 01:25:22.520 If I can find it. Here it is. So this is my action holdings update holdings. So I'm going to go ahead and click on that button or I could use my menu, but I'm gonna use the update holdings, and we'll see that now my record shows as held by my library, and then I want. 303 Crystal Rodriguez 01:25:22.680 --> 01:25:25.080 To go ahead and click the export option. 304 Crystal Rodriguez 01:25:27.240 --> 01:25:32.080 And I'm getting a notice asking if I want to append to an existing file, I'm going to say yes. 305 Crystal Rodriguez 01:25:36.720 --> 01:25:41.680 And now that I've completed those steps I'm going to stop the recording by clicking on the stop button. 306 Crystal Rodriguez 01:25:44.480 --> 01:25:51.920 And now my macro is recorded. So to test my recorded macro, let's open up a different OCLC number. 307 Crystal Rodriguez 01:26:03.800 --> 01:26:09.680 And then to use my macro, I'm going to go to tools, macros manage. 308 Crystal Rodriguez 01:26:12.040 --> 01:26:14.360 And then I should see my new macro over here. 309 Crystal Rodriguez 01:26:16.480 --> 01:26:30.720 So I see my demo book. I can click on the plus sign, click hold export, and then I'm going to run. Now, before I click run, I do want to note, we see right now no holdings in my library. So once I click run. 310 Crystal Rodriguez 01:26:33.200 --> 01:26:43.480 We now see that it shows as held by my library, and if we look at our status bar at the bottom of our screen, we see update holdings complete and export complete. 311 Crystal Rodriguez 01:26:46.040 --> 01:26:59.360 And later in the session I'm going to review how you can create a key stroke shortcut or use a user tool for your macro to make that even easier for you to use instead of having to have as many clicks. 312 Crystal Rodriguez 01:27:01.480 --> 01:27:08.560 Alright, so I'm pausing to see if there's any questions before I move on. I don't see anything at this time. 313 Crystal Rodriguez 01:27:11.200 --> 01:27:27.480 Okay, so not seeing any questions I actually have a couple of questions for you. Oops I apologize. I do see a question. How do we set up so that all cataloggers have access to institutional libraries and macros? That would be, the process of. 314 Crystal Rodriguez 01:27:28.800 --> 01:27:45.800 You would, you would create the macros and then they would need to add the macro book, for complete instructions on that, I would recommend reaching out to our support team and let them know that you have those institutional macros that you want to be able to share. But you should be able to do that. Thank you. 315 Crystal Rodriguez 01:27:47.720 --> 01:28:06.720 Alright, so I'm going to start a poll for you. So in a moment you all should see this poll on your screen. Alright, so which is true about constant data? So they can be applied to fixed or variable fields. They can be applied to a group of records. 316 Crystal Rodriguez 01:28:08.440 --> 01:28:13.600 It applies to displayed record or a list of saved records or is the answer all of the above. 317 Crystal Rodriguez 01:28:19.120 --> 01:28:20.840 So I'll give you all a few moments to answer that. 318 Crystal Rodriguez 01:28:25.840 --> 01:28:26.200 That's. 319 Crystal Rodriguez 01:28:56.480 --> 01:29:04.760 So the answer to that is all of the above. So constant data can be applied to all of the scenarios listed here. 320 Crystal Rodriguez 01:29:09.000 --> 01:29:11.600 Alright, I'm gonna prepare a second question for you here. 321 Crystal Rodriguez 01:29:14.680 --> 01:29:19.800 So true or false text strings can only be used for variable fields. 322 Crystal Rodriguez 01:29:57.880 --> 01:30:14.360 And the answer to that is true. So that's one of the major differences between the text strings and the constant data records. So with your text strings, you can only apply those to the variable fields. And then I have one more question for you, let me get that ready. 323 Crystal Rodriguez 01:30:19.840 --> 01:30:32.760 Which option can you use to automate repetitive multi step actions such as a string of commands? Is that user tools, macros, key maps or the toolbar editor? 324 Crystal Rodriguez 01:30:55.160 --> 01:31:14.560 It looks like every just about everyone got that correct, it is macros. So that's what we just demonstrated where you were able to have a string of commands. We showed using the ad holdings and exporting as a macro. Alright, so those are the only question. 325 Crystal Rodriguez 01:31:14.760 --> 01:31:15.480 I had for you guys. 326 Crystal Rodriguez 01:31:18.560 --> 01:31:24.480 And not seeing any new questions coming in. I'm gonna move on to the next section, but feel free to add those questions if they come up. 327 Crystal Rodriguez 01:31:33.440 --> 01:31:35.760 Just one moment. I'm just need to get this prepared here. 328 Crystal Rodriguez 01:31:39.680 --> 01:31:40.720 Alright, so. 329 Crystal Rodriguez 01:31:42.640 --> 01:32:02.480 In addition to automation tools, connection client offers a few customization tools. These allow you to assign your user, user tools, edit the toolbar, and customize keystrokes. All of these will help you catalog using fewer. 330 Crystal Rodriguez 01:32:02.880 --> 01:32:22.880 Clicks and allow for more cataloging efficiency. Deciding which to use depends on whether you prefer to use quick access options, toolbar buttons, keystrokes or a combination of these. So here we see a little information. User tools can be as. 331 Crystal Rodriguez 01:32:23.120 --> 01:32:43.560 Assigned for easy access to commands such as macros, menu items, and text strings. Use the toolbar editor to show the tools and menu commands best for your workflows, and then use key maps to view, create, edit, and restore keystroke sh. 332 Crystal Rodriguez 01:32:43.600 --> 01:32:44.240 Shortcuts. 333 Crystal Rodriguez 01:32:48.800 --> 01:32:50.440 I'm gonna go ahead and switch over to connection. 334 Crystal Rodriguez 01:32:53.920 --> 01:33:12.360 Now user tools allow you to assign a character, a macro, a menu item or a text string for a quick access option. They are then accessed through the menu bar or you can add a button to the toolbar. Up to ten user tools can be assigned. I'm going. 335 Crystal Rodriguez 01:33:12.440 --> 01:33:14.320 To demonstrate adding my new macro. 336 Crystal Rodriguez 01:33:15.680 --> 01:33:20.760 And text string to a user tool. So that I can access those with fewer clicks. 337 Crystal Rodriguez 01:33:23.000 --> 01:33:37.560 So to do that, I'm going to go to user tools, and I have those on my toolbar. If you don't, then you can go to tools, user tools, and then you can see assign there. So let's go ahead and use that method. 338 Crystal Rodriguez 01:33:39.400 --> 01:33:52.640 And here's where you see that you can add a command for a character or macro, menu item or text. And you see some options for character when you select that. We're gonna go ahead and click on. 339 Crystal Rodriguez 01:33:54.040 --> 01:33:54.520 Macro here. 340 Crystal Rodriguez 01:33:56.680 --> 01:33:59.360 And here I see the different macros that are available. 341 Crystal Rodriguez 01:34:01.240 --> 01:34:04.800 I only see the one under my demo book that is the first one I see. 342 Crystal Rodriguez 01:34:07.520 --> 01:34:26.280 And you see that the book name, the macro book name is first with the exclamation mark, and then you can see the name of the macro that helps you identify it. So to assign a user tool, I'm just going to make sure that my macro is highlighted, which here it is, and then I select a new user. 343 Crystal Rodriguez 01:34:26.680 --> 01:34:33.120 Tool. Right now I have tool one selected. I could go ahead and use the dropdown to choose a different one. 344 Crystal Rodriguez 01:34:37.080 --> 01:34:37.360 One moment. 345 Crystal Rodriguez 01:34:41.440 --> 01:35:01.080 Alright. Sorry, it appears that my battery wasn't my charger wasn't all the way plugged in. So that's why I got that little announcement. Alright, so I'm gonna leave my select new user as tool one, and then I just click on assign tool, and now I see that if I look under current user tools. 346 Crystal Rodriguez 01:35:02.000 --> 01:35:05.040 My tool one is described as my macro. 347 Crystal Rodriguez 01:35:10.800 --> 01:35:31.040 I want to also add my text string that I created for the playlaways. So for that under display commands for categories, I'm gonna click on text, and I see my two text strings that I've created. I'm going to click on play away to highlight that, and obviously I can't assign it to tool one, so I'm gonna assign this to tool. 348 Crystal Rodriguez 01:35:32.680 --> 01:35:34.480 And I click assign tool. 349 Crystal Rodriguez 01:35:36.440 --> 01:35:56.760 And again, this is an option where like maybe if you are adding a diacretic frequently, you can use a character and you can choose that diacretic over here under character and assign a tool. You can also assign menu items, so if you find that a user tool is more useful for you, you can assign that. 350 Crystal Rodriguez 01:35:57.040 --> 01:35:59.360 Those items here for frequently used. 351 Crystal Rodriguez 01:36:01.080 --> 01:36:02.000 Menu items. 352 Crystal Rodriguez 01:36:05.240 --> 01:36:13.480 I'm going to go ahead and close this and then I can show you how we apply the user tool. So let me search for an OCLC number here. 353 Crystal Rodriguez 01:36:21.440 --> 01:36:40.240 And I want to use my macro that I've, that I've added under tool one. No, you cannot change the name, oh sorry, sorry. The question was, can you change the name of the tool? So something other than tool one for instance? Unfortunately, no, you cannot. And that gives me the opportunity to, to confirm as well that we can. 354 Crystal Rodriguez 01:36:40.480 --> 01:36:42.920 Not rename constant data, either. 355 Crystal Rodriguez 01:36:44.360 --> 01:37:01.160 Both of those suggestions, if you would like to send those in as enhancement requests, please, you can do that either in our community center or reach out to our support team and they can give you instructions on how to do that. We're always looking for enhancement requests, so feel free to send those in. 356 Crystal Rodriguez 01:37:04.800 --> 01:37:22.520 Okay, so let's apply the tool that we've just assigned. So, again, I can either use the tools menu or in my case I do have the toolbar here for user tools, so I'm going to go ahead and use the dropdown, and I see my two user tools that I've added. 357 Crystal Rodriguez 01:37:23.400 --> 01:37:39.960 I'm going to go ahead and just select the tool one, which is my macro. We note that right now my item does not show as held, so I'm gonna go ahead and click that option, and all of a sudden we see that this is held by my library, and we also see. 358 Crystal Rodriguez 01:37:41.320 --> 01:37:50.600 The complete under update holdings and export. So we know that my macro did in fact work. I'm gonna go ahead and close this record. 359 Crystal Rodriguez 01:37:53.480 --> 01:38:12.240 Alright, so that is a little about user tools. Now, as you've probably noticed, most menu items have toolbar buttons available in connection client. I've kind of shown you a full of few of those and you can see those on my screen as well. However, not all of them display in the. 360 Crystal Rodriguez 01:38:12.560 --> 01:38:15.400 The default toolbar. So you can edit. 361 Crystal Rodriguez 01:38:17.760 --> 01:38:37.400 Oh, I will go back to that in a moment Veronica. You can edit the toolbar to meet your specific workflow such as adding a toolbar button for your newly assigned user tool or macro, and actually before I demo that, let me do answer this question. So the question was how is a user tool unassigned? Thank you for that question. So you can go to. 362 Crystal Rodriguez 01:38:37.720 --> 01:38:38.040 Tools. 363 Crystal Rodriguez 01:38:39.520 --> 01:38:51.240 User tools or again, you can use your dropdown if you have that set, and then you'll click on the tool that you want to unassign. Sorry, I, I right clicked by accident. 364 Crystal Rodriguez 01:38:56.160 --> 01:39:03.480 Actually I'm sorry, you click on assign and that will open up that box for you again where we assigned them, and then. 365 Crystal Rodriguez 01:39:05.440 --> 01:39:06.800 You option we would. 366 Crystal Rodriguez 01:39:12.080 --> 01:39:12.560 Let me see here. 367 Crystal Rodriguez 01:39:15.960 --> 01:39:18.440 If I go to macro yes, so you'll click on. 368 Crystal Rodriguez 01:39:19.880 --> 01:39:39.120 The display commands category, so in this case it's the macro, it would then under current user tools, I would click the tool, one, and I would choose unassigned tool. I also can modify the description there, so if you needed to change your description, you can do that there. So if you don't want it to say. 369 Crystal Rodriguez 01:39:40.280 --> 01:40:00.720 The default of demo hold export, you can actually modify that name there. Thank you for that great question and I will include that in future sessions. So thank you for asking that. Alright, let me go back here and just refreshing that with the toolbar editor, you can, change, you can edit the toolbars to. 370 Crystal Rodriguez 01:40:00.720 --> 01:40:18.200 To meet your specific needs. So for example, I can add a toolbar button for that newly used tool that newly assigned tool user tool or a macro. So let's look at using the toolbar editor. So for that, you're going to go to tools, and then you choose toolbar editor. 371 Crystal Rodriguez 01:40:20.040 --> 01:40:39.880 And here we get our toolbar editor box show up. One common use is to use a separator, so you can begin to type S an S to C separator, and when you look at my toolbar, you might see separations between some of my sections here, my toolbar. So what this separator is going to allow you to do is to add. 372 Crystal Rodriguez 01:40:40.520 --> 01:41:00.800 A section essentially. So if I want to add a toolbar, I'm just or an option to my toolbar. I'm just gonna drag it from the editor to the desired location. So I'm going to take this separator and I'm going to drag it to the end of my existing toolbar and I have a separator there. 373 Crystal Rodriguez 01:41:01.080 --> 01:41:01.200 Now. 374 Crystal Rodriguez 01:41:02.880 --> 01:41:21.880 And then same thing if I want to add a different button, I'm I can do that. So I want to add my user tools so I can either scroll through or I can start typing a U here, and it should take me straight to my user tools. And I see my user tool one, so I want to add. 375 Crystal Rodriguez 01:41:23.320 --> 01:41:43.640 A button for both of my user tools that I've just assigned. So I'm going to just drag and drop that next to that separator. So there I see my one and my two. So what that's gonna allow me to do is instead of having to go to the tools macros or the tools, user tools, I can just click on that but. 376 Crystal Rodriguez 01:41:43.800 --> 01:41:43.920 Button. 377 Crystal Rodriguez 01:41:45.800 --> 01:42:01.960 And then to delete a button, just the opposite process, I'm just gonna drag drag it down into the toolbar editor. So I'm gonna take this number two, drag it back, and now it's gone. And then I can put it back. Just by dragging and dropping. 378 Crystal Rodriguez 01:42:03.720 --> 01:42:24.040 And then I'm gonna close this because you also can move a button on your toolbar. Now to move your button, you do need to press and hold the alt key while you drag and drop. So let's say that I want to move this tool, this number two over to the beginning here. Well, actually let's do this with my number one. So I'm going. 379 Crystal Rodriguez 01:42:24.520 --> 01:42:44.440 Press and hold the alt, click on the oops, I accidentally clicked on the separator. There we go. We've let me take my one here and I'm gonna move it all the way to the beginning, and there we see that my one was moved into a different section. And I'm gonna go ahead and do that again. Let me take my alt and move it back in front of the one. So it's just a sliding and then. 380 Crystal Rodriguez 01:42:44.640 --> 01:42:45.000 Dropping. 381 Crystal Rodriguez 01:42:50.600 --> 01:42:57.040 Alright, and then if you want to restore, do the default, you can go to tools, toolbar editor. 382 Crystal Rodriguez 01:42:58.720 --> 01:43:18.960 And just click on reset. And then you're gonna be reset to your default. I don't want to actually do that just yet. Actually let me go ahead and do that. And I'm asked, do you want to clear your customized toolbar and revert to the default? Actually I don't want to because I have a few things up here like my quicks things that I don't want to lose, so I'm gonna go ahead and click close, but if you wanted to re. 383 Crystal Rodriguez 01:43:19.280 --> 01:43:27.480 That, that's where you would do that. Are there any questions about the toolbar editor before I move on to the last two options here? 384 Crystal Rodriguez 01:43:30.760 --> 01:43:49.040 I don't see any others. I will say this, the toolbar editor works very similar to other toolbar editors that you've seen. One thing I will show too actually is you can then move these around. So I have these sections here, so I can actually using the three little dots in the or actually looks like four dots using the dots here. 385 Crystal Rodriguez 01:43:50.200 --> 01:43:58.880 On my toolbar, I can hover over that and then I can move it. Is there a way to make the search box larger, longer? No. 386 Crystal Rodriguez 01:44:00.760 --> 01:44:18.880 This is the standard size. You can move it like I just showed, but you can't make it longer. Oops. No I didn't realize that. I just learned something. I didn't realize I could put it on the side of connection. I don't know if you all saw that I kind of drag it drag it down by mistake, and it moved it all the way to the side. I don't really like, so now I gotta figure out how to get back up there. There we go. 387 Crystal Rodriguez 01:44:20.600 --> 01:44:25.320 So that's a nice little customization I didn't realize existed. Alright. 388 Crystal Rodriguez 01:44:27.440 --> 01:44:47.360 Okay so the last two things are pretty quick so many users prefer to use keystroke shortcuts over clicking through commands. Connection client gives you the ability to customize those. You can assign a specific keystroke shortcut again to a character, a macro, a menu item or a keystro string text string. 389 Crystal Rodriguez 01:44:48.080 --> 01:45:01.440 Allowing you to use these items with fewer clicks. So if you prefer to use keystrokes instead of buttons, you can assign those as well. So to do that, we're gonna go to tools, and here we choose key maps. 390 Crystal Rodriguez 01:45:02.880 --> 01:45:23.200 And again, we see our four options. So, we can use using the example of assigning our macro. We can go ahead and click on macro and we see our macro list again plus sign to open our book, click on hold export, and this is gonna work pretty similarly. So once we have that highlighted, then we. 391 Crystal Rodriguez 01:45:23.360 --> 01:45:36.040 Go to press new shortcut key in that box. We're going to choose an option. You want to make sure that you're, you're, you're not using some of the defaults and what will happen if you try to is you'll see that it's already assigned. 392 Crystal Rodriguez 01:45:38.280 --> 01:45:39.880 So I am going to go ahead and. 393 Crystal Rodriguez 01:45:42.040 --> 01:45:47.560 And actually what I want to show is a little bit different. If we go to the category of menu item. 394 Crystal Rodriguez 01:45:49.000 --> 01:45:58.840 I see I wanted to show here where you can see the current set defaults. So if I go to action export, I see that F five is the default. 395 Crystal Rodriguez 01:46:01.280 --> 01:46:20.360 So you may map any of these menu items to different keystroke combinations instead of the default or in addition to it. So that's an option where if maybe the F five is your, you're using it for something else or you prefer something different, you can add that there, so I could go ahead and click in there. 396 Crystal Rodriguez 01:46:21.800 --> 01:46:41.360 Click the action export, and then within press new short key shortcut key, I can actually add control G and then I can assign that, but I prefer to show you if I go back to that macro, I can then choose hold export, and I can do maybe I'll cho. 397 Crystal Rodriguez 01:46:43.760 --> 01:47:02.680 Which here I see that that's already assigned to a command. So I don't necessarily want to choose that. So let's just go ahead with that same example of control G And I see that's not assigned so just like with my tool, my user tools, I just click on the word assign, and then I see that that's under current shortcut keys. And. 398 Crystal Rodriguez 01:47:03.760 --> 01:47:18.880 Just like with user tools, if I click, if I highlight the control G, I can then unassign it. And I get that confirmation, I say yes. So with that assigned, then I can use the control G instead of having to click. 399 Crystal Rodriguez 01:47:21.840 --> 01:47:22.000 Alright. 400 Crystal Rodriguez 01:47:23.680 --> 01:47:35.040 Now, once you've assigned your customized keystrokes, you can review a list of them to verify how they are assigned. So to do that, we're going to go to tools key maps. 401 Crystal Rodriguez 01:47:36.520 --> 01:47:56.800 And we click on list all. And right now all I see is my text play away because that's the only user defined shortcut that I have. So this is important to remember that when you go to the list all here, you're only going to see the items that you've assigned. But if you had several and you wanted. 402 Crystal Rodriguez 01:47:57.120 --> 01:48:00.840 You could then print this off and use that as a little bit of a guide for yourself. 403 Crystal Rodriguez 01:48:04.040 --> 01:48:22.040 Now, if you need to see a list of all the assigned keystrokes in connection client, both the ones that are part of the software as a default and the ones that you've created and assigned, that's gonna be in a different area of connection. So for that, you're going to go to view, and you're going to choose. 404 Crystal Rodriguez 01:48:23.240 --> 01:48:23.760 Where to go? 405 Crystal Rodriguez 01:48:27.160 --> 01:48:45.720 Assigned keys, there it is, and here you see all of the key assignments within connection. And again, this can be printed or you could copy it onto your workstation. So this is just a little tip for you, if you're like, hey, I really like these keystrokes, but I can't remember them all. 406 Crystal Rodriguez 01:48:47.480 --> 01:49:01.320 So this would be a good way to have a little bit of a guide for yourself. And if you were to copy these to clipboard, you could even put them in a Word document or an Excel and remove the ones that you don't use etc. So that's a nice little tip for you. 407 Crystal Rodriguez 01:49:05.560 --> 01:49:25.760 I wanted to show one more thing there actually, so if we go to view, assigned keys, you'll see there that the description showing you both the keystroke, the definition, and then also the source. So here you can see that right now I only have the one custom, and if you click on that, then you can sort those. So that's. 408 Crystal Rodriguez 01:49:25.920 --> 01:49:26.640 Another nice feature. 409 Crystal Rodriguez 01:49:28.720 --> 01:49:29.000 Okay. 410 Crystal Rodriguez 01:49:33.320 --> 01:49:48.880 So that's a lot of information. I hope this was useful for you all. These are in my opinion, these are some great tools to improve your speed and minimize errors, sorry if I missed it, but can macros be applied to a list of groups or of records? 411 Crystal Rodriguez 01:49:50.960 --> 01:50:10.000 I don't believe so. Katie I'll have to get back to you on that. I don't I'm pretty confident that they cannot be added offline. That, that would be the only way those could be done. So I'm gonna say no if I find out otherwise, I'll follow up with you or I'll add that into the learner guide. I hope that helps. 412 Crystal Rodriguez 01:50:12.240 --> 01:50:31.440 And actually I'm gonna see if my colleague might be able to confirm that before we end here in a few moments. But if not, if you don't hear from me, that means the answer is correct that it's no. Alright, so as a quick recap, I oh, before I get there, we've kind of anticipated this next question. Who. 413 Crystal Rodriguez 01:50:31.760 --> 01:50:52.240 Might I reach out to to learn more about macros such as Han's macros? So Hans macros, you can find them online, but we actually have a link that we can add into the chat for you. And in the learner guide, you see a link to information on using OCLC macros and all of our documentation on all of these. 414 Crystal Rodriguez 01:50:52.320 --> 01:51:12.200 Topics. But Mallory just added that link to the Han macros. For anyone who's unfamiliar with those, Joel Han is a gentleman who has created a lot of very useful macros and those can be added into your connection and the their the link that she added just now includes information. 415 Crystal Rodriguez 01:51:12.720 --> 01:51:32.800 On those macros and I and information on even how to add those. If you go to try to add those and you have any issues, again, please reach out to support and they can walk you through some of those steps. But thank you for that question i'm glad we kind of anticipated that, alright, so as a recap, connection client offers several options for customization and automation. 416 Crystal Rodriguez 01:51:33.320 --> 01:51:53.520 Automation. Use of these tools is dependent on your workflow preferences, However, using them can increase efficiency and minimize errors. So visit our help site at help dot OCLC dot org for documentation and to locate contact information for OCLC support in your region. Also this information is in the learner guide. 417 Crystal Rodriguez 01:51:55.080 --> 01:52:13.640 And as you leave today, you will be taken to an evaluation, and I would appreciate if you have the time to complete that. We use that information to improve our sessions as we will be offering these again in about six months I think. And then as I said, you will get an email with the. 418 Crystal Rodriguez 01:52:14.200 --> 01:52:14.520 Recording. 419 Crystal Rodriguez 01:52:16.120 --> 01:52:19.040 And with that we do have a couple of minutes. If there are any additional questions. 420 Crystal Rodriguez 01:52:22.000 --> 01:52:25.680 Otherwise we'll go ahead and end the session a little early. 421 Crystal Rodriguez 01:52:28.880 --> 01:52:33.400 So I'm just gonna pause for a moment. I'm not seeing any additional questions, but if you have anything, please feel free to add that. 422 Crystal Rodriguez 01:52:38.040 --> 01:52:49.520 That's. Okay, so not seeing questions in with the fact that we are right on three, about three thirty, I'm going to go ahead and end the session. Let me stop the recording first. 423 Crystal Rodriguez 01:52:52.000 --> 01:53:05.360 And then I'm going to end a slightly early, and if you have any questions that do come up about training, you can find us at training at OCLC dot org, and I look forward to seeing many of you in the next session in two weeks. All right, thank you. 424 Crystal Rodriguez 01:53:07.320 --> 01:53:07.480 Thank you.
